Ask what the visitor wants reviewed, where the property is, and how the office should respond. Keep the final scope and appointment subject to your actual process. Do not require a visitor to diagnose a tree before contacting you. The field plan below is a proposed website brief. Have the estimator approve it against the work your business accepts. ## Define what happens after a request Name the office recipient and the first review task. Decide whether staff check the area, clarify the work, or arrange a later conversation. Use that sequence to choose the fields. Write the form's purpose beside its heading. If submission requests a callback, label it accordingly. Keep an automatic acknowledgment from claiming that an estimate visit is booked. Give existing customers a clear route when their question concerns current work. Do not require a species, diagnosis, equipment selection, or final work quantity to make contact. Request a precise site address later if your initial process needs only a service area. Ask the estimator to justify every required field. ## Treat photographs as optional context Have staff decide whether the first inquiry needs images. If uploads are unnecessary, leave them out. A simpler first request may match your office process better. If you accept uploads, specify the approved file types, size limits, destination, access, and retention with your builder. Keep those settings in the private brief. Do not ask visitors to obtain a particular angle, measurement, or close-up to complete the form. Allow them to continue without a photograph. Keep risk and treatment decisions with qualified staff. ## Require readable labels and useful feedback W3C recommends identifying required and optional inputs, relevant formats, and instructions. Do not claim staff have accepted the job or assessed a tree. Put a checked contact alternative beside the failure message. ## Accept the form against a received request Arrange a labeled test with the receiving office. Use contact details you control and an ordinary test question. Check optional fields left empty as well as populated. Record the page, submitted values, time, visible result, and matching office receipt. Ask staff to confirm that the question and reply details survived intact. If uploads exist, test their actual receipt separately. Keep a successful acknowledgment distinct from successful delivery. Repeat any failed check after repair.
