# Your estimating office keeps re-explaining the job to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

Your estimating office handles paving, concrete, or flooring requests while crews work elsewhere. ChatGPT can draft a reply, but it still needs the current quote and site notes. Staff repeat the accepted work, access details, and dates with each draft.

A request for more work can look like an approved change. Keep it separate until the estimator checks the scope.

Start with one office job. Give the assistant the current files and written rules for that job. It prepares a draft and stops. A staff member approves every message before it goes out.

## Three jobs a contractor office assistant can prepare from source records

### 1. Prepare a site inquiry summary from call notes

The assistant reads call notes, your service list, and the intake checklist. It lists the location, requested work, callback details, access notes, and supplied files. It keeps paving, concrete, and flooring requests under your written service rules.

It does not choose materials, assess site conditions, calculate a price, or book a crew. Missing access or scope becomes a question. The estimator reviews the summary before the office replies.

### 2. Draft a quote follow-up from the accepted scope

The assistant reads the current quote, contact history, and approved follow-up rules. It drafts the stated work, approved price, exclusions, and customer choice still open. Measurements appear only when the quote already contains them.

It cannot invent quantities, change materials, offer discounts, or promise a start date. A request for extra work stays separate from the quoted scope. The estimator approves any changed offer before staff send it.

### 3. Draft a job update from the crew notes

The assistant reads crew notes, the current job file, and approved update rules. It drafts documented work, open access questions, and the next confirmed office step. An approved schedule supplies any date included in the draft.

It does not infer completion, approve site conditions, or promise that work can start. Conflicting notes become questions for the job owner. The office checks scope and timing before the message goes out.

## What the contractor keeps

You keep the service lists, intake checklists, call notes, current quotes. You also keep contact history, crew notes, and corrections. Your current office software can stay in place. Name the current file for each job before the assistant starts.

The approved quote controls work and price. Crew notes control documented progress. The current schedule controls confirmed dates. A site request or outside message cannot approve a new material, quantity, or start date. Staff update the written rule when the office changes its process. Corrections stay with the job files so later drafts use the right information.

## What the assistant never does without approval

Configure and test these limits. [Human-review guidance](https://developers.openai.com/api/docs/guides/safety-best-practices).

The assistant does not send or publish anything. It does not choose materials, approve site conditions, add quantities, change prices. It cannot book a crew, charge, or promise timing. Staff make those decisions under the business's own rules.

Approval covers the named customer, current files, recipient, and final text. A changed material, quantity, scope, or date needs another review. An approved draft does not authorize a different message.

## Defense

ChatGPT Work supports forms on some websites. Access and task steps affect completion. [OpenAI documentation](https://help.openai.com/en/articles/20001280-using-cloud-browser-in-chatgpt).

Example intake checks.

An inquiry could say "quote the floor" without naming the location or requested work. Require the location, callback details, work type, access notes, and supplied scope first. Have the office check the request against its written intake rules before preparing a response. Require staff approval for every message before it goes out.

Check your own site: [/check/trades](/check/trades)

The check reads visible fields and public facts. It cannot prove identity or server enforcement.

[See visible request fields](/check/trades#forms)

## What to write down first

- **Public facts.** Service area and accepted paving, concrete, or flooring work. The project manager keeps this list current.
- **Required fields.** Location, work type, access notes, and callback details. The project manager checks missing answers.
- **Current source.** Current quotes and accepted crew notes. Name the current file that controls each job.
- **Approval and stops.** Name who approves messages and changes. Stop when required facts conflict or are missing.
- **Corrections.** The project manager puts accepted corrections in the current file. Date each change and check the next draft.

## Website

A small site names the paving, concrete, and flooring work your company accepts. It states the service area and how a quote starts. Show supplied work examples and ask for the scope your estimator needs. Keep the public details current when your hours, services, or inquiry rules change.

Scale With Search builds small websites for paving, concrete, and flooring contractors. A small website costs **$1,500 to $2,500**, with SEO setup included. The written scope names the pages, service area, supplied material, and inquiry path. You review that scope before work starts. [Full scope and terms](/work).

[Send your brief](/work#send-your-brief) with the work you accept and the area you serve.

## What it costs

Scale With Search builds three things for a paving contractor: a scoped website, the source record behind it, and a business tool with defined inputs and outputs.

A written scope states each price before work starts.

The working session is **$1,500 and credited toward the build**. Start with the inquiry summary or quote follow-up. [Current prices and terms](/work).

[Send your brief](/work#send-your-brief) to get a written scope. The brief form creates no invoice or charge.

## FAQ

### Can the assistant choose materials for a job?

No. It restates the materials already named in the approved quote. The estimator or qualified staff make any new choice.

### Can it estimate quantities from an inquiry?

No. It lists quantities already supplied and identifies missing details. The estimator checks measurements and prepares the quote.

### Can it promise a crew start date?

It may restate a confirmed date from the current schedule. It does not turn a requested date into a crew booking.

### What if extra work appears in a follow-up?

The assistant separates that request from the current quoted scope. The estimator reviews it before any offer changes.

### Does this replace our estimating software?

No. Start with approved quotes and job exports for the chosen office task. Replacing software needs its own written scope.
