# Your roofing company keeps re-explaining every job to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

The estimator is on a roof. The office has three quote callbacks. A homeowner asks what the insurance adjuster still needs. A review mentions cleanup. A crew lead has photos, but the latest note is in a text thread. Somebody asks AI to help and starts rebuilding the job from memory.

Which slope was discussed. Whether the estimate includes decking. What the carrier approved. Which color is still pending. Whether the homeowner asked for financing information. What the production manager has confirmed and what remains an estimate.

Give the roofing preparation job current approved files. Do not assume conversation memory contains every job fact. It prepares one bounded output from the current job file, company rules, and approved examples. It names missing facts and stops before sending, scheduling, charging, or promising a production date.

## Three jobs a roofing agent can prepare from source records

### 1. Draft an estimate follow-up from the price sheet and past quote

The agent reads `records/pricing/current-price-sheet.md`, `jobs/J-2217/estimates/EST-2217-03.md`, and `jobs/J-2217/contact-history.md`. The price sheet controls approved line descriptions. The estimate controls quantities, options, allowances, exclusions, and expiration. The contact history prevents a second request for information the homeowner already supplied.

It writes `drafts/J-2217-estimate-follow-up.md`. The draft can restate the recorded options and unresolved choice. It cannot change the total, add a discount, state that insurance will pay, promise material availability, or choose an installation date.

### 2. Prepare an adjuster update from the job file

The agent reads `jobs/J-1842/job-file.md`, `jobs/J-1842/insurance/claim-status.md`, and `jobs/J-1842/inspection/photo-index.md`. It prepares `drafts/J-1842-adjuster-update.md` with the claim number, documented inspection items, attachments already indexed, requested next step, and open questions.

The agent does not interpret policy coverage, alter measurements, describe an unrecorded condition, or send the update. If the job file and claim-status file disagree, the draft stops with both source paths listed for the production manager.

### 3. Draft a public review reply from the completion record

The agent reads `jobs/J-1974/completion/service-record.md` and `rules/public-review-replies.md`. It prepares `drafts/reviews/J-1974-reply.md` using the recorded completion and callback status.

The reply may thank the homeowner and acknowledge that the office is reviewing a concern. It does not post the address, claim details, crew names, disputed scope, or a promise that cleanup or repair is finished unless the completion record confirms it.

## What the roofing owner keeps

You keep the estimate files, inspection notes, photo index, selection record, claim-status note, production rules. You keep correction log, approval map, run receipt. A carrier portal or roofing platform can remain part of the workflow. The assistant’s brief must state which exported or linked record controls each fact.

You keep source order. A signed selection overrides an earlier color discussion. A current approved estimate overrides a draft. The job file controls current production status. A sample email can control structure but never donate facts from another roof.

You keep approval ownership. The estimator may approve estimate language. The production manager may approve schedule statements. The owner or authorized office lead may approve a public reply. The stopping point stays written: prepare the draft and receipt, then stop. Missing scope, coverage, recipient, or promised date causes an earlier stop.

## What the assistant never does without approval.

Configure and test these limits. [Human-review guidance](https://developers.openai.com/api/docs/guides/safety-best-practices).

The assistant does not send an estimate follow-up, contact an adjuster, publish a review reply. It does not book an inspection, move a crew, order material, charge a deposit. It does not change a supplement. It does not promise insurance coverage, code compliance, material availability, completion, or a start date.

Approval applies to the exact recipient, account, attachment set, and final text. Changed measurements, photos, estimates, or destinations invalidate the old approval. Prepare the action for review again.

## Defense

ChatGPT Work supports forms on some websites. Access and task steps affect completion. [OpenAI documentation](https://help.openai.com/en/articles/20001280-using-cloud-browser-in-chatgpt).

Example intake checks.

Example request: "roof leak after the storm, need an estimate". It could omit the roof type, insurer, and whether a claim is open. Write down the fields an inspection request needs before anyone climbs a ladder. Have the owner approve every price and every letter to an insurer.

Check your own site: [/check/trades](/check/trades)

The check reads visible fields and public facts. It cannot prove identity or server enforcement.

[See visible request fields](/check/trades#forms)

## What to write down first

- **Public facts.** Service area and roof types installed or repaired. The office owner keeps this list current.
- **Required fields.** Address, roof type, insurer, and open claim status. The office owner checks missing answers.
- **Current source.** Current quotes, measurements, and completion files per job. Name the current file that controls each job.
- **Approval and stops.** Name who approves messages and changes. Stop when required facts conflict or are missing.
- **Corrections.** The office owner puts accepted corrections in the current file. Date each change and check the next draft.

## Website

If your roofing company has no site, or one with a few old photos and a number, a homeowner with a leak or storm damage cannot tell whether you repair, replace, or work in their town.

A working site names the work you take: repairs, full replacements, storm inspections, and the roof types you install. It lists the towns you cover and states how an inspection is requested. It shows finished roofs your crews actually installed.

Scale With Search builds small websites for roofing companies. A small website costs **$1,500 to $2,500**, with SEO setup included. The written scope names the pages, the area you serve, and the way a visitor reaches you before work starts. [Full scope and terms](/work).

[Send your brief](/work#send-your-brief) with the work you take and the towns you cover.

## What it costs

Scale With Search builds three things for a roofing company: a scoped website, the source record behind it, and a business tool with defined inputs and outputs. A written scope states each price before work starts.

If you need help to define the job first, the session costs **$1,500**. That payment is **credited toward the build**. The [work page](/work) states website price bands, revision terms, and payment terms. Source records and preparation tools have separate lines in the written scope. That includes the three jobs above.

Start with the estimate, adjuster update, or review reply that keeps returning for repair.

## FAQ

### Can the assistant tell a homeowner what insurance will cover?

No. It can restate documented claim status from `jobs/J-1842/insurance/claim-status.md`. Coverage interpretation, supplement decisions, and promises about payment stay with authorized people and source records.

### Can it build an estimate from inspection photos?

That is not the first bounded job described here. It can index approved photos and prepare a summary. The designated estimator reviews and approves measurements, condition findings, scope, pricing, and code decisions.

### Will it remember selections and change orders?

Test whether it retrieves the current approved selections and change orders. A signed selection or change order must clearly override earlier texts, samples, or notes. Conflicts create a stop.

### Can it reply to every review automatically?

It can draft from the completion record and public-reply rules. Publication needs approval. A reply could disclose job details, admit disputed facts, or promise corrective work.

### Do we have to move every old roofing file first?

No. Start with the minimum current records for one job. Keep raw archives separate and label unverified material. Add facts to the working record only after an owner accepts them.
