# Your MSP keeps re-explaining every client environment to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

A user cannot reach a shared drive. An alert fired on a server with a maintenance window tonight. A client wants an update on an onboarding task. One technician remembers the firewall exception, but the ticket points to an older runbook. The service desk asks AI for help. Staff then reconstruct the tenant, user, device, asset, contract, and ticket history. They also reconstruct the access boundary, change window, and escalation path.

A useful assistant prepares service-desk work from authorized records. It does not run commands, reset credentials, change a tenant, alter a firewall. It does not disable security controls, close an alert, make a production change. It does not contact the client.

## Three jobs an MSP agent can prepare from source records

### 1. Prepare a ticket triage brief

The agent reads `tickets/TK-18493.md`, `clients/ACME/service-catalog.md`, and `rules/triage.md`. It writes `service-desk/pending/TK-18493-brief.md` with requester identity as recorded, client and site, affected user or system, symptoms in the requester’s words, business impact as stated, recent changes mentioned, asset and configuration-record links, applicable service entry, troubleshooting already documented, and missing intake questions.

It does not assign severity by instinct, diagnose a root cause, expose secrets, run a tool, reset access, or assign a technician. The written triage and incident rules govern priority and escalation. An unresolved requester, tenant, asset, authorization, outage scope, security indicator, or contract boundary creates a stop.

### 2. Draft a client incident update from the incident record

The agent reads `incidents/INC-077/status.md`, `incidents/INC-077/timeline.md`, and `clients/ACME/communication-rules.md`. It prepares `drafts/INC-077-client-update.md` with affected service as recorded, detected time, approved impact statement, confirmed actions already completed, current workstream, next update time approved by the incident lead, and client questions or actions already authorized.

It does not speculate about cause, name an attacker, claim containment or recovery, disclose another tenant, promise restoration, or send. If monitoring, ticket, and incident records disagree, it lists the conflict for the incident commander.

### 3. Prepare a change review packet

The agent reads `changes/CHG-442/request.md`, `runbooks/vpn-gateway.md`, and `clients/ACME/change-policy.md`. It writes `changes/pending/CHG-442-review.md` with requested outcome, in-scope systems, current configuration references, runbook version, prerequisites, maintenance window, backup or rollback record named by the requester, validation checks, approval roles, and missing evidence.

It does not write unreviewed commands, retrieve credentials, approve the change, execute it, choose a window, suppress monitoring, or mark validation complete. A stale runbook, missing rollback path, unclear tenant, absent authorization, or production conflict blocks the packet.

## What the owner keeps

You keep client agreements, service catalogs, tenant and site identifiers, asset and configuration records, tickets. You keep runbooks, monitoring records, incident timelines, change requests, approval maps, credential-handling rules, maintenance windows. You keep communication templates, corrections, receipts. PSA, RMM, documentation, monitoring, identity, and ticket platforms can remain in place. The brief names the minimum approved records or exports for one job.

You keep source order and separation. The current client agreement and service catalog govern scope. The live configuration system governs recorded assets and settings. The approved runbook governs procedure. The incident record governs public status. A prior ticket or technician memory cannot silently override a controlled configuration or security rule. Keep client records separate. Reject drafts that mix tenant information.

You keep access and operational approval. The service-desk lead owns triage. The incident commander owns incident statements. The change owner and named approvers own production changes. Security events follow the security plan. Unclear requester identity, tenant, authorization, asset, or service scope stops the run. So does an unclear credential boundary, security indicator, runbook, change window, rollback, approval, or recipient.

The assistant does not send, page, assign, close, reset, authenticate, execute code. It does not open a remote session, change configuration, alter access, disable protection. It does not suppress an alert, approve a change, expose a credential, claim recovery.

Approval binds the exact client tenant, user, ticket or change version, tool and account. Approval binds commands if any, maintenance window, attachments, recipient, final text. Changes to these facts require another review. Those facts include system, scope, command, credential need, security finding, timing, rollback plan, recipient.

Example intake checks.

A password-reset request could give a plausible name without a known callback contact. Write down how a request is verified before anyone acts on it. Require approval from the named technician and the client's authorized contact before account changes.

## What to write down first

- **Public facts.** Support hours and public service descriptions.
- **Required fields.** Ticket details and verification against authorized client contacts.
- **Current source.** Signed service scope, current change files, and accepted instructions per client. Name each job's current controlling file.
- **Approval and stops.** Name approvers. Stop for missing or conflicting facts.
- **Corrections.** The named technician dates accepted corrections in the current file. Check the next draft.

## Website

If your MSP has no site, or one that reads like every other IT company, a business owner cannot tell which services you manage, which clients you take, or how onboarding starts.

A working site names the services you run, such as help desk, device management, backup, and security review, and the size of client you take. It states the area you cover on site and how an assessment request starts. It gives a prospect a request path that is not your support queue.

## FAQ

### Can the assistant log into a client tenant and fix the ticket?

Not in this preparation contract. It reads approved records and prepares a brief. Authentication, remote access, commands, configuration, and production changes remain separately authorized actions.

### Can it set ticket priority?

It can collect the fields required by the written triage rules. The service desk or fixed policy sets priority. That applies when impact, scope, identity, security, or contract facts need confirmation.

### Can it draft an outage update?

Yes, from an approved incident record and communication rules. The incident commander reviews cause language, impact, timing, client scope, recovery claims, and send.

### Can different clients share the same memory folder?

No. Shared service rules can have one controlled source. Enforce separation for tenant assets, tickets, configurations, credentials, communications, and outputs.

### Does this replace our PSA, RMM, or documentation platform?

No. Start with minimum approved exports and one read-only preparation job. Platform replacement or execution access requires a separate outcome and risk review.
