# Tree and landscape AI rules: data, approvals, and spend

Write tree and landscape AI rules around the property, accepted scope, field record, and authorized decision. Limit each function to the records needed for one preparation task. Keep site access secrets, treatment decisions, price changes, and crew direction under explicit controls.

Use the [tree services and landscaping overview](/for/tree-services-and-landscaping) to map the wider workflow. This worksheet addresses internal data handling, approvals, and cost. Its proposed controls need review against your actual operation and applicable requirements.

Use invented examples while designing the function. Do not connect a route archive or customer photo collection merely to discover what the model might do with it.

## Map property records before granting access

Ask the office and field owners to identify the information each task needs. A scope-change comparison might require an accepted proposal and selected crew notes. A visit-exception brief might need a permitted status export. Neither automatically needs every access instruction.

List input copies, temporary processing, output drafts, logs, and support exports. Name the owner for each location and the role allowed to read it. Keep the permission tied to a purpose and review date.

| Record category | Proposed handling rule |
| --- | --- |
| Public service descriptions | Read current approved wording |
| Customer address and site notes | Limit to the named job and permitted task |
| Gate codes, alarm details, and keys | Exclude from general AI preparation |
| Property photographs | Review permission, identifiers, and intended use |
| Treatment and application records | Preserve the authoritative record and authorized owner |
| Employee and payment information | Keep outside the first office function |

The FTC recommends limiting unnecessary personal-data collection and restricting sensitive information access. [FTC security guide, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/start-security-guide-business).

Turn that principle into a readable field list. Use an internal job reference in general receipts when sufficient. Do not publish occupancy patterns, private access details, or customer disputes in a generated service update.

## Keep pesticide instructions out of general drafting

EPA states that pesticide labeling is legally enforceable. Labels govern legal product use. [EPA introduction to pesticide labels, checked 2026.10.26](https://www.epa.gov/pesticide-labels/introduction-pesticide-labels).

Keep the responsible authorized person's decision and the actual applicable labeling as controlling sources. A general AI answer should not choose a product, change a rate, select an application condition, or fill a gap in the application record.

For example, North Carolina's pesticide agency publishes recordkeeping guidance for different applicator categories and uses. [NC Agriculture recordkeeping page, checked 2026.10.26](https://www.ncagr.gov/divisions/structural-pest-control-and-pesticides/pesticide/ag-recordkeeping-requirements).

Have the responsible reviewer determine which requirements apply to the actual work. Do not present one state's page as a nationwide rule or assume every landscape service falls into the same category.

If the first function prepares office exceptions, let it flag that an approved record is missing. It must not reconstruct a treatment from a route note or claim that an application occurred because a visit is marked complete.

## Preserve field authority and source uncertainty

Assign the field lead to interpret site observations. Keep tree-risk assessment, rigging, utility hazards, plant diagnosis, and treatment decisions outside a general office function. The model may organize approved notes without determining the field answer.

Require attributed language. A customer's report should remain a customer report. A crew observation should remain an observation until the authorized process records a conclusion. Do not let the narrative merge them into an established fact.

Keep access, ownership, scope, and safety uncertainties visible at the top of the prepared output. A missing fact should stop the dependent action. Do not generate a confident instruction merely because the office needs to complete the message.

Give staff an established human route for urgent field concerns. A preparation queue should never decide whether a crew can continue or a property is safe. Test that the function cannot issue crew instructions through its account.

## Approve scope and commercial changes separately

Require the estimator to check proposed additions against the accepted proposal and approved changes. Show exactly which work, location, quantity, material, disposal term, or price would change. Keep pending customer requests in their own section.

Have the commercial owner approve any new price or agreement. Have production approve operational commitments. Do not turn a customer's casual message or a supplier's suggested substitution into an accepted change order.

Approval should bind the exact job, proposal version, recipient, attachments, and final text. If a material fact changes, require a fresh preview. Preserve the accepted version so staff can distinguish it from later drafts.

For recurring service, keep completed work separate from proposed extra work. Use the [maintenance scope guide](/articles/landscape-maintenance-website-service-scope) to align public descriptions with what the business has approved to offer.

## Review messages before they leave the business

Require a named approver for customer updates, schedule changes, estimate follow-ups, and public replies. Define who can approve each kind of communication. Read access to the job should not automatically grant permission to send.

Show the recipient, sending account, source dates, attachments, contact preferences, and exact message together. A staff member should be able to reject the output and give a reason. Store accepted corrections in rules the next run reads.

Public project material needs its own review. Confirm disclosure permission for photographs, captions, and identifying site details. An internal completion record does not by itself authorize public use.

Check file names and metadata as well as visible text. A supposedly anonymous photograph or report should not reveal a private address through an attachment title. Define the review evidence your provider must supply.

## Keep payment secrets in the payment process

Exclude full card details, verification codes, banking credentials, and payment-account logins from general prompts. Use permitted payment status when an office function needs it. Keep charges, refunds, and bank-detail changes outside the preparation account.

PCI DSS prohibits keeping card verification codes after authorization, even encrypted. [PCI Security Standards Council FAQ 1280, checked 2026.10.26](https://www.pcisecuritystandards.org/faqs/1280/).

Review unexpected payment information through the approved handling procedure. Check error logs and test collections for copied values. A function should report that prohibited content was encountered without repeating the sensitive content in its receipt.

## Put cost control beside each function

Give scope comparison, visit exceptions, and scheduling handoffs separate budgets. Set monthly allowance, per-run ceiling, maximum attachment size, retry limit, and alert owner. Identify who may approve a change.

Before a paid request, reserve enough allowance for the bounded task and allowed repeated attempts. Stop when remaining allowance cannot cover it. Reconcile actual cost after each attempt and include failures in the total.

Keep receipts with function name, permitted job reference, source versions, model identifier, result state, and cost. Avoid copying property secrets into a shared ledger. A missing cost receipt should block further paid work until the record is restored.

Name the model and processor in dated configuration. Require a replacement to pass the same source, permission, and approval checks. A price change should not silently expand access or move customer records to another service.

## Test the rules with field-specific exceptions

Create synthetic cases containing an unaccepted scope addition, a fake gate code, a missing application record, and a changed appointment after approval. Define the expected stop or denial for each before the test.

Ask an unauthorized user for another customer's photo through the same function. Test an exhausted allowance and an oversized attachment. Inspect the result and logs. Have field and office owners review the evidence together.

Keep accepted rules, source maps, corrections, tests, and runbooks in business-controlled records. Train a backup to stop the function and continue manually. Reopen the scope when data, actions, or processors change.

Use the [approval matrix guide](/articles/ai-agent-approval-matrix) to record who may approve each action in this operating policy.

Bring Scale With Search the approved records and action owners. Read the [AI systems scope](/ai-systems), then [send your requirements](/work#send-your-brief) for a written function definition.
