# Types of Memory Used in AI Systems and Which Ones a Business Must Own.

A vendor says its agent has long-term memory. The buyer cannot tell whether that means a saved profile, summaries of prior chats, retrieved documents, learned procedures, or an editable operating record. The demo remembers a preference. Nobody can show how to correct an obsolete commitment.

AI memory labels come from product design, cognitive science, and current agent research. The categories are useful when they lead to operating questions. Where is the state stored? How long does it live? What retrieves it? Can the buyer inspect, correct, export, delete, and replace it?

The business does not need to own every transient computation. It should own the current sources, accepted decisions, procedures, corrections, approval evidence, and state required to continue the work with another system.

## Translate memory labels into mechanisms

Research surveys use several memory taxonomies. Huang and colleagues' arXiv version, revised August 2026 and listed as accepted at TMLR, distinguishes internal and external substrates, cognitive mechanisms including episodic, semantic, sensory, working, and procedural memory, and agent-centric versus user-centric subjects. Hu and colleagues' arXiv preprint separates memory forms such as token-level, parametric, and latent memory from functions such as factual, experiential, and working memory. It also distinguishes memory from retrieval augmented generation and context engineering. [Hu et al.: Memory in the Age of AI Agents](https://arxiv.org/abs/2512.13564)

For a buyer, translate those taxonomies into inspectable mechanisms:

- working memory: temporary state used for the current reasoning task;
- episodic memory: records of prior events, runs, or interactions;
- semantic memory: retained facts and relationships;
- procedural memory: rules, skills, or methods for doing work;
- profile memory: preferences and user-specific context;
- sensory memory: short-lived input state from audio, image, or other signals;
- parametric memory: behavior or knowledge encoded in model weights;
- external memory: files, databases, indexes, and application state outside model weights.

One implementation can combine several types. A chat summary may be episodic and external. A skill file may act as procedural external memory. A current price file is semantic in content but should also be an authoritative business record with a named owner.

Do not infer implementation from the label. Ask for the storage, schema, source, retrieval rule, and correction path.

## Separate retrieval from authority

Retrieval selects material to place into the current working set. It can retrieve a current policy, an obsolete draft, or a fabricated summary. Good similarity does not establish authority.

An authoritative record adds operating rules:

- a named owner;
- current or superseded status;
- effective date;
- source precedence;
- correction history;
- access boundary;
- acceptance test;
- retention and deletion rule.

Use retrieval for discovery and assembly. Use source metadata and the task brief to decide what governs. If two current records have equal authority and conflict, stop.

Product profile memory can personalize a response. It should not silently outrank a signed agreement. Episodic run history can help diagnose an incident. It should not authorize rerunning a payment. Procedural memory can describe a process. It should not grant the credentials to execute it.

## Decide which records the business must own

Own the state needed to reconstruct the work:

- canonical facts and documents;
- accepted decisions and effective dates;
- task briefs and source precedence;
- reusable procedures and skills;
- corrections and supersession links;
- approval evidence;
- run receipts and terminal status;
- identity, access, and retention rules;
- checkpoints for long-running work;
- export and replacement instructions.

Transient token calculations, model internals, and vendor optimization state can remain vendor-managed if the work does not depend on recovering them. The boundary is outcome continuity. The [memory ownership test](/articles/do-you-own-ai-memory) asks whether the buyer can inspect, move, correct, and continue the record without the original provider.

For each record, name its downstream consumers. A correction is not complete if the source file changes but the retrieval index, prompt cache, project copy, or generated summary stays stale.

Inventory the system without relying on vendor labels:

Add fields for identity scope, encryption, deletion proof, retrieval index, backup, and replacement test where risk warrants them.

If `exportable` or `source_citation` is unknown, test it. Do not fill the matrix from sales language.

## Test export, correction, and replacement

Use a synthetic record family with one preference, fact, procedure, event, and approval boundary.

Run this test list. A successful export button click does not prove the files are readable or complete.

1. Preserve existing raw exports and their format manifest before changing memory. Keep later fixture exports in a separate test folder.
2. Create a harmless profile preference.
3. Create a current fact in an owned source.
4. Create a procedure that cites that source.
5. Run the procedure and write a receipt.
6. Export every layer the product claims is exportable.
7. Open the export without the original product.
8. Correct the current fact and mark the old value superseded.
9. Rebuild any index or cache that reads the source.
10. Start a clean session and verify the correction.
11. Confirm that the old episodic receipt remains historical evidence.
12. Move the owned packet to a replacement model.
13. Confirm that the replacement follows the procedure and current fact.
14. Delete the synthetic profile memory.
15. Confirm deletion or record the provider's stated limit.
16. Attempt an external action without approval and confirm the stop.

Pass requires a usable export, successful correction, preserved evidence, replacement continuity, and no authority expansion.

## Evaluate memory quality by the job

More recall is not always better. A support agent should retrieve the current account status and the last unresolved request. It should not surface every old complaint. A research agent may need prior source trails. It should not treat an earlier hypothesis as an accepted finding. Evaluate:

- relevance, whether the right state enters the task;
- fidelity, whether the state matches its source;
- recency, whether superseded values stay excluded;
- provenance, whether the user can inspect the source;
- isolation, whether identities and projects stay separate;
- correction, whether a fix reaches the next run;
- forgetting, whether expired or deleted state stops appearing;
- continuity, whether a replacement system can resume;
- restraint, whether memory avoids granting action authority.

A memory system that recalls everything but cannot isolate clients is worse than a narrow system that retrieves the right packet.

## Approval and stopping boundary

The working result is a context path that maps each memory mechanism to its owner, source, and test.

The evaluation may inventory memory types, inspect documented controls, run synthetic export and correction tests, and prepare an ownership matrix. It stops before uploading sensitive records, changing live retention, deleting material evidence, enabling organization-wide memory, retraining a model, or treating recalled state as permission for an external action.

The data owner approves storage and deletion. The record owner approves current facts. The process owner approves procedures. The capability owner approves actions. If storage, source, identity, correction, or export behavior is unknown, mark the row unresolved and stop.
