# Your HVAC office keeps re-explaining the business to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

Somebody opens an AI assistant and explains the company again. Which neighborhoods you cover. How diagnostic fees are described. Which equipment options were quoted. Why this customer received a return visit. Which promises the office will not make before a technician confirms the condition.

That explanation is business memory. Keep the current office rules in files you control. ChatGPT memory does not retain every detail. It prepares bounded work from records your company controls. It stops before representing the company.

## Three jobs an HVAC agent can prepare from source records

### 1. Draft a quote follow-up without inventing a price

The agent reads `records/pricing/current-price-sheet.md`, `customers/C-1048/quotes/Q-1048-02.md`, and `customers/C-1048/contact-history.md`. The price sheet supplies approved descriptions. The quote file supplies the equipment options, quoted total, exclusions, and expiration date. The contact history shows what the office already said.

It writes `drafts/C-1048-quote-follow-up.md`. The draft can restate the existing options and ask whether the customer has questions. It cannot add a discount, change financing language, claim equipment availability, or promise an installation date. Missing or conflicting terms produce a blocked note for the comfort adviser.

### 2. Prepare a review reply from the completed service record

The agent reads `customers/C-0861/service/SV-0861-2026-08-17.md` and `rules/public-review-replies.md`. The service record shows the reported problem, work performed, callback status, and the office owner for follow-up. The rule file states what may be acknowledged in public and what stays private.

It writes `drafts/reviews/SV-0861-reply.md`. The reply may thank the reviewer and invite a direct conversation. It does not diagnose equipment in public, argue about a disputed charge, disclose address details, or claim the issue is closed when the service record says it is open.

### 3. Turn a call note into a dispatch-ready intake summary

The agent reads `intake/calls/2026-08-18-1432-C-NEW.md` and `rules/dispatch-intake.md`. It prepares `dispatch/pending/2026-08-18-1432-summary.md` with the caller, service address, system type if stated, symptoms in the caller’s words, access notes, existing-customer status, and unresolved questions.

It does not select a diagnosis, assign a technician, set priority, or book the call. If the note lacks a safe callback number, service address, or approval to enter the property, the summary names the gap and stops.

## What the HVAC owner keeps

You keep the files that control the work: the current price sheet and quote history. You keep customer service records, dispatch rules, approved public language, corrections, and run receipts. The records can live in readable folders or another system you control. Test a replacement tool against the approved files and their formats. Confirm its access before relying on a draft.

You also keep the rules. A quote file controls quoted facts. A price sheet controls current descriptions. A service record controls what happened on the job. A public-reply guide controls disclosure and tone. When two current records conflict, the assistant does not choose the convenient version.

Approval covers the exact action, recipient, account, and final text. An edited draft needs a fresh check. The assistant prepares the draft. The person who approves the draft owns the message.

## What to write down first

- **Public facts.** Service area, hours, and serviced system types.
- **Required fields.** Address, system type, callback details, and priority questions.
- **Current source.** Current price sheet, quote history, and dispatch instructions. Name each job's current controlling file.
- **Approval and stops.** Name approvers. Stop for missing or conflicting facts.
- **Corrections.** The service manager dates accepted corrections in the current file. Check the next draft.

## Website

### Can it follow up on open estimates automatically?

It can prepare follow-ups from the exact quote and contact history. Sending needs separate approval. The recipient, offer, wording, and timing can carry business consequences.

### What happens when a technician corrects the office note?

The accepted correction goes into the owned service record or correction log. The next test should prove the assistant uses the corrected fact. Editing an old chat does not update the operating record.

### Do we need to replace our dispatch or field-service software?
