A supplement reorder needs more than the last invoice. The purchasing lead needs to know which legal company supplied it. Someone must check whether a historical record describes the same product, package, and lot. That evidence can sit apart from the practice's purchasing history. A supplier may use several names across a catalog, invoice, and public record. A familiar brand name does not settle the identity question. It uses public evidence without opening patient files. ## The flagship tool: supplier and stock evidence review. **Your question:** “What should I ask this supplier before another order, and have we checked the other names used for our stock?” The proposed tool brings dated public records into a purchasing review. The [openFDA food enforcement API](https://open.fda.gov/apis/food/enforcement/) supplies historical recall records and updates weekly. Its fields include a recall number, classification, product description, lot text, recalling firm, and dates. The food dataset includes supplement records; a broad supplement query is only a starting point. A bounded check on 2026.10.27 returned recall F-0276-2017 with Class II classification and a dietary-supplement description. The record carried separate initiation and report dates. Start with an approved vendor list and one inventory export. Retain the vendor identifier, legal name, known aliases, stock identifier, package description, and available lot information. Mark missing lot information explicitly. The collector checks warning letters weekly and prepares a monthly stock reconciliation from historical enforcement records. It compares legal names and addresses before assigning a public record to a vendor. Brand, manufacturer, package, and lot evidence then support a stock match. An uncertain match goes into a separate queue. The software must preserve distinctions between related companies and similar product names. It must never fill a missing lot with the nearest-looking number. ### What the purchasing lead receives. The weekly brief shows matched vendors, source dates, later-record links, and questions to resolve before a purchasing decision. The monthly workbook adds stock identifiers and the evidence supporting each candidate match. For example, a row may ask staff to confirm which manufacturer produced a package sold under a distributor's label. Another may ask for a lot record absent from the inventory export. Those are proposed review questions, not allegations about a named supplier. The compliance lead confirms identity and regulatory context. The clinical owner reviews any medical assertion. Purchasing records the accepted decision and supplier response. The function does not terminate a supplier, release stock, change treatment, or send a message. ### What becomes yours. Your practice retains corrected aliases, accepted matches, rejected matches, supplier responses, and renewal decisions. A new purchasing employee can see why a record was dismissed or why additional evidence was requested. That history is the private part of the tool. Another practice can read the same FDA publication. It cannot obtain your checked product identities and purchasing decisions from the public feed. The initial design has two working functions: public evidence collection with identity history, and vendor-to-stock reconciliation with a review queue. ## Two more tools. ### Community education planning sheet. “Which education topics have a documented basis in our county?” The [CDC PLACES data portal](https://www.cdc.gov/places/tools/data-portal.html) provides modeled local health estimates. A row identifies geography, measure, year, estimate, and confidence bounds. A planning function connects selected measures to a clinician-approved topic list. It retains observation years and uncertainty when preparing a workshop discussion sheet. The clinician and community-program lead decide whether a topic fits the practice's scope. County estimates cannot identify patients or prove demand for a paid service. Keep attendance summaries separate from health records. A workshop's attendance does not validate a treatment claim or establish a health outcome. ### Claim-to-evidence register. “Which approved claim needs another review after its source changes?” A small register links exact wording to its approved evidence and reviewer. The design keeps historical research separate from current safety action. Qualified staff must use current authoritative notices for any action. Warning letters require later context and identity checks. No public supplier score is produced. Export reuse and access conditions need confirmation before scheduled collection.
