# Your tree and landscape office keeps re-explaining every job to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

A useful preparation assistant works from the current job records. It can organize a site visit, draft a schedule update, or prepare a change-order handoff. It does not assess tree risk from a photograph, prescribe plant health care, choose rigging. It does not direct a crew, mark utilities, promise survival, put work on the calendar.

## Three jobs a tree and landscape agent can prepare from source records

### 1. Prepare an estimate handoff from the site visit

The agent reads `leads/TS-308/site-visit.md`, `leads/TS-308/photos/index.md`, and `estimating/current-service-options.md`. It writes `estimating/pending/TS-308-handoff.md` with the customer’s requested work, tree or bed locations as labeled, measurements already recorded, access width, gate and fence notes, overhead or nearby obstacles noted by the estimator, haul-away request, stump or grindings preference, irrigation notes, and unanswered scope questions.

It does not label a tree hazardous, infer species or disease, decide removal versus pruning, calculate a bid, select equipment, or promise permitting. Photos remain indexed evidence, not a substitute for the qualified site decision. Missing access, ownership, utility, permit, or scope facts create a stop.

### 2. Draft a recurring-service update from the route record

The agent reads `accounts/LM-912/service-plan.md`, `routes/2026-08-18/crew-4.md`, and `accounts/LM-912/visit-log.md`. It prepares `drafts/LM-912-service-update.md` with the visit date, services marked complete, areas skipped as recorded, gate or pet notes, irrigation issue as observed, weather interruption, photo references, and the next confirmed office step.

It does not claim a lawn was treated when the application record is absent, turn a requested revisit into a booking, diagnose turf or plant problems, or blame the crew or customer. If the route sheet and visit log disagree, it lists both exact records for the account owner.

### 3. Prepare a change-order brief from the crew note

The agent reads `jobs/J-641/original-scope.md`, `jobs/J-641/crew-notes/2026-08-18.md`, and `rules/change-orders.md`. It writes `jobs/J-641/pending-change.md` with original scope, the condition encountered, customer request as attributed, labor or material facts already documented, work paused, photos listed, and choices the estimator or production manager must make.

It does not authorize extra pruning, removal, soil, stone, plants, irrigation work, equipment, disposal, or labor. It does not create a price or tell the crew to continue. The accepted proposal controls the job until an authorized change is approved.

## What the owner keeps

You keep site-visit notes, labeled photos, proposals, plant schedules, service plans, route sheets, application records. You keep crew notes, change orders, permit or utility records, customer communications, price books. You keep approved warranty language, corrections, receipts. Scheduling, estimating, and field platforms can stay in place. The preparation brief points to approved records or exports for one job.

You keep source authority. The accepted proposal governs scope. The approved plant schedule governs named plants and quantities. The crew record governs what was completed or blocked. A signed change order governs added work. A current application record governs what was applied. Customer messages preserve requests but do not alter scope by themselves.

You keep the boundary between preparation and field judgment. The arborist or qualified tree lead owns tree condition, risk, pruning, removal, and treatment decisions. The landscape designer or estimator owns layout, material, plant, and price choices. Production owns crew, equipment, route, and weather calls. Unresolved identity, site ownership, access, utility, permit, or safety stops the run. So does unresolved scope, plant, application, schedule, or price.

The assistant does not send, book, dispatch, reroute, price, purchase, substitute a plant, change scope. It does not direct a crew, mark a tree safe, prescribe a treatment. It does not authorize chemical use, promise a completion date. It does not state that a plant warranty applies.

Approval binds the exact customer, site, proposal or work-order version, attachments, final language, sending account. Approval binds recipient. Changes to these facts require another review. Those facts include limb condition, access issue, plant substitution, material quantity, application, price, schedule, recipient.

An incomplete request could contain "remove two trees, how much". It could omit tree size, distance to the house, equipment access. It could omit whether the person owns the property. Write down the fields a site-visit request needs. Have the estimator approve every scope and booking.

## What to write down first

- **Public facts.** Service area and seasonal services.
- **Required fields.** Tree size, access, ownership, location, and callback details.
- **Current source.** Current site notes and accepted estimates per property. Name each job's current controlling file.
- **Approval and stops.** Name approvers. Stop for missing or conflicting facts.
- **Corrections.** The estimator dates accepted corrections in the current file. Check the next draft.

## Website
