# How to make an AI correction hold in future runs

Carry the correction from the failed output into the approved source, then test it in a fresh run. Ask another operator to repeat the test from the written record. Keep evidence that the function used the revised rule and handled the original case correctly.

A correction log can organize this work. It cannot guarantee that every future run will be correct. Define what the fix covers and keep the relevant checks in routine operation.

The [AI correction log template](/articles/ai-correction-log-template) already describes the record fields. This article adds a staff rehearsal. Its fictional example follows one correction through reporting, review, testing, and handoff.

## Choose a failure the team can reproduce

Use a safe copy of a real failure pattern, with identifying details removed. Preserve the input, output, governing source, and run record. Label the packet as practice material.

In the fictional example, an internal summary counts submitted work as completed work. The accepted status definitions distinguish those states. The summary's wording therefore needs correction.

Ask the trainee to show the exact point where the output conflicts with the source. Have them identify whether the problem is the underlying definition, source selection, instruction, or review.

Do not start by asking for a stronger prompt. First decide which part of the process should have controlled the result. If the cause remains unknown, record the uncertainty and keep the correction proposed.

## Separate the immediate edit from the reusable change

Repair the current draft if it is still needed. Record that edit as a local action. Then decide whether a broader change is warranted.

For the fictional summary, changing one sentence handles the immediate output. A reusable rule must say which status counts as complete and where that definition applies.

Do not make a customer-specific exception a company-wide policy. Ask who owns the definition and what evidence supports the proposed scope. Let that owner accept or reject the change.

NIST's voluntary AI Risk Management Framework includes incorporating reviewed feedback into system design and implementation in GOVERN 5.2. [NIST AI RMF 1.0, January 2023, checked October 26, 2026](https://nvlpubs.nist.gov/nistpubs/ai/NIST.AI.100-1.pdf)

The rehearsal below is one proposed way to make that review visible in a small team.

## Have the trainee write a correction proposal

Ask the trainee to record the observed error, evidence, proposed rule, scope, decision owner, and expected result. Keep the entry short enough that another person can evaluate it.

A fictional proposal might read:

```text
issue: submitted items were included as completed
source: accepted internal status definitions
scope: weekly operations summary
proposed rule: include only items with accepted completed status
local repair: revise the current draft after source review
owner decision: required before changing the active procedure
test case: submitted item excluded from completed section
nearby case: accepted completed item remains included
fresh-run check: revised source version appears in run record
```

Leave acceptance blank until the owner decides. Do not let an operator's proposed rule silently become active because it has been written neatly.

The owner should also decide whether prior outputs need review. Record that decision separately from the instructions for the next run.

## Put the accepted rule in the controlling source

After acceptance, update the smallest source that governs the behavior. In the example, that might be the reporting procedure's reference to the approved status definitions.

Keep one authoritative definition. Let the correction log point to it. Avoid copying the same rule into several independent instructions that can later disagree.

Mark any replaced instruction as superseded. Preserve enough history to explain the earlier output. Identify the current version the function must read.

Use the [guide to making corrections part of the system](/articles/corrections-become-system-memory) for the broader record path. During the lesson, ask the trainee to locate the active rule without opening the original conversation.

## Test the case that failed

Write the expected result before starting the corrected run. For the submitted item, expect exclusion from the completed section. If the brief requires an unresolved-work section, specify where the item belongs there.

Run the case through the same source-loading path the function normally uses. Inspect the run record to confirm which version was read. A test using a manually pasted rule should not stand in for a test of the ordinary path.

Compare the actual output with the business requirement. Wording can vary while the status decision stays correct. Keep a factual pass criterion rather than an exact sentence unless exact wording is itself required.

Save the input, result, and reviewer decision. If the test fails, keep the issue open and identify the next suspected layer.

## Add cases that protect the surrounding work

Test an item that is genuinely complete. It should remain in the completed section. Test an item without a status. The function should follow the agreed missing-input rule.

Then test an unrelated job or client that the correction should not affect. Keep its approved definitions intact. The correction's scope should be visible in both the source and expected result.

Add a conflict case if two active rules could disagree. Define the required stop and decision owner. Do not accept a rule set that asks the operator to guess which definition applies.

These are proposed checks for this example. Choose nearby cases that match the actual boundary in your business.

## Rehearse the handoff with a second operator

Give another trained employee the accepted brief, source record, and correction entry. Do not give them the old chat. Ask them to explain what changed and run the practice cases.

Watch whether they can locate the current rule and distinguish it from the incident history. Ask who can accept a new exception and how a failed check should be reported.

Record every place they need an unwritten explanation. Revise the runbook or source pointer to close that gap. Repeat the affected case after the revision.

The exercise passes when the second operator can show the evidence and follow the correction route. A confident description of what should happen is not the test result.

## Keep the correction visible in routine review

Add the relevant case to the function's acceptance checks. Require a retest when the controlling source, instruction, source-loading path, or model changes.

Choose a review interval that fits the consequence and frequency of the job. Inspect whether the fix remains applicable. Retire a test through an owner decision when the underlying process changes.

Record failed runs and unresolved corrections alongside successful ones. Distinguish proposed, accepted, tested, and retired entries so an operator can tell what is active.

Periodically move stable rules into the maintained procedure. Preserve links to the original issue and acceptance evidence. The correction log should remain a route to the rule, not an ever-growing replacement for the runbook.

## Practice a rejected correction too

Give the trainee a proposed change that lacks supporting evidence. Ask them to preserve the proposal without changing the active rule. Record who can resolve it and what material is missing. This exercise checks whether staff can distinguish a useful suggestion from an accepted instruction.

Next, show an accepted change whose retest failed. The trainee should keep its failed status visible and follow the agreed operating boundary. Acceptance of the idea should not be recorded as proof that the function used it correctly.

Use the [run receipt guide](/articles/receipt-is-part-of-the-output) to identify the source version and result that the reviewer must inspect.

## Give the owner a practical completion test

Ask for the original failure, the accepted rule, its active location, and the later run that passed. Ask for the nearby cases and the second operator's result.

If any part is missing, describe the fix as incomplete. State what remains to be done and who owns it. Keep the current task manual when its required checks cannot be met.

Scale With Search's [AI systems method](/ai-systems) builds functions on facts, rules, and corrections that the business owns. Training includes carrying those corrections into later work and checking the result.

To scope a function with a correction handoff, [send one recurring error and the current procedure](/work). Include the person who accepts the rule and the evidence a fresh run must show.
