# Build an AI context file and track what changes over three months.

You write one file that tells an AI who you are, what you do, and how you work. Then every session starts with that file.

This article follows a hypothetical SEO consultant through the first three months. The clients are placeholders. The time figures are assumptions for the example, not measured results. Use the timeline to plan, and use the worksheet at the end to measure your own numbers.

## Day 1: write the file

Create a Markdown file named `CLAUDE.md`. Write five things in plain language:

- what you do for work;
- who your clients are;
- how you communicate;
- your current work;
- rules for how the AI should work with you.

It needs no special formatting. A first version for the consultant:

## Day 2: the first session with context

You open Claude Code and type: "Draft an email to the PT client about the project status."

The assistant asks no follow-up questions. It reads `CLAUDE.md`, finds the PT clinic, sees that the content strategy is in progress, and drafts the email. The first draft is usable.

You explained nothing. That is the first visible change.

## Week 1: the opening explanation disappears

Before the file, every session opened the same way: "I run an SEO consulting business. My clients are A, B, and C. Here is what I'm working on." That introduction took two or three minutes each time.

With the file, you type the task and the assistant already has the background. The saving is not only minutes. You also stop deciding, each time, which context to supply. ## Week 2: first drafts get closer

You ask for a proposal for a new prospect.

Without context, you get a generic template and spend hours on changes. With context, the assistant draws on four documented items:

- your service descriptions;
- your pricing structure;
- a relevant case study;
- your communication style.

The draft needs fewer edits. The model did not get smarter. It received, at the start, the information you would otherwise feed it over many messages. The same model with better input gives better output.

## Week 3: add one file per client

`CLAUDE.md` describes you. Client files describe them. Write one file per client:

Each file takes about ten minutes. Now the request "email the clinic owner about the timeline" comes with four facts. The assistant knows the contact, the project, the preferred channel, and what the contact cares about. You do not dig through old emails for the details.

## Month 1: watch for consistency

By week four, look for a change in your client messages. Each email should reference the right project. Each update should tie back to the original goal. Each check-in should acknowledge the last conversation.

The file supplies the same facts every time, so the messages include the details. Check this against your own sent mail. If a message still misses a detail, the file lacks it. ## Month 2: the file doubles as onboarding

Suppose you bring on a contractor for content production. A person needs time with your process, examples, and client preferences before the work is right. In the first weeks, the contractor asks many questions.

The assistant reads the same process, examples, and preferences at the start of every session, from day one. The file does not replace the contractor's judgment. It does give the contractor the same written briefing that the assistant uses, so both work from one record.

## Month 2: catch the first stale fact

The file also fails in a predictable way. Suppose the CPA firm moves its site launch from Feb 4 to Feb 18. You tell the client on a call, but you do not edit the file. A week later, you ask for a status email. The draft states Feb 4, because the file still says Feb 4.

The assistant did not invent the error. It repeated the record. That makes the fix direct:

1. Correct the date in the client file.
2. Add a `Last checked:` line with today's date under the project entry.
3. Add a rule to `CLAUDE.md`: "If a client file was last checked more than 14 days ago, say so before you use its dates."

After that change, a stale entry appears as a warning in the draft. It does not reach the client as a wrong date. Count these catches in the worksheet below, because each one is an error that the old workflow sent.

## Month 3: tasks that depend on context get faster

A prospect asks: "Can you send me a case study similar to what we discussed?"

Without context, you try to remember which case study you mentioned, find it, and adapt it. With context, you type "send the case study we discussed." The assistant checks the discovery call notes in the prospect file and finds the named case study. It formats the case study for you to review.

Planning questions change too. You type: "I need to make room for a new client next month." The assistant reads the client list and project timelines. It replies: "The PT clinic wraps April 15. The CPA firm site launches Feb 4. You'll have 15 to 20 hours free by mid-March."

You did not tell it to check timelines. The context made that the obvious path. At this point, the assistant works from shared knowledge, not from instructions that you supply each time.

## Notice the difference without the file

Some time in month three, you use an AI without the file, perhaps on your phone or in another interface. You type a prompt, and the assistant asks for more context.

The friction is immediate. That contrast is a useful test of what the file carries. List what you had to explain, and confirm that each item is in the file.

## Estimate the return with your own numbers

Use this worksheet. The example column holds the assumptions for the hypothetical consultant. Replace each value with your own measurement.

With those assumptions, setup takes about 2.5 hours and saves about 8 hours a week, or about 96 hours over twelve weeks. Your numbers will differ. Measure one week before the file and one week after it. Count the minutes of setup in each session, and count the edits per draft. Quality is harder to count. Watch the proposals that need fewer revisions and the emails that need no correction.

## Keep the file current after month three

The file does not maintain itself. It needs small, regular updates:

- Add each new client when the client signs, about ten minutes.
- Update project status when it changes, about two minutes.
- Refine a voice rule when you notice a pattern, about five minutes.

The system grows with the business. It needs no rebuild and no migration, only updates to the files that the assistant reads at session start. Give each file an owner and a date, so that stale entries are easy to find.
