# What Stops Working When You Stop Paying for the Model.

The company card declines. The paid model tier disappears. A recurring workflow that looked like business infrastructure turns out to depend on one account, one interface, and several conversations nobody exported.

The model stopping is expected. The [business record](/articles/stop-re-explaining-your-business-to-ai) disappearing with it is a design failure.

Your system should separate the rented capability from the assets you keep.

## The model is one dependency

A paid AI product may provide model access, larger limits, project features, hosted memory, connectors, scheduled tasks, or team controls. The exact feature set can change by product and plan.

Do not build continuity on assumptions about what a canceled account will retain. Check the current vendor terms and export controls before migration or cancellation.

For consumer ChatGPT accounts, OpenAI documents a data-export process that returns a ZIP containing chat history and other account data. OpenAI also notes account and plan limits around export availability. Use the official process while the account remains accessible. [OpenAI: export ChatGPT history and data](https://help.openai.com/en/articles/7260999-how-do-i-export-my-chatgpt-history-and-data)

An export is a recovery source. It is not the operating system for tomorrow's work.

## Decide what must remain usable

When model access ends, you should still retain:

- source records;
- current decisions;
- correction history;
- task briefs;
- approval rules;
- runbooks;
- acceptance tests;
- run receipts;
- adapter configuration without secret values;
- a list of external systems and owners.

These assets describe the business and the work. They should live in buyer-owned storage with a backup and an access policy.

The model produces or transforms work from those assets. It should not be their only custodian.

## Expect some parts to stop

If you stop paying for a model or tool, inference may stop or move to a lower tier. Vendor-hosted agents, projects, connectors, schedules, and private features may become unavailable. Rate limits and model choices may change.

That is not a reason to pretend replacement is instant.

A replacement model needs an adapter. Prompts may need adjustment. Tool calls may use different schemas. Output quality may differ. Authentication must be reconfigured. Tests must run again.

Portability means you can replace the worker without reconstructing the business record. It does not mean every worker behaves the same.

## Separate the monthly bill into line items

"What does this cost to run?" cannot be answered from the model name alone.

The monthly operating cost can include a workspace subscription or API usage, storage, hosting, retrieval, connected tools, monitoring, backups, and human review. Some products charge by seat. APIs often charge by usage. Server-side tools can add their own usage charges. Provider prices and packaging change, so the cost record should link to the current provider page rather than copy an estimate into a permanent promise.

OpenAI publishes current model prices in its [model catalog](https://developers.openai.com/api/docs/models). Anthropic publishes token, tool, and managed-agent pricing in its [Claude Platform pricing documentation](https://platform.claude.com/docs/en/about-claude/pricing). Use the pages that match the route you run.

Create `monthly-run-cost.md`:

```text
period:: 2026.08
jobs_run:: 42
model_route:: current provider and model ID
model_or_workspace_cost:: amount from invoice or usage report
connected_tool_cost:: amount from provider invoice
hosting_and_storage:: amount from provider invoice
monitoring_and_backup:: amount from provider invoice
human_review_time:: owner estimate, kept separate from vendor spend
total_vendor_spend:: calculated from confirmed invoices
```

Do not forecast from one demo call. Measure a representative week, record job volume and usage, then estimate a range with assumptions. Update the worksheet from invoices after launch.

Keep session and build fees out of this worksheet. They are not monthly model bills, and no continued service is required to keep buyer-owned files. For the current working-session scope and build credit, read [Working Session: Scope, Owned Files, and Build Credit.](/audit)

## Know which subscription you are canceling

A team workspace and an API integration are different dependencies. OpenAI states that ChatGPT Business, formerly ChatGPT Team, is a self-serve workspace and that API usage is billed separately. It also states that data export is not available from a ChatGPT Business workspace. [OpenAI ChatGPT Business FAQ](https://help.openai.com/en/articles/8542115-chatgpt-team-faq)

That distinction changes the shutdown plan. Canceling a workspace seat is not the same as disabling an API key. Deactivating an API project is not the same as preserving shared workspace conversations. Inventory each account, billing owner, export path, connector, and schedule separately.

If a workflow uses both, the shutdown test must cover both. Confirm what remains readable, what stops running, and which owner can restore or replace each dependency.

## Keep an adapter boundary

Put vendor-specific instructions near the vendor integration, not inside every business file. For clearing a session while preserving the maintained record, read [How to Reset AI Context Without Losing Business Records.](/articles/reset-ai-context-without-deleting-memory)

For example:

```text
business/
  context.md
  decisions.md
  corrections.md
  task-brief.md
adapters/
  current-model.md
tests/
  acceptance.md
receipts/
```

The business folder describes the job. `adapters/current-model.md` explains how the present tool receives that job. The acceptance test judges the result.

When the model changes, replace the adapter and rerun the tests. Do not rewrite client history to match a new prompt format.

## Inspect `shutdown-test.md`

Create a file named `shutdown-test.md` with these checks:

```text
can_open_business_files_without_vendor:: yes/no
can_find_current_decision_without_chat_search:: yes/no
can_name_required_credentials_without_exposing_values:: yes/no
can_run_task_with_replacement_model:: yes/no
does_replacement_pass_acceptance_test:: yes/no
can_disable_old_scheduled_runs:: yes/no
```

The [subscription shutdown test](/articles/ai-subscription-shutdown-test) adds a dependency register and post-cancellation verification. Perform the preparation below before cancellation:

1. Export available account data.
2. Inventory hosted projects, memories, connectors, and scheduled work.
3. Copy current business records into buyer-owned storage.
4. Disable or isolate one vendor adapter in a test environment.
5. Run the task with a replacement model or a manual operator.
6. Compare the output with `tests/acceptance.md`.
7. Record gaps and owners.

Pass means the business files remain readable, the job can be explained from them, and the replacement path is known. The replacement does not need identical prose. It must obey the same facts, approval boundary, and finish line.

## Inventory external dependencies

The model may be replaceable while the workflow still depends on vendor-hosted storage, an email connector, a proprietary database, or a scheduler.

List each dependency:

```text
dependency:: current AI provider
purpose:: draft weekly update
owner:: business account
data_kept_elsewhere:: yes
replacement_path:: alternate model adapter or manual runbook
shutdown_action:: disable schedule and revoke token
```

This turns cancellation into an operating procedure instead of an emergency search.

## Approval and stopping boundary

Do not cancel a paid model, revoke credentials, disable schedules, or delete vendor data until an authorized owner reviews the inventory, export receipt, replacement test, and rollback plan.

The agent may prepare the shutdown packet and identify dependencies. It must stop before any account, billing, credential, schedule, or data-retention change.

If the export is incomplete or the replacement fails a material acceptance test, the system reports the gap. It does not claim portability.

## Keep the record, replace the worker

Subscriptions end. Models change. Limits move. A buyer-owned information system accepts that reality.

The [persistent-context transfer method](/articles/persistent-context-across-ai-tools) keeps the files, retrieval method, corrections, approval rules, tests, and receipts stable. The model remains a replaceable worker attached through a documented adapter.

## Questions about What Stops Working When You Stop Paying for the Model?

### If I decide to discontinue my Pro subscription, what will happen to my existing projects and files?

Hosted projects, connectors, schedules, private features, model access, and rate limits may change or become unavailable when a subscription ends. Before cancellation, inventory those dependencies and confirm that source records, decisions, corrections, briefs, tests, receipts, and adapter configuration remain in buyer-owned storage.

### What happens to chats in projects if I cancel my Pro subscription?

Do not assume that readable conversations or project files provide an operating workflow after cancellation. Export available account data, copy current business records into owned storage, isolate the vendor adapter, and run the task with a replacement model or manual operator.

### What happens to my saved memories if I cancel my Plus subscription?

The exact feature behavior depends on the product and plan, so check current vendor terms and export controls while the account remains accessible. An export is a recovery source, not the operating system for future work, which still needs a documented adapter and a passing acceptance test.
