# Your restoration office keeps re-explaining every loss to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

A bounded assistant prepares office work from the current loss file. It does not classify water, determine contamination, design drying, interpret readings, set equipment. It does not declare an area safe, estimate coverage, change scope, speak for the contractor.

## Three jobs a restoration agent can prepare from source records

### 1. Prepare a new-loss intake brief

The agent reads `intake/losses/2026-08-18-044.md` and `rules/emergency-intake.md`. It writes `dispatch/pending/2026-08-18-044-brief.md` with caller and contact information, service address, time discovered as stated, reported source, source-shutoff status as stated, affected areas named by the caller, standing-water or visible-damage description, access and occupancy notes, insurer and claim information if provided, and missing questions.

It does not classify the water, identify hazards, tell the caller to enter an area, direct shutoff work, set a response priority, promise arrival, or dispatch. Emergency, electrical, structural, health, and access concerns follow company protocol. Missing identity, address, safe-access, or callback information creates a stop.

### 2. Draft a drying-status update from the job file

The agent reads `jobs/W-624/moisture-map.md`, `jobs/W-624/equipment-log.md`, and `jobs/W-624/daily-notes/2026-08-18.md`. It writes `drafts/W-624-drying-update.md` with the last visit, affected rooms listed in the controlled file, equipment recorded on site, readings copied with their locations and timestamps, documented work completed, customer access need, and the next confirmed review step.

It does not interpret whether a material is dry, decide equipment changes, state that mitigation is complete, recommend demolition, or promise a removal date. If equipment counts, room labels, or reading locations disagree, it lists the exact conflicts for the project manager.

### 3. Prepare a claim-document packet index

The agent reads `jobs/F-219/authorization.md`, `jobs/F-219/estimate-current.md`, and `jobs/F-219/claim-log.md`. It prepares `claims/pending/F-219-packet-index.md` with customer and claim identifiers, authorization version, current estimate version, photo and daily-log references, contents or pack-out records named, invoices already approved for inclusion, insurer requests, and missing documents.

It does not interpret policy coverage, create an estimate line, change a price, concede causation, state insurer approval, release protected material, or send. The estimator and claim owner approve the exact packet, recipient, representations, and attachments.

## What the owner keeps

You keep intake calls, signed authorizations, loss files, source and affected area notes, moisture maps. You keep drying goals if formally recorded, equipment logs, daily field notes, photos, contents records. You keep estimates, change orders, invoices, claim communications, corrections, run receipts. Your restoration, estimating, documentation, and accounting platforms can remain in place. The brief points to the exact approved records or exports.

You keep source order. The signed authorization governs permitted work. The qualified field record governs classifications, observations, readings, and documented actions. The current estimate governs priced scope. The equipment log governs recorded placement and count. The claim log governs communication history. A caller’s description stays attributed until qualified staff record findings.

You keep technical judgment and approval. Qualified restoration staff own hazard recognition, water classification, drying decisions, and material handling. They also own equipment, cleaning, demolition, and completion. The estimator owns estimate lines and price. The project or claim owner owns customer and insurer communication. The assistant finishes at draft plus receipt. Identity, authorization, safety, source, classification, or affected area conflicts stop it earlier. The assistant does not send, dispatch, book, enter a site, direct emergency action. It does not classify a loss, change equipment, alter scope, price work. It does not submit a claim document, charge, refund, promise coverage. It does not declare an area safe, say drying or cleaning is complete.

Approval binds the exact loss, authorization, estimate, log versions, attachments, sending account or portal, recipient. Approval binds final text. New affected areas, hazards, readings, equipment changes, or scope lines require another review. So do changed prices, insurer positions, completion claims, or recipients.

An incomplete request could contain an address and "water in the basement". It could omit the source, the time it started, the insurer. It could omit whether the caller owns the property. ## What to write down first

- **Public facts.** Service area and contact hours.
- **Required fields.** Source, start time, insurer, owner, address, and callback details.
- **Current source.** Current job and document history per loss. Name each job's current controlling file.
- **Approval and stops.** Name approvers. Stop for missing or conflicting facts.
- **Corrections.** The project manager dates accepted corrections in the current file. Check the next draft.

## Website

### Can it submit an estimate and photos to an adjuster?

It can prepare a packet index. The claim owner reviews the current estimate, authorizations, attachments, recipient, portal, representations before any submission.

### Does this replace our restoration management software?
