# Your dispatch office keeps re-explaining the job to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

Your dispatch office handles freight, warehouse, or courier questions while the work keeps moving. ChatGPT still needs the accepted request, job file, current status, and written office rules. Staff repeat those details before every new draft.

A requested delivery window can look like a confirmed promise. Keep requests separate from the dates the office has approved.

Start with one office job. Give the assistant the current files and written rules for that job. It prepares a draft and stops. A staff member approves every message before it goes out.

## Three jobs a logistics office assistant can prepare from source records

### 1. Prepare a shipment inquiry summary from request notes

The assistant reads request notes, the service area, and the written intake checklist. It lists the requested service, locations, contact details, access notes, and supplied shipment information. Missing answers become questions for the dispatch office.

It does not accept a shipment, choose a route, price work, or assign a driver. It keeps any stated concern in the sender's words. Missing location, authority, or scope stops the draft for dispatch review.

### 2. Draft a customer status update from approved files

The assistant reads the accepted request, current job status, and approved update format. It drafts documented progress, open paperwork, and the next confirmed office step. An approved time comes from the current dispatch file.

It does not infer delivery, claim receipt, or promise arrival from an old note. It cannot change a route, schedule, or service. Conflicting status entries stop the update until dispatch checks them.

### 3. Prepare a paperwork checklist from the job file

The assistant reads the job file, document list, and your written checking rules. It lists the files already received, missing items, and questions for the office. Each item points staff to the source file they should inspect.

It does not certify a shipment, approve an item, interpret rules, or submit paperwork. It cannot treat a received file as proof that its contents are correct. The job owner checks the documents and decides what remains open.

## What the company owner keeps

You keep the request notes, service lists, accepted requests. You also keep dispatch files, status notes, document lists, and corrections. Your current office software can stay in place. Name the current file for each job before the assistant starts.

The accepted request controls scope. The current dispatch file controls approved timing. Status notes control documented progress. The document list controls paperwork checks. An incoming message cannot approve a route change or confirm delivery by itself. Staff update the written rule when the office changes its process. Corrections stay with the job files so later drafts use the right information.

## What the assistant never does without approval

Configure and test these limits. [Human-review guidance](https://developers.openai.com/api/docs/guides/safety-best-practices).

The assistant does not send or publish anything. It does not accept shipments, choose routes, dispatch drivers, promise arrival. It cannot certify paperwork, charge, or change services. Staff make those decisions under the business's own rules.

Approval covers the named customer, current files, recipient, and final text. A changed shipment, location, service, or time needs another review. An approved draft does not authorize a different message.

## Defense

ChatGPT Work supports forms on some websites. Access and task steps affect completion. [OpenAI documentation](https://help.openai.com/en/articles/20001280-using-cloud-browser-in-chatgpt).

Example intake checks.

A request could say "deliver tomorrow" without naming the locations or shipment details. Require the requested service, locations, callback details, access notes, and shipment information before review. Have the office check the request against its written intake rules before preparing a response. Require staff approval for every message before it goes out.

Check your own site: [/check](/check)

The check reads visible fields and public facts. It cannot prove identity or server enforcement.

[See visible request fields](/check#forms)

## What to write down first

- **Public facts.** Service area and accepted freight, warehouse, or courier work. The dispatch lead keeps this list current.
- **Required fields.** Locations, shipment details, callback contact, and access notes. The dispatch lead checks missing answers.
- **Current source.** Current dispatch file and paperwork checklist. Name the current file that controls each job.
- **Approval and stops.** Name who approves messages and changes. Stop when required facts conflict or are missing.
- **Corrections.** The dispatch lead puts accepted corrections in the current file. Date each change and check the next draft.

## Website

A small site names your freight, warehouse, courier, or supply chain services. It states the area you serve and the information needed to request work. Give visitors a clear inquiry path that reaches the office handling that service. Keep the public details current when your hours, services, or inquiry rules change.

Scale With Search builds small websites for logistics and supply chain companies. A small website costs **$1,500 to $2,500**, with SEO setup included. The written scope names the pages, service area, supplied material, and inquiry path. You review that scope before work starts. [Full scope and terms](/work).

[Send your brief](/work#send-your-brief) with the services you offer and the area you cover.

## What it costs

Scale With Search builds three things for a logistics company: a scoped website, the source record behind it, and a business tool with defined inputs and outputs.

A written scope states each price before work starts.

The working session is **$1,500 and credited toward the build**. Start with the inquiry summary or customer status update. [Current prices and terms](/work).

[Send your brief](/work#send-your-brief) to get a written scope. The brief form creates no invoice or charge.

## FAQ

### Can the assistant dispatch a driver?

No. It organizes the inquiry and missing details for dispatch. Staff decide routes, assignments, and timing.

### Can it tell a customer the shipment arrived?

It may restate a confirmed status from the current job file. It cannot infer delivery from a route note or old time estimate.

### Can it approve shipment paperwork?

No. It lists received files and missing items under your checklist. The job owner checks their contents and decides what is approved.

### What if the dispatch file and request disagree?

The assistant identifies the conflicting entries and stops. Dispatch confirms the right scope and timing before another draft.

### Does this replace our logistics software?

No. Start with approved exports for the chosen office job. Replacing your current software needs its own written scope.
