Configure these example jobs with limited permissions and staff approval. Test limits and check drafts. An RFQ arrives with several files. Purchasing needs a vendor update. A customer asks whether parts remain on schedule. The job folder holds the latest drawing revision. An older quote references the prior revision. Quality has an inspection note. The office asks AI to prepare a response. Staff then reconstruct the job from filenames and memory. Which revision controls. What quantity was quoted. Whether material is customer-supplied. Which outside process is pending. What inspection result is recorded. Which date is confirmed and which is only a request. A shop assistant prepares a bounded summary or draft from controlled records. People decide machinability, tolerance acceptance, process sequence, inspection disposition, and delivery. The assistant stops at engineering, quality, price, schedule, and customer-commitment gates. ## Three jobs a shop agent can prepare from source records ### 1. Prepare an RFQ summary from the intake record The agent reads `rfq/RFQ-4821/intake-note.md`, `rfq/RFQ-4821/file-register.md`, and `rules/rfq-triage.md`. It writes `rfq/RFQ-4821/triage-summary.md` with customer, part number as stated, quantity, requested date, listed material, files received, revision labels, special processes mentioned, inspection documents requested, and unresolved questions. It does not select the controlling revision when files conflict, judge manufacturability, calculate cycle time, choose tooling, accept a tolerance, or quote. A missing drawing, unreadable file, conflicting revision, or unclear quantity creates a blocked triage record. ### 2. Draft a quote follow-up from the price sheet and past quote The agent reads `records/pricing/shop-rate-sheet.md`, `quotes/Q-3908/quote.md`, and `quotes/Q-3908/contact-history.md`. It writes `drafts/Q-3908-follow-up.md` using the recorded quantity breaks, scope, material responsibility, outside-process assumptions, exclusions, total, validity, and open customer question. The rate sheet supplies approved internal descriptions. The quote controls the customer-facing offer. The agent does not recalculate a price, substitute material, add an operation, change a lead time, or reuse another part’s assumptions. ### 3. Prepare a customer status update from the job file The agent reads `jobs/WO-7719/job-file.md`, `jobs/WO-7719/traveler-status.md`, and `jobs/WO-7719/quality/inspection-status.md`. It prepares `drafts/WO-7719-customer-update.md` with the last recorded operation, outside-process status, inspection state, open exception, and the current approved commitment if one exists. It does not claim parts passed inspection, promise shipment, disclose another customer’s capacity or data, waive a nonconformance, or send. Conflicting traveler and inspection status creates a stop for production and quality owners. ## What the owner keeps You keep the RFQ register, controlled drawing references, revision decisions, quotes, rate rules, travelers. You keep inspection status, approved customer-update rules, corrections, receipts. The actual controlled systems remain authoritative where required. The assistant receives only the source paths and exports approved for its job. You keep source roles. The revision decision controls which drawing applies. The quote controls offered price and assumptions. The traveler controls recorded production state. Quality controls inspection and disposition. It could omit the drawing, revision letter, tolerance, and material specification. Write down what an RFQ must contain before an estimator opens it. The estimator keeps this list current. - **Required fields.** Drawing, revision, quantity, material, and tolerance. The estimator checks missing answers. - **Current source.** Current drawing revisions and quote history per customer. Name the current file that controls each job. - **Approval and stops.** Name who approves messages and changes. Stop when required facts conflict or are missing. - **Corrections.** The estimator puts accepted corrections in the current file. Date each change and check the next draft. ## Website If your shop has no site, or one with a logo and an old machine list, a buyer with a drawing cannot tell whether you run their material, hold their tolerance, or quote their quantity. A working site names the processes you run, such as CNC milling, turning, and inspection, with the materials and part sizes you take. It can organize RFQ inputs and restate an approved quote. Estimating, engineering, tooling, material, outside processing, and schedule decisions remain with designated owners. ### Can it tell a customer that parts passed inspection? Only an approved message may restate a current quality record. The assistant does not interpret results, close an exception. It does not convert an incomplete inspection status into acceptance. ### What if the traveler and job file disagree? The output lists both source paths and stops. Production and quality owners correct the controlled record. The assistant does not choose the status that makes the update easier. ### Does this require replacing our ERP or quality system? No. The brief can point to approved exports or readable records. Current systems retain authority.
