# Public contract signals for commercial cleaning.

## The blind spot.

A notice containing “cleaning” can describe custodial labor, a deodorizer purchase, or sewer work. A contract award can describe work already placed. The first useful decision is whether the record deserves your estimator's attention.

Public buying history can also support preparation before a new solicitation appears. It can show which agencies purchased relevant work and the performance dates recorded for those awards. Someone must still verify the current procurement position.

The [commercial cleaning overview](/for/janitorial-and-commercial-cleaning) covers account summaries, scope changes, and shift briefs. This page addresses the earlier question: which public buyers and notices fit the business you want to operate?

## The flagship tool: public cleaning contract calendar.

**Your question:** “Which public buyers purchase the work we do, when do their recorded contracts end, and which notices deserve a walkthrough decision?”

The proposed tool combines an award-history calendar with a separate notice-review queue. Your owner defines accepted facilities, geography, qualifications, and exclusions. The bid coordinator verifies live requirements before any bid decision.

### What an award row says.

The [USAspending award search](https://api.usaspending.gov/docs/intro-tutorial) provides federal award records through a read-only search service. Verified responses include award identifier, agency, description, performance state, start date, end date, and industry classification.

A bounded query on 2026.10.27 returned a Department of Justice custodial and grounds-maintenance award with an end date of 2032.03.31. Its start date was 2022.04.01. The search had used a 2026 activity period. That example shows why the search-period filter cannot serve as a contract-end filter.

Apply your chosen end-date review window after retrieval. Keep every displayed date attached to its field name. An end date is a reason to investigate future requirements, not evidence that a replacement competition is open.

| Award field | Research use |
| --- | --- |
| Generated internal identifier | Recognize updates to the same award |
| Award identifier | Return to the official award record |
| Agency | Group the buyer's purchasing history |
| Performance state | Check the company's service territory |
| Description and NAICS | Review whether the work is relevant |
| Start and end dates | Prepare a dated research calendar |

NAICS 561720 appeared with janitorial-service records in the verified responses. A classification alone does not establish the complete scope. The coordinator must read the description and current procurement documents.

### What a notice row adds.

The [NYC City Record dataset](https://data.cityofnewyork.us/City-Government/City-Record-Online/dg92-zbpx) provides a local example of a procurement feed. Records include agency, notice type, title, publication date, procurement identifier, and a due-date field.

A verified cleaning query returned three different categories: deodorizer materials, a sewer-cleaning award, and a carpet-cleaning services award. None should automatically become an open custodial-service opportunity.

The collector starts within the Procurement section and selects only needed fields. The wider feed includes personnel notices, which do not belong in this tool. A reviewer-approved vocabulary separates services, products, and excluded industrial work.

### The join to your company.

Match federal award updates by their generated internal identifier. Group city notices by procurement identifier and agency while preserving amendments. Keep award history separate from currently verified solicitations.

Compare each candidate with your accepted facility types, travel area, equipment, qualifications, and estimating capacity. Unknown eligibility remains unknown. A missing deadline becomes a verification task rather than a guessed date.

The monthly calendar shows awards whose recorded end dates fall inside your research window. The daily queue shows relevant notice changes, stated deadlines, amendments, and unresolved prerequisites. Every row carries its source and retrieval date.

The bid coordinator then checks current attachments, mandatory visits, option periods, extensions, and participation requirements. A historical amount never becomes a recommended bid price. The function prepares the evidence; the estimator owns the bid decision.

### The record that accumulates.

Record which buyers extended contracts, which notice categories produced useful work, and why your company declined a bid. Keep estimating effort and actual job results beside accepted scope categories.

This history supports later decisions about where to spend estimating time. It also records misleading signals. A buyer that repeatedly extends a term should not appear as a fresh opportunity every month.

The initial design has two working functions: award and notice collection with change history, and a fit-and-date report. Additional cities need separately verified sources and field mappings.

## Two more tools.

### Commercial fit-out research queue.

“Which commercial projects deserve a final-clean timing check?” NYC DOB NOW permit records provide descriptions, permit identifiers, issue dates, and statuses. A verified office-renovation example was an interior plumbing permit already signed off.

That row identifies a recorded project. It does not establish that the whole office is ready for turnover or that cleaning remains unassigned. A separate Raleigh occupancy-date query returned no rows in its tested window.

A proposed queue groups related commercial permits and records the unanswered timing questions. The estimator confirms completion, buyer identity, and site authority. Missing completion evidence stays visible rather than becoming a forecast date.

### Sanitation scope reconciliation.

“Which public findings at our existing food-service accounts need a supervisor's review?” The [NYC restaurant inspection dataset](https://data.cityofnewyork.us/Health/DOHMH-New-York-City-Restaurant-Inspection-Results/43nn-pn8j) supplies dated findings and inspection identifiers.

A private function can compare relevant findings with the signed cleaning scope. It separates cleaning observations from pest treatment, plumbing, and food handling. Supervisors verify current conditions and responsibility before changing any work. No public list of allegedly dirty businesses is produced.

## Try the public demo.

[Open Cleaning contract explorer](/tools/cleaning-contract-explorer)

Choose a performance state and award-history period. Read the results as “award history, not an open bid.” The public view demonstrates the federal evidence. The private calendar adds capabilities, exclusions, checked extensions, and bid decisions.

The demo design omits recipient details and accepts no private bid prices, employee records, access instructions, or customer contracts. USAspending reuse and rate conditions still require confirmation before production release.

## The limits that shape the design.

Award dates cannot guarantee a new competition. A lease expiration is not a cleaning-contract expiration. Permit area is not measured cleanable area. Each record must retain its original meaning.

Procurement instructions govern actual participation and communication. The function does not submit bids, contact agencies, exchange private prices, or bypass restricted attachments. It records evidence gaps before the owner commits effort.

For inbound commercial requests, the [cleaning quote-form guide](/articles/commercial-cleaning-quote-request-form) explains how to prepare a walkthrough. That customer request path remains separate from this public-buyer research calendar.

## Build the function your company owns.

Scale With Search scopes the sources, accepted work, review calendar, and handoff checks. Your company keeps the buying history, corrections, operating instructions, and bid-decision record.

Each working function starts from $7,500. Begin with your service territory, accepted cleaning scopes, and the person responsible for verifying procurement requirements.
