# Public practice signals for medical billing companies.

## The blind spot.

A new organization in a provider registry can deserve research. So can a changed practice location or specialty. The billing-company owner needs to know which changes fit the specialties the company serves.

The registry alone cannot answer whether a practice has opened, moved, or wants billing help. Those are separate facts to verify. A useful tool keeps the public observation and the researcher's conclusion in separate fields.

The [medical billing company overview](/for/medical-billing) covers missing-file lists, client status drafts, and staff handoffs. This page addresses public organization research and publication changes. Patient claims are outside its scope.

## The flagship tool: new practice registry watch.

**Your question:** “Which group practices in our territory are new to our records, and which existing groups changed something worth checking?”

The proposed function compares bounded snapshots of organizational NPI records. It shows what changed and why the organization may fit your service. A researcher confirms operational facts before anyone considers contact.

### What the registry records.

The [NPPES NPI Registry](https://npiregistry.cms.hhs.gov/api-page) provides an API for public registry queries. The design selects NPI-2 organizational records and excludes individual NPI-1 providers. Queries use a defined territory and specialty rather than an unrestricted national crawl.

A bounded check on 2026.10.27 used ZIP 27101 and the Physical Therapist taxonomy. It returned four organizations. The newest enumeration date among those results was 2024.12.04. A finder can therefore return useful records without finding anything newly enumerated this month.

One returned record had an enumeration date in 2021 and an update date in 2025. Those dates describe different registry events. Neither establishes when the practice opened its doors.

| Date or field | Meaning in the proposed tool |
| --- | --- |
| Organizational NPI | Stable identifier for comparing records |
| Enumeration date | Date recorded for the NPI's enumeration |
| Last-update date | Date associated with a registry update |
| First-seen date | When your collector first observed the record |
| Taxonomy | Registry specialty information requiring fit review |
| Practice location | Location field to distinguish from mailing details |

[CMS dissemination guidance](https://www.cms.gov/medicare/regulations-guidance/administrative-simplification/data-dissemination) describes free registry access and daily updates. Your tool can still collect weekly within a bounded territory. Its coverage statement must describe the queries actually completed.

### The join to your business.

The business-development lead selects ZIP codes, specialties, and exclusions. The collector retrieves permitted fields and compares each organizational NPI with the prior successful snapshot. It records changed fields rather than treating every updated record as a new practice.

Match registry specialties to your approved service categories. Use your own organization identifiers for existing relationships and previously rejected candidates. Similar business names need an identity check before they are merged.

The API does not provide the date filter needed for a direct “opened this month” search. Snapshot comparison supplies observed changes from the point collection begins. It cannot reconstruct observations your company never collected.

Paging and query limits need verification for the chosen territory. If a response is capped or a partition fails, the output must state incomplete coverage. A missing organization cannot become a presumed closure after one failed retrieval.

### What the research lead receives.

The weekly list shows organization, specialty, practice city, enumeration date, update date, and the exact observed change. It also shows first-seen time and the reason the record matched your service categories.

The researcher checks whether the organization operates, whether a location change is real, and whether the service fit holds. A change involving an organizational subpart may require a different interpretation from a new independent practice.

Record each conclusion with its evidence and date. Do not turn a registry row into a claim about staffing, collections, financial weakness, or interest in changing billing providers. Those facts are absent from the source.

### The history you keep.

Retain checked entity aliases, location changes, specialty decisions, rejected candidates, and accepted research corrections. Future staff can see what was observed and what someone later confirmed.

The public registry provides the starting record. Your dated observations and checked business facts provide the company-specific history. Keep the original observation when a later correction changes its interpretation.

The initial design has two working functions: territory snapshots with change detection, and a review list connected to your owned records. Neither function sends messages or writes into a live sales system automatically.

## Two more tools.

### Medicare instruction change review.

“Which new instructions should our team read before the next billing cycle?” The [CMS transmittal list](https://www.cms.gov/medicare/regulations-guidance/transmittals/2026-transmittals) and [MLN newsletter archive](https://www.cms.gov/training-education/medicare-learning-network/newsletter) provide dated publication records.

A proposed weekly queue matches subjects to the practice types you serve. Preserve issue, effective, and implementation dates separately. A checked transmittal example had an effective date of 2027.01.01 and implementation date of 2027.01.04.

A qualified reviewer decides applicability before changing staff instructions. Medicare publications do not automatically govern every commercial payer. The function does not choose codes, edit claims, submit work, or promise payment.

### Organization exclusion review.

“Which organizational onboarding file needs an official identity check?” The [OIG LEIE download service](https://oig.hhs.gov/exclusions/leie-database-supplement-downloads/) supplies a monthly full file. The design retains organization records and removes individual screening data.

Potential matches become restricted compliance tasks. OIG's verification process requires more than a similar name. The authorized reviewer completes that check and records the result. A candidate match cannot become an accusation or automatic adverse decision.

## Try the public demo.

[Open New practice finder](/tools/new-practice-finder)

Choose a ZIP and supported specialty to inspect organizational records. Read “new” as a research starting point. Enumeration and update dates remain labeled, and a result does not prove a recent opening.

The public design strips authorized-official names, titles, and phones. It omits individual providers and home-address detail. It asks for no patient identifiers, claim files, account credentials, or billing exports. The private tool adds snapshot comparisons and reviewed organization history.

## The limits that shape the design.

An NPI does not prove licensure, payer enrollment, operating status, or available capacity. Registry contact details do not authorize outreach. Contact workflows require a separate scope and applicable channel checks.

These functions exclude patient records. Adding claims would require a separate review of roles, agreements, access, and health-data safeguards before ingestion. Licensed code tables also stay outside the public tools.

The [specialty service-page guide](/articles/medical-billing-specialty-service-pages) explains how to describe the services your company performs. Use that approved scope to define research fit without promising collections or denial outcomes.

## Build the function your company owns.

Scale With Search scopes the territory, query coverage, comparison rules, reviewers, and handoff checks. Your company keeps the snapshots, accepted corrections, research decisions, and operating instructions.

Each working function starts from $7,500. Begin with the specialties you serve and one territory whose returned records your researcher can verify.
