# Your pest control office keeps re-explaining every account to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

Use current approved files for the draft. Name its reviewer.

The useful job is narrower than “run customer service”. A preparation assistant reads current account records. It produces one office artifact for review. It does not identify a pest from a blurry photo, choose a pesticide. It does not change an application, give risk advice, promise elimination. It does not add a stop to the route.

## Three jobs a pest control agent can prepare from source records

### 1. Prepare a callback brief from the account and service ticket

The agent reads `accounts/PC-1842/service-plan.md`, `tickets/PC-1842-0818.md`, and `rules/callbacks.md`. It writes `dispatch/pending/PC-1842-callback-brief.md` with the customer’s words, rooms or exterior areas named, target pest on the active plan, last completed service, products recorded on that ticket, technician notes, access conditions, warranty or callback terms as written, and questions still missing.

It does not decide whether the new activity is covered, label the condition an infestation, recommend a chemical, set priority, waive a charge, or book a technician. If the ticket lacks the service date, application record, customer identity, or safe-access note required by company policy, the brief stops there.

### 2. Draft a commercial service report cover note

The agent reads `commercial/AC-771/monthly-log-2026-08.md`, `commercial/AC-771/device-map.md`, and `templates/commercial-cover-note.md`. It prepares `drafts/AC-771-august-cover-note.md` with the account name, service date, inspected areas, device or station numbers listed in the log, recorded findings, corrective actions already documented, sanitation or exclusion observations attributed to the technician, and attachments named for delivery.

It does not rewrite findings, certify a site pest-free, claim compliance, infer activity from a device count, or send the report. A missing technician signature, mismatched device number, incomplete material record, or disputed finding goes to the account manager in a blocked receipt.

### 3. Prepare a termite estimate handoff from the inspection file

The agent reads `termite/T-490/inspection-report.md`, `termite/T-490/structure-diagram.md`, and `pricing/termite-options-current.md`. It writes `estimating/pending/T-490-handoff.md` with the structure areas inspected, inaccessible areas, observations copied from the signed report, linear or square measurements already recorded, treatment options allowed by the current price sheet, warranty language by exact version, and decisions the estimator still owns.

It does not diagnose hidden damage, select a treatment method, calculate unrecorded measurements, alter a graph, promise control, or issue a price. The signed inspection controls observations. The current price sheet supplies approved options. The estimator controls scope and the final proposal.

## What the owner keeps

You keep customer and commercial account files, service plans, route notes, signed inspection reports. You keep application records, product labels and safety documents, device maps, callback rules, price sheets. You keep approved templates, corrections, run receipts. Your pest-management or route platform can stay in place. The brief names the exact approved input record or export.

You keep source order. The signed service record governs what was applied and where. The active service plan governs covered targets and frequency. Current labels and company protocol govern permitted handling. A customer report remains a customer report until a qualified person records a finding. An old route note cannot silently override a revised plan.

You keep approval. Dispatch owns route changes. The licensed or designated technical lead owns pest identification, treatment, product, label, safety, risk questions. The account manager owns commercial communication. The estimator owns scope and price. Preparation ends with the draft and receipt. Identity, target pest, service coverage, application, access, or safety conflicts stop work. Schedule, price, warranty, or recipient conflicts also stop work.

The assistant does not send, book, dispatch, reroute, charge, refund, waive a fee. It does not select a product, change an application, direct pesticide use. It does not alter a service plan, close a complaint, promise a result. It does not provide medical, veterinary, risk, label, or regulatory advice.

Approval covers the exact account, service record, attachment set, recipient, sending account, and final text. Changes to these facts require another review. Those facts include pest report, changed site condition, product question, route time, price, warranty term. Those facts include recipient.

An incomplete request could contain "ants again, come back". It could omit the account number, the service address, the date of the last visit. Write down the fields a callback request needs. Have the office approve every booking and every statement about a treatment.

## What to write down first

- **Public facts.** Service area, hours, and pests handled.
- **Required fields.** Account number, service address, and date of last visit.
- **Current source.** Current account files and service tickets per property. Name each job's current controlling file.
- **Approval and stops.** Name approvers. Stop for missing or conflicting facts.
- **Corrections.** The office owner dates accepted corrections in the current file. Check the next draft.

## Website

If your pest control company has no site, or one page with a bug photo and a number, a homeowner with termites or rodents cannot tell whether you treat that pest in their town.

A working site names the pests you treat and the plans you sell, such as quarterly service, termite protection, and one-time treatment. It lists the towns you cover and how an inspection is requested. It states the licensing facts your office has approved to publish.

No. It can attach the photo reference and preserve the customer’s description. Identification, treatment, safety, and product decisions remain with qualified staff and company protocol.

### Can it tell a customer whether a callback is free?

### Can it schedule the nearest technician?
