# Public signals for retirement plan advisory firms.

## The blind spot

An advisory firm serving employer retirement plans needs a defensible answer to a recurring question: which sponsors deserve research this month? A business directory cannot describe a plan's reported participant count, filing history, or listed service providers.

The Department of Labor publishes structured Form 5500 data that can supply those starting facts. The useful work is connecting the right filing, plan, and provider records while preserving their dates. A spreadsheet of employers without that context leaves the difficult decisions untouched.

This design fits firms that already serve employer plans. A household-only practice should assess the employer-event watch below before selecting a plan-research function. The [financial advisor page](/for/financial-advisors) separately covers administrative preparation inside the practice.

## The flagship tool: local retirement plan map

**Your question:** “Which employers sponsor plans in the size range we serve, who appears in their filings, and what changed since the last review?”

Use the [DOL Form 5500 datasets](https://www.dol.gov/agencies/ebsa/about-ebsa/our-activities/public-disclosure/foia/form-5500-datasets) as the source family. The proposed collection includes core Form 5500 records, Form 5500-SF, and Schedule C provider detail. The source review checked the published files and layouts on 2026.10.27.

The core record supplies sponsor identity, sponsor EIN, plan number, participant counts, filing indicators, and reporting context. Form 5500-SF adds the separate small-plan filing population. Schedule C supplies reported provider relationships and compensation fields where available. Coverage remains limited to the arrangements and information these filings contain.

A research row should read as a dated observation: this sponsor filed for this plan period, reported this participant count, and identified these providers. It should carry the filing's received date and any amendment marker. It should never substitute “current provider” for “provider reported in this filing.”

### Match filings before comparing employers.

`ACK_ID` connects a schedule to its particular filing. Sponsor EIN and plan number connect the plan's records across periods. Keep form year, plan reporting period, file publication date, and retrieval date as separate values.

First resolve amended filings. Otherwise, a correction can look like a new plan or a sudden participant change. Keep the earlier version in the history and identify which filing controls the comparison. Where a required key or reporting period is missing, hold the comparison for review.

Provider matching needs the same care. Preserve the reported provider identity and service category. A missing provider row is incomplete evidence, not proof that a relationship ended. Compensation categories must remain distinct until a specialist confirms that a comparison is meaningful.

The first monthly collection says “no comparison yet.” A growth label requires comparable prior evidence. A final-filing indicator is a question for the plan specialist, not a shortcut to a sales recommendation.

### What the retirement-plan lead receives.

The monthly queue shows sponsor, plan identifier, reported size, filing vintage, provider evidence, and the specific reason for inclusion. A useful priority rule might select plans within the firm's supported participant band and territory. It must show the rule beside each result.

Sponsor ZIP describes filing geography. It does not establish where participants live or work. A local research view retains that distinction rather than presenting sponsor addresses as a census of nearby employees.

The retirement-plan lead defines service fit and research capacity. A plan specialist verifies sponsor identity, comparable periods, and source details. The qualified adviser decides whether the evidence supports further research. No row becomes an investment recommendation or an automatic message.

### The history your firm builds.

Each review adds checked aliases, accepted comparisons, excluded plans, and reasons a sponsor did not fit. Authorized conversations can add current relationship facts and service needs. Store those findings with their confirmation dates, separately from the public filing.

Over time, the firm can distinguish a public filing change from a change it independently confirmed. It can also see which research rules repeatedly produced irrelevant work. Another download supplies public rows. It does not supply your firm's checked history.

The design has two working functions: normalized filing history and a research queue joined to the firm's approved records. Acceptance checks include amendments, missing schedules, duplicate plans, and sponsor geography that does not match operating geography.

## Two more tools

### Advisory-firm footprint watch.

“Which nearby firms changed their published office or registration information?” The [SEC adviser information reports](https://www.sec.gov/data-research/sec-markets-data/information-about-registered-investment-advisers-exempt-reporting-advisers) provide a separate monthly source.

Match firms by CRD identifier. Retain the download label, inner filename, and row filing date because those dates may disagree. Show additions, removals, and changed fields as changes in the published file. A missing row cannot establish that a firm closed.

An analyst verifies identity and excludes private-residence details. Compliance review controls any external comparison. This is a firm-level territory brief with explicit coverage limits.

### Employer event watch.

“Which public-company filing should an adviser read before preparing an existing client's meeting?” The [SEC submissions API](https://www.sec.gov/search-filings/edgar-application-programming-interfaces) supports a bounded list of employer CIKs.

Collect accession number, form, filing date, and document reference. A reviewer reads the underlying filing before deciding whether an event is relevant. A form number alone cannot establish a merger, compensation change, or appropriate financial action.

Any authorized employer-to-client mapping remains private. Public requests contain issuer identifiers only. The output is a document-review queue without trading, account changes, or client messaging.

## Try the public demo

[Open Retirement plan landscape](/tools/retirement-plan-landscape)

The public view groups filing plans by supported geography and participant band. Read its filing year, plan population, and exclusions alongside the counts. It demonstrates the public data foundation; it cannot establish today's provider relationship or a sponsor's willingness to change firms.

The bulk files are prepared into aggregates on a schedule. Visitors do not need to upload account statements or client lists. The public output excludes signers, preparers, phone numbers, personal addresses, and participant information.

The private function adds reviewed plan matches, historical comparisons, and the firm's research decisions. Keep those private observations out of the public demonstration.

## The limits that shape the design

The system does not estimate household wealth, identify rollover targets, judge plan quality, or label fees excessive. It does not select investments, move money, or edit an account. A compliance reviewer must approve any later commercial claim derived from the research.

Outreach is a separate action. Public records supply evidence for research, not contact permission. Private client information needs its own access and confidentiality controls before any join is scoped.

When the firm has approved a service audience, the [financial advisor niche-page guide](/articles/financial-advisor-niche-service-pages) explains how to describe that audience publicly. Research counts do not establish expertise or demand for that service.

## Build the function your firm owns

Scale With Search scopes the sources, matching rules, exclusions, review steps, and handoff checks as working functions. Your firm keeps the filing history, corrections, and instructions needed to run the next review.

Each function starts from $7,500. The scope defines the accepted output before work begins.
