Separate a general brochure from a private proposal or account document. Give every public file an approved version and maintenance owner. Google lists PDF among the document formats it can index. A downloadable file can therefore require its own public-content review. It does not establish that any file is currently indexed or private. ## Inventory the files and their direct addresses List PDFs linked from service pages, quote pages, downloads, and old campaigns. Ask the maintainer to identify other publicly served copies within the website scope. For each file, record its direct address, title, current version, owner, and incoming links. Keep a brochure distinct from an individual customer's proposal. Do not open private customer files as part of a public search audit. Have the authorized document owner classify those records through the approved internal process. ## Assign a publication decision to each document Use this proposed inventory: | File decision | What to approve | | --- | --- | | Public and discoverable | Supported content, current version, and relevant page links | | Public but excluded from search | Reason for exclusion and supported indexing control | | Private | Authorized access requirements and responsible document owner | | Superseded | Replacement plan and affected links | | Unresolved | Missing owner, permission, or publication decision | For a public brochure, check equipment, warranty, savings, service coverage, and contact statements against their sources. Keep unverified figures out rather than relying on a small-print qualification. Review the filename and document properties too. Keep customer identifiers and private account details outside the public asset. ## Keep search exclusion separate from privacy Google's content-sharing guidance says password protection is needed for confidential or private site content. It explains that a noindex resource can still be visited by someone with its link. Ask the maintainer to demonstrate the actual authorized-access requirement for any private delivery system. Keep that work separately scoped from publishing a brochure. Do not move a customer proposal into a public folder while testing indexing settings. ## Give the maintainer the right exclusion requirement For a public PDF that should stay out of Google Search, Google's noindex guidance documents the X-Robots-Tag HTTP response header. It also says the resource must remain accessible to Googlebot for the rule to be read. Do not accept a setting on the linking webpage as evidence about the PDF itself. Have the maintainer explain any robots.txt conflict. Keep the configured exclusion distinct from later evidence that Google processed it. Do not promise immediate removal. ## Review the file and its landing page together Open the approved public download and compare it with the source version. Check its text, contact destination, dates, and any links back to the website. Provide a readable webpage explanation of what the download contains. Keep the current brochure attached to the service it describes rather than an unrelated collection of old files. Have the content owner approve a replacement before changing an established address. Check affected website links after the change. Save the final file, direct address, and verification record together.
