# Your project office keeps re-explaining the job to AI.

Configure these example jobs with limited permissions and staff approval. Test limits and check drafts.

Your project office uses ChatGPT to draft updates between calls and site visits. It still needs the accepted quote, customer request, site notes, and confirmed schedule. Put those details in the current job files before preparing a draft.

A remodeler and a small construction firm need the same clear stopping point. A request for extra work belongs in a summary until the contractor approves it.

Start with one office job. Give the assistant the current files and written rules for that job. It prepares a draft and stops. A staff member approves every message before it goes out.

## Three jobs a project office assistant can prepare from source records

### 1. Prepare a project inquiry summary from call notes

The assistant reads call notes, service area, and the intake checklist. It lists the project location, requested work, contact, access details, and supplied files. Missing scope or authority becomes a question for the office.

It does not accept a project, estimate a price, give building instructions, or schedule work. A stated concern stays in the caller's words. The contractor checks the summary before the office takes the next step.

### 2. Prepare a change summary before the contractor requotes

The assistant compares the accepted quote, customer change request, and current project notes. It lists the requested additions, removals, dates, and questions for the contractor. The accepted scope stays separate from work the customer only requested.

It does not calculate a new price, approve a change, or promise a finish date. Missing or conflicting quote versions stop the summary. The contractor decides what to offer before staff draft the response.

### 3. Draft a project update from approved site notes

The assistant reads the current job file, site notes, and approved update format. It drafts documented progress, open questions, and the next confirmed office step. The current schedule supplies any approved date in the draft.

It does not claim an inspection passed or turn unfinished work into completed work. It cannot assign a crew or change the schedule. The project owner reviews the facts and final message.

## What the contractor keeps

You keep the call notes, intake checklists, accepted quotes, and change requests. You also keep site notes, schedules, and corrections. Your current office software can stay in place. Name the current file for each job before the assistant starts.

The accepted quote controls scope. The approved change controls any added work. Site notes control documented progress. The current schedule controls confirmed dates. A customer message starts a request; it does not approve a change. Staff update the written rule when the office changes its process. Corrections stay with the job files so later drafts use the right information.

## What the assistant never does without approval

Configure and test these limits. [Human-review guidance](https://developers.openai.com/api/docs/guides/safety-best-practices).

The assistant does not send or publish anything. It does not accept work, approve changes, reprice a job, or assign a crew. It cannot schedule, charge, or direct building work. Staff make those decisions under the business's own rules.

Approval covers the named customer, current files, recipient, and final text. A changed scope, quote version, site note, or date needs another review. An approved draft does not authorize a different message.

## Defense

ChatGPT Work supports forms on some websites. Access and task steps affect completion. [OpenAI documentation](https://help.openai.com/en/articles/20001280-using-cloud-browser-in-chatgpt).

Example intake checks.

A project inquiry could say "remodel this room" without a location or callback details. Require the project location, requested work, contact, access details, and caller's authority. Have the office check the request against its written intake rules before preparing a response. Require staff approval for every message before it goes out.

Check your own site: [/check/trades](/check/trades)

The check reads visible fields and public facts. It cannot prove identity or server enforcement.

[See visible request fields](/check/trades#forms)

## What to write down first

- **Public facts.** Service area and accepted construction or remodeling work. The project manager keeps this list current.
- **Required fields.** Project location, scope, callback details, access, and caller authority. The project manager checks missing answers.
- **Current source.** Accepted quotes, change requests, and current project site notes. Name the current file that controls each job.
- **Approval and stops.** Name who approves messages and changes. Stop when required facts conflict or are missing.
- **Corrections.** The project manager puts accepted corrections in the current file. Date each change and check the next draft.

## Website

A small contractor site names the work you accept and the area you cover. It shows supplied project examples and explains how an inquiry starts. Ask for the project location, requested work, and callback details in that path. Keep the public details current when your hours, services, or inquiry rules change.

Scale With Search builds small websites for general contractors. A small website costs **$1,500 to $2,500**, with SEO setup included. The written scope names the pages, service area, supplied material, and inquiry path. You review that scope before work starts. [Full scope and terms](/work).

[Send your brief](/work#send-your-brief) with the work you accept and the towns you cover.

## What it costs

Scale With Search builds three things for a general contractor: a scoped website, the source record behind it, and a business tool with defined inputs and outputs.

A written scope states each price before work starts.

The working session is **$1,500 and credited toward the build**. Start with the inquiry summary or change summary. [Current prices and terms](/work).

[Send your brief](/work#send-your-brief) to get a written scope. The brief form creates no invoice or charge.

## FAQ

### Can the assistant price a requested change?

No. It compares the request with the accepted quote. The contractor decides scope and price before anything reaches the customer.

### Can it tell the customer when work finishes?

It may restate a confirmed date from the current schedule. It cannot infer a finish date from progress notes.

### Can it accept a construction project?

No. It organizes inquiry details and missing questions. The contractor decides whether to accept the work.

### What if a customer request changes the plan?

The assistant keeps the request separate from the accepted scope. It prepares a change summary and waits for the contractor.

### Does this replace our project software?

No. Start with approved exports for the chosen office job. Replacing your project software needs its own written scope.
