# Building record intelligence for property managers.

## The blind spot.

The maintenance team marks a repair complete. The city's record still shows an unresolved item. Elsewhere, a new public violation has no matching work order. The portfolio manager needs to know which difference requires a site check, missing evidence, or agency-record follow-up.

That question requires two records with different authority. Public data describes what the agency has recorded. Your work-order history describes what your staff and contractors documented. A useful tool compares them without treating either status as proof of the other.

The [property management office page](/for/property-management) covers maintenance summaries, lease-date lists, and owner updates. Building-record intelligence adds an external evidence check against an authorized portfolio. Tenant screening and housing decisions remain outside its scope.

## The flagship tool: building-record exception watch.

**Your question:** “What did the city cite on our buildings that is missing from our work orders, and which statuses need checking?”

**What it collects:** [NYC HPD Housing Maintenance Code Violations](https://data.cityofnewyork.us/resource/wvxf-dwi5.json?$limit=1&$select=violationid,buildingid,class,currentstatus) provide violation IDs, building IDs, classes, and current agency statuses. The 2026.10.27 source check returned a class C record whose current status was “VIOLATION CLOSED.” A classification alone cannot tell the manager whether the record remains open.

[Chicago Building Violations](https://data.cityofchicago.org/resource/22u3-xenr.json?$limit=1) provide a separate local example with violation and inspection records. Multiple rows can belong to one inspection. The collector keeps the jurisdiction's identifiers and groups those rows before presenting an inspection-level summary.

| Evidence | Treatment in the private queue |
| --- | --- |
| NYC `buildingid` | Match to a staff-approved portfolio entry |
| NYC `violationid` | Track the same violation across status snapshots |
| Chicago inspection number | Group related violation rows under their inspection |
| Published class and status | Preserve the agency's wording and source date |
| Internal work-order ID | Link the company's action record without replacing agency status |
| Unmatched address | Request identity review before attributing the record to a property |

**The join to your records:** the portfolio manager enrolls buildings and approves the identifier mapping. NYC records join on HPD building ID. Chicago records use a reviewed address alias where needed. Street spelling, unit text, and different building identifiers cannot be silently treated as interchangeable.

The collector takes daily snapshots and identifies new or changed records by source identity. It compares those changes with the work-order log. A new public item with no internal reference becomes a review task. A completed repair beside an open agency status becomes a reconciliation question. An uncertain building match stays out of the property's confirmed list.

**Output and cadence:** a daily exception list separates new records, status conflicts, and unmatched buildings. A weekly reconciliation sheet lists source dates, work-order references, missing evidence, and the responsible role. The reviewer can record why an apparent conflict is expected without deleting the public history.

For a prospective NYC building, a separately reviewed summary can organize recorded items by class and age. It cannot certify physical condition, compliance, or the cost of taking on the property. Chicago's publisher warns that its history may not reflect current condition and should not be relied on for transactions.

**Who directs and who checks:** the portfolio manager selects the buildings and review rules. A compliance coordinator confirms each match and the source status. Maintenance staff verify the documented repair evidence. Entry, contractor assignment, spending, and agency submissions remain separate decisions.

**Why it compounds:** the company retains corrected building mappings, recurring record types, accepted repair evidence, and the lag between internal completion and agency updates. A new manager can inspect how earlier conflicts were resolved. The public feed does not contain that portfolio-specific history.

The proposed build has two working functions: building matching with daily public snapshots, followed by a reconciliation queue joined to work orders.

## Two more tools.

### Appliance recall matching.

“Which installed appliances need a check against a new recall?” The [CPSC recall interface](https://www.cpsc.gov/Recalls/CPSC-Recalls-Application-Program-Interface-API-Information) can be compared with an authorized equipment register. The company supplies model identifiers and internal asset references without occupant names.

Exact identifiers and any required date conditions control the match. Similar product wording produces a review candidate. Missing model details remain a request for evidence. The maintenance supervisor checks applicability and the official instructions before action. A failed feed cannot become a report that every appliance is unaffected.

### Weather preparation queue.

“Which properties need a review of our existing storm checklist?” [National Weather Service alerts](https://www.weather.gov/documentation/services-web-api) can be matched to enrolled properties by published geographic zones or alert polygons. The manager chooses the checklist and relevant event types.

The output preserves the official alert's time, expiry, affected area, and source link. Staff check actual site conditions and access. An unavailable source reads “unknown.” A weather alert cannot establish damage or automatically authorize an inspection, purchase, or contractor visit.

## Try the public demo.

[Open Building violations by borough](/tools/building-violations-by-borough)

Select an NYC borough and a month. The demonstration is designed to show aggregate violation records by class and current status, with source and retrieval dates. These are agency records grouped by the selected period. They are not a count of currently unsafe buildings or a neighborhood quality score.

The public view excludes street addresses, apartment fields, tenant names, complaint narratives, and portfolio uploads. Small groups require suppression. The private function adds only the authorized building register, work orders, reviewer decisions, and evidence history needed to reconcile the company's own assets.

## The limits that shape the design.

An open agency record does not prove that a physical defect remains. A closed record does not certify the whole building's condition. Missing local data means the source does not cover the question. It cannot support an “all clear” finding.

No output scores applicants or tenants, influences renewal or eviction, or ranks neighborhoods by desirability. Consumer reporting and fair-housing duties cannot be avoided by calling the input public data. Keep housing decisions and personal profiles outside the function.

NYC reuse terms need confirmation before public release. Chicago derivative applications require the city's prescribed disclaimer and compliance with its use conditions. Every additional jurisdiction needs its own code meanings, identity rules, and source checks. The city names are coverage boundaries, not interchangeable labels.

The separate guide to [public sample owner statements](/articles/property-management-sample-owner-statement-page) explains how to show a reporting format without exposing real accounts. This intelligence queue remains private and does not publish owner reports or send notices automatically.

## Build the function your company owns.

Start with a small enrolled portfolio and a defined work-order export. Acceptance checks should cover a closed record, a completed repair with unchanged agency status, a wrong building match, a duplicate inspection, and a failed refresh.

Scale With Search scopes the matching, collection, reconciliation, and training as working functions. Each function starts from $7,500. Your company owns the mapping decisions, evidence references, corrections, and run instructions after handoff.
