# Public event signals for restaurant and hotel planning.

## The blind spot

A nearby event can change the operating question for a restaurant or hotel. It may overlap dinner service, affect arrivals, or block a delivery route. The manager needs to know what is permitted, where it happens, and what similar dates meant for this property.

A calendar listing provides only part of that answer. Your own covers, room nights, staffing, and manager notes provide the rest. Connecting the two creates a repeatable planning record before the next schedule is approved.

The [restaurants and hospitality page](/for/restaurants-and-hospitality) covers guest inquiries and staff handoffs from approved records. This intelligence layer adds public events and operating context. It does not accept bookings or promise demand.

## The flagship tool: event demand calendar

**Your question:** “What is happening near our door over the next few weeks, and what did the last event like it do to our covers?”

[NYC Permitted Event Information](https://data.cityofnewyork.us/resource/tvpp-9vvx.json) supplies event identifiers, start and end times, borough, location, agency, event type, and street-closure information. A bounded check on 2026.10.27 returned those fields from a future-dated record. The source can also retain past events. The function must inspect actual coverage rather than assume that every returned row concerns the coming month.

One row describes a permitted event. It supplies no attendance guarantee and no estimate of spending at your restaurant. A location field can identify a park area or a stretch of street. It needs interpretation before it can be matched to a property's guest entrance or service radius.

**What it collects:** the proposed collector checks the source daily and preserves changes to watched event records. It normalizes event IDs, time windows, boroughs, and locations. Repeated records and overlapping locations need review before the manager sees an event count.

The public sample also showed why event titles need filtering: a permitted gathering can contain personal names. Public summaries must exclude those titles and other labels that reveal individual participation. A useful operating calendar does not require a record of who attended.

**The join to your records:** the general manager maintains a list of relevant venues, streets, and property catchments. Match events to that approved list, then check overlap with service periods. An ambiguous street span stays unresolved. Distance alone cannot tell whether an event brings guests toward the entrance or obstructs it.

The private comparison adds date-level covers, room nights where relevant, labor hours, and the manager's operating decisions. Keep restaurant and hotel measures distinct. If several events overlap, record that ambiguity instead of assigning the entire day's result to one event.

**Output and cadence:** deliver a weekly operating calendar with a daily change digest. Each card carries its event window, location confidence, closure information, source age, and the company's previous observations. Weather can be added when relevant official alerts become available. A distant future date must not display an invented forecast.

| Calendar-card field | Decision it supports |
| --- | --- |
| Event window | Which meal period, arrival window, or delivery time overlaps |
| Location | Whether staff confirmed relevance to this property |
| Closure information | Whether an access question needs a manager's review |
| Prior operating record | What covers and staffing records show on comparable dates |
| Open question | Which fact must be confirmed before changing the plan |

**Who directs and who checks:** the general manager selects catchments and review rules. A shift manager confirms location and source changes before staffing moves. Purchasing, pricing, booking, and guest communications stay with their designated owners.

**Why it compounds:** retain event-to-covers observations, labor decisions, access problems, and rejected assumptions. The manager can later distinguish a useful recurring pattern from a busy-looking event that brought no relevant trade. Historical source rows may support a backfill where the property has compatible operating records. Missing dates stay missing.

Scope two functions: the public event calendar with bounded weather context, then comparison with the company's operating history. Begin with one property and a manageable set of locations before expanding.

## Two more tools

### New-opening watch

“Which possible new neighbors deserve a site visit?” [NYC restaurant inspection records](https://data.cityofnewyork.us/resource/43nn-pn8j.json) include establishment identifiers and permit applicants awaiting inspection. The documented `1900-01-01` inspection date is a placeholder for an uninspected applicant, not a historical visit.

A weekly review list can track first observation, record date, and a staff-verified opening status. Multiple violation rows must not become several restaurants or several inspections. A new observation in your archive does not establish a new application, and a disappearing row does not prove closure.

Keep proprietor contacts out of public output. Staff decide whether any venue merits relationship research. A hotel-only expansion needs a separately verified lodging or development source.

### Produce price check

“Which invoice lines deserve a question before the next order?” [USDA terminal market reports](https://www.ams.usda.gov/market-news/fruit-and-vegetable-terminal-markets-standard-reports) publish commodity descriptions and price information for covered markets. A report can distinguish origin, package, size, and quality.

Match a chosen market report to authorized invoice lines using those specifications. Compare only when the pack and unit are clear. A wholesale range is not a delivered restaurant quote. The chef or purchasing lead checks yield, substitutions, delivery terms, and the current supplier explanation before changing an order.

This two-function design combines public report normalization with private invoice matching. The company retains corrected supplier-item mappings and review decisions. It makes no automatic purchase or menu-price change.

## Try the public demo

[Open Event demand calendar](/tools/event-demand-calendar)

The public view uses NYC borough and date choices to show permitted-event evidence and its refresh time. It demonstrates the calendar's public input. Your covers, guest records, staffing, and manager notes remain private inputs to a separately scoped function.

The result must exclude organizer contacts, attendee information, and personal event labels. It must distinguish an empty date range from a source failure. NYC coverage does not establish an event feed for another city.

When a verified access change affects public directions, use the [restaurant entrance and parking guide](/articles/restaurant-parking-entrance-directions-page) to prepare the separate website update. A detected event alone does not authorize a guest message.

## The limits that shape the design

An event permit cannot establish attendance, revenue, room occupancy, or a safe route. Staff confirm relevant access facts and operating decisions. Weather context links to the official source without replacing its instructions.

City and dataset use conditions belong in the source review. Attribution and collection timestamps remain visible. Inspection records require their own careful treatment; this design publishes no competitor safety score or accusation.

Before handoff, test an ambiguous location, a changed event time, overlapping events, a private-person title, and a valid empty range. Ask the manager to explain the resulting calendar card. Preserve failed collection and stale data visibly rather than treating them as a quiet week.

## Build the function your business owns

Scale With Search defines the property, public sources, private operating fields, and review responsibilities in writing. Your business keeps the calendar history, corrected location matches, and operating decisions. A working function starts from $7,500. The handoff includes instructions and checks your managers can repeat.
