Review the request through a trusted route before proceeding. A contact form submission starts an inquiry. Treat the sender's identity and the safety of their links as separate questions. Use the same review method across your team. ## Record the request without following its links. Keep the original message available to the person reviewing it. Note the submission time, receiving address, page context, and requested action. Avoid circulating a clickable attachment through the whole team. Describe the concern in observable terms. For example, record that the sender asks for a password or requires an unfamiliar document download. Leave the person's identity unresolved until the evidence supports a conclusion. The FTC explains that phishing messages may use links or attachments to obtain information or install harmful software. Its guidance recommends contacting a known company through a phone number or website you already trust. Do not label someone fraudulent solely because of messaging preferences, unfamiliar phrasing, or little public information. Focus the review on the action they ask you to take. Offer your ordinary, approved inquiry route. Ask a bounded property or service question without requesting sensitive documents in the general contact form. Let your broker define any later identity or transaction checks. If a sender claims to represent a known organization, check through contact information you obtained independently. Keep the verification result beside the original request. Do not treat the contact details inside the suspicious message as independent confirmation. ## Give the team a consistent review path. Choose who receives questionable inquiries. Define when the receiving agent pauses a conversation and when the broker or technical support takes over. Keep a brief decision record. Record why a request needs review. Avoid turning a suspicion into a public accusation. ## Improve the receiving workflow. Ask your website maintainer to show how a submission reaches its recipient. Include the page address and timestamp in the internal record where appropriate. Agree on a safe way to review suspicious content. Keep form-spam controls and message review as separate tasks. Use a harmless test message to rehearse routing. Do not test with a live malicious file or a customer's account. Record who received the message and who made the review decision. ## Respond to exposure through the appropriate support route. If someone shared information or opened a suspicious attachment, ask technical support to assess the exposure. Keep the facts and timing available. The FTC recommends updating security software and running a scan when harmful software may have been downloaded.
