# USDA produce quotes: match pack, size, grade, and origin before an invoice comparison

Before comparing a restaurant produce invoice with a USDA quote, identify the product on both sides. Keep commodity, variety, pack, size, origin, and quality wording together. Leave an incomplete match unresolved. A familiar vegetable name alone should not authorize a price conclusion.

The USDA Agricultural Marketing Service [terminal-market directory](https://www.ams.usda.gov/market-news/fruit-and-vegetable-terminal-markets-standard-reports) distinguishes prices by origin, variety, size, package, and grade. Those distinctions give a purchasing manager a useful starting structure. They do not replace the description of the goods your restaurant received.

This guide proposes a buyer's comparison sheet. It is an editorial method, separate from USDA reporting requirements. All invoice examples below are synthetic. No example describes an actual supplier or restaurant transaction.

The [restaurants and hospitality overview](/for/restaurants-and-hospitality) covers the wider office workflow. The [restaurant intelligence guide](/intelligence/restaurants-and-hospitality) introduces the produce price check. Here, the immediate task is to decide whether one invoice line belongs beside one public report entry.

## Choose the market before choosing a number

Start from the official terminal-market directory. Select a market relevant to the purchasing question. Write down why you chose it. Proximity may make a market worth examining, but it does not establish where your distributor bought the goods.

For this guide, the directory's Chicago vegetables link opened [HX_FV020 dated October 28, 2026](https://mymarketnews.ams.usda.gov/filerepo/sites/default/files/2291/2026-10-28/1361592/ams_2291_01671.pdf). Page two includes California crown-cut broccoli in loose 20-pound cartons, with short-trim wording. That description illustrates why the package and product form belong beside the commodity name.

The [AMS Chicago PDF](https://www.ams.usda.gov/mnreports/hx_fv020.pdf) also returned that edition on October 28, 2026. Save a copy because this current-report address can change. Page one's default covers stock of generally good merchantable quality and condition unless otherwise stated. Preserve that inherited note separately from any formal grade.

Choose a report date before searching for a favorable price. Record the invoice date, delivery date, report date, and access date separately. If the supplier's purchase date matters, ask for it. Do not substitute a delivery date for an unknown purchase date.

Keep the dated document link with the worksheet. The [USDA report directory](https://mymarketnews.ams.usda.gov/filerepo/reports) provides report-date and publication-date fields. Use those fields to find the relevant document, then verify its printed date. A downloaded filename alone is insufficient evidence for your note.

## Preserve two descriptions instead of overwriting one

Give the invoice line a stable private identifier. An internal invoice reference and line number are sufficient for this worksheet. Keep the supplier's item code in its own field. Neither identifier is a USDA commodity classification.

Copy the invoice description exactly into a source field. Put your interpretation in a separate field. This prevents a later reviewer from mistaking your expanded shorthand for text supplied by the distributor.

Do the same for the report entry. Preserve the commodity heading and the relevant description below it. Keep inherited wording when the line depends on an earlier package or origin label. If a PDF line wraps, check the continuation before entering a price.

Use explicit states for each field: confirmed, missing, conflicting, or not stated in the report. A blank cell should never silently mean that the products match. Record who supplied a correction and when it was accepted.

Avoid placing a private invoice in a public demonstration. A fictional identifier such as SAMPLE-01 is enough to teach the method. Keep commercial records within the restaurant's authorized purchasing files.

## Compare the product before calculating the unit price

Use this proposed field order when reviewing a line:

| Field | Report side | Invoice side | Stop condition |
| --- | --- | --- | --- |
| Commodity and form | Commodity plus preparation wording | Delivered product specification | Different or unknown form |
| Variety or type | Exact stated type | Confirmed supplied type | Unresolved substitution |
| Package | Container and stated contents | Confirmed contents per billed unit | Unknown contents |
| Size or count | Exact size or count text | Supplied size or count | Conflicting specification |
| Origin | Full stated location | Confirmed product origin | Unknown origin |
| Grade and condition | Exact wording where supplied | Supplier and receiving evidence | Unsupported equivalence |
| Dates | Printed report date | Invoice and delivery dates | Unexplained timing gap |

Keep size, count, and weight distinct. Do not turn a count description into pounds without supporting product information. If the report lists a count pack, use that description rather than inventing a typical case weight.

Keep grade and condition in separate cells when the available evidence permits it. Do not translate an appearance description into a formal grade. If a grade is absent, write that it is not stated. Ask the supplier which specification controlled the order.

Preserve differences in preparation. Whole, trimmed, peeled, and portioned descriptions should remain visible during review. The buyer must decide whether a product difference defeats the intended comparison. Do not hide that judgment inside a conversion formula.

## Worked example: a synthetic candidate match

Assume the restaurant's private SAMPLE-01 line says broccoli crown cut, short trim, California, loose 20-pound carton. Assume the supplier confirms those specifications for the delivered carton. These are invented invoice facts for this example.

The buyer selects the dated Chicago report description identified above. The worksheet records a candidate product match across commodity, form, origin, package, and trim. It leaves unstated grade details visible. It does not declare every commercial feature equivalent.

For arithmetic practice, suppose a separate fictional comparison uses a reference package priced at 30 dollars and an invoice package priced at 36 dollars. These prices are invented and are not USDA observations. Both fictional packages contain 20 pounds according to the exercise assumptions.

The reference becomes 1.50 dollars per pound. The invoice becomes 1.80 dollars per pound. The package difference is 6 dollars, and the unit difference is 0.30 dollars per pound. Show the original package amounts beside those calculations.

Write the conclusion narrowly: the exercise permits a package and weight comparison under its stated assumptions. The difference does not establish the supplier's acquisition cost or profit. Actual buying decisions still require confirmed timing and commercial terms.

If the restaurant uses the product in different preparations, keep any kitchen evaluation separate. Record only observations the responsible staff member supplied. Do not estimate usable yield from the market description or treat a reported package weight as prepared-food output.

## Rejected example: the missing case weight

Now suppose SAMPLE-02 reads broccoli, one case, 36 dollars. The supplier has not confirmed weight, trim, origin, or pack contents. This synthetic invoice line cannot support a per-pound comparison with the first example.

Reject the attempted calculation of 36 dollars divided by 20 pounds. The denominator belongs to another description. The word case supplies no evidence that this delivery contained that amount.

Mark the line unresolved. Retain the invoice wording and the candidate report description, but leave the comparable unit-price cell empty. State the reason: invoice pack weight and product specifications remain unconfirmed.

If the supplier later confirms a different pack, create a new comparison revision. Preserve the rejected version with its reason. Do not overwrite the earlier uncertainty with a clean-looking result that conceals the correction.

If weight remains unavailable, ask whether a count-based comparison would answer the buyer's question. Use it only when both sides support the same count basis. Otherwise, stop the numerical review and retain a specification question for the supplier.

## Ask questions that resolve the actual mismatch

Ask the supplier to confirm what the billed unit contains. Request the commodity, variety, origin, pack contents, size, and ordered quality specification. Link the request to the internal invoice line, without publishing the document.

If the item code is reused, ask whether its specification changed for this delivery. If a substitute arrived, identify the accepted substitute and its approval. Keep the original ordered description alongside the delivered description.

Ask which price date or purchasing arrangement applies to the order. Ask whether delivery, minimum quantities, split cases, credits, or other services affect the invoiced amount. Treat each factor as unknown until the supplier or contract confirms it.

Use neutral wording: please confirm the pack contents and supplied origin for this line. Avoid presenting a public quote as a mandatory supplier price. The goal is to resolve the comparison, then let the buyer decide whether a further pricing conversation is useful.

The companion guide to [terminal price ranges and invoice limits](/articles/usda-terminal-price-range-restaurant-invoice-limits) addresses that next conversation. Product matching prepares the evidence. It does not calculate distributor margin.

## Complete a review sheet the next buyer can reuse

Use one sheet per invoice line and candidate report entry. Add another sheet when a second product or date is materially different. This proposed worksheet keeps the decision attached to its supporting facts:

| Review section | Information to retain |
| --- | --- |
| Private reference | Invoice identifier, line number, supplier item code |
| Public reference | Market, report identifier, printed date, dated URL, page |
| Product match | Both descriptions, field states, confirmed differences |
| Unit calculation | Original units, verified conversion, arithmetic |
| Missing facts | Specific question, responsible person, next review date |
| Commercial context | Confirmed terms and separately listed unknowns |
| Buyer decision | Compare, hold, reject, or request clarification |
| Revision record | Reviewer, decision date, correction, prior version |

Before closing the sheet, ask another purchasing colleague to trace the chosen entry. They should find the same product description without selecting a different origin or pack. If they cannot, improve the citation or keep the comparison open.

Retain useful rejected matches. A repeated missing pack field may justify a better supplier specification record. A later order should still receive its own check. Do not carry a prior delivery's origin forward as an assumption.

Start with one product the buyer understands. Expand after the team can explain a match, a rejection, and an unresolved line. Keep decisions with the purchasing lead. A worksheet should not place orders or change approved menu prices.

For the broader record design, see [business memory for AI agents](/articles/business-memory-for-ai-agents-guide). Keep product mappings, corrections, and buyer decisions in files the business controls. Preserve the source text alongside each interpretation.

Scale With Search can scope the records, source references, and review steps around a defined purchasing task. Include the worksheet and its unresolved fields in the brief.
