# SEC adviser snapshot dates: separate a monthly file from an actual firm change

A practice owner reviewing nearby advisory firms wants to know what deserves attention this month. A file difference can identify a research question. It cannot, by itself, establish when a firm opened, closed, changed its name, or moved.

Prepare a dated comparison note before adding an event to the practice's market history. Separate what the publisher labeled, what your team downloaded, what the selected records contain, and what current firm evidence confirms.

The method below is a proposed research workflow. It does not provide filing advice or identify any actual firm's circumstances. Every example uses invented firms, identifiers, and observation periods. The worksheet categories belong to the analyst, not to an asserted SEC file schema.

## Define the comparison before looking for changes

The SEC monthly report page offers distinct registered-adviser and exempt-reporting-adviser downloads. It describes published information as a subset of Form ADV filings. That coverage statement matters before comparing two collections. [SEC adviser report guidance, checked 2026.10.28](https://www.sec.gov/data-research/sec-markets-data/information-about-registered-investment-advisers-exempt-reporting-advisers).

Write a comparison sentence first. For example: compare verified firm identities in two retained registered-adviser observations using the same geographic rule. Include both selected populations and the fields you intend to inspect.

If one observation comes from the registered collection and another comes from the exempt-reporting collection, stop the routine comparison. Establish whether the research question calls for that population change. Preserve each collection separately while the reviewer investigates.

Document local filters too. A postal-code selection, an unresolved identity rule, or an excluded residential location can remove a record from your output. A record absent from your table may still exist in the downloaded source.

Keep three counts: source records inspected, records eligible for the question, and unresolved records held outside the comparison. These are proposed research counts. They help the next reader distinguish a population difference from a software filter or a missing source.

## Keep publication and date evidence in separate spaces

Begin with the publisher's archive label. Preserve the text as displayed on the official download page. Treat that label as an identifier for the selected publication, rather than an automatic date for every event represented inside it.

Next, record the internal filename after opening the archive. Preserve the exact spelling. Do not rename the retained evidence to make its apparent month agree with the outer label. If there is a discrepancy, describe it without guessing its cause.

Third, record any file-associated date together with its origin. A filesystem modification date, archive-member timestamp, or server response date needs its own label. None should silently populate a column called firm-change date.

Fourth, record your download time and time zone. This is your team's observation time. It explains when you obtained that version, including when two downloads occurred on different days within the same labeled month.

Fifth, record a filing date only when its meaning and source are verified. Identify the relevant filing and retain its reference. A date-looking column is not usable until the reviewer checks what that field represents.

| Proposed date category | Evidence to preserve | Interpretation to avoid |
| --- | --- | --- |
| Archive label | Text and link from the publisher's list | Date the firm began operating |
| Internal filename | Exact member name from the opened archive | Guaranteed reporting period |
| File-associated date | Value plus the system or header that supplied it | Filing date or effective event date |
| Download time | Local receipt time with time zone | Publisher publication time |
| Verified filing date | Relevant filing reference and checked meaning | Effective date of every business fact |

These are recordkeeping recommendations. They do not assert that the current monthly spreadsheet contains five corresponding columns. Inspect the actual archive and its headers before creating any import mapping.

## Make source-access limits visible

The official monthly-data page and Form ADV documents opened for this guide. Attempts to download the selected archives returned access errors. Their current internal filenames, headers, embedded dates, and row contents therefore remain unverified here.

That is a useful stopping condition. A researcher should record an unavailable source instead of substituting an old planning note or inferring a filename from the download link. An inaccessible archive cannot support a current row-level event claim.

Once an official file is accessible, retain the original bytes and a content checksum. Your research note can then distinguish a second receipt of identical bytes from a changed file under the same label. This is a proposed evidence-control step, not a publisher requirement.

If retrieval remains unavailable, continue only with claims supported by the official documents you can read. Mark the archive comparison incomplete. The missing source belongs in the answer, rather than in a private footnote that the decision maker never sees.

## Worked example: appears, disappears, and reappears

Synthetic Firm Maple has invented identifier M-01. Your retained observation A includes M-01. Observation B does not include it in your eligible comparison table. Observation C includes it again. The letters describe observation order, not real calendar months.

Write the first result narrowly: M-01 was present in A and C, and absent from the selected table for B. Do not convert those observations into closed in B and reopened in C. The table has not established either business event.

Investigate B in layers. Was the download complete? Was the intended archive selected? Did the parser retain the identifier? Did a local geography rule exclude the row? Was the record absent from the source itself?

Suppose the synthetic investigation finds M-01 in the retained source for B. A changed local geographic filter had excluded it from the table. Correct the comparison result and record the filter difference. The firm history should contain no closure label.

Now consider a different synthetic outcome. M-01 is absent from the verified B source, and the cause remains unresolved. Retain that source-level absence as an observation. Assign a current-record review and leave the commercial event unknown.

The same sequence can produce different research decisions because the evidence differs. Preserve the investigation path so the next analyst does not reopen an already-resolved filter issue or repeat an unsupported closure story.

## Reopen firm evidence before naming an event

The SEC directs researchers to IAPD for an adviser's most recent Form ADV. Use that official path to verify the relevant firm after checking identity. [SEC guidance on specific adviser information, checked 2026.10.28](https://www.sec.gov/data-research/sec-markets-data/information-about-registered-investment-advisers-exempt-reporting-advisers); [IAPD public lookup](https://adviserinfo.sec.gov/).

Start with the firm identifier and preserve the record reference you inspect. The [monthly firm identity guide](/articles/sec-adviser-monthly-crd-name-office-evidence) explains why a changed business name should not automatically create another entity.

Compare the current evidence with the particular proposition under review. A current principal-office entry may support a statement about the current reported office. Without further evidence, it does not establish the day physical operations moved.

Form ADV distinguishes identifying information in Item 1, including names and principal-office information. Use the applicable item to describe what you checked. Avoid collapsing those different observations into a generic firm-update label. [Form ADV Part 1A, SEC 1707 (07-24), Item 1, checked 2026.10.28](https://www.sec.gov/files/formadv-part1a_1.pdf).

If current evidence is unavailable or conflicts with the retained observation, keep the event unresolved. Record the exact confirmation question, such as whether two labels refer to the same firm. A review request should not presuppose the conclusion it seeks to verify.

## Distinguish an amendment from an effective business date

Form ADV General Instruction 4 describes annual and other-than-annual amendments. That update framework does not make a monthly archive label the effective date of every reported business fact. [Form ADV General Instructions, SEC 1707 (07-24), Instruction 4, checked 2026.10.28](https://www.sec.gov/files/formadv-instructions.pdf).

When a reviewer confirms a filing date, state exactly what it dates. If the evidence establishes only that the filing was submitted on a particular day, retain that wording. Do not rewrite it as the day a move occurred.

A comparison window can also differ from an event window. Two monthly observations bracket a detected text difference in your retained sources. They do not necessarily bracket when staff changed locations or when a business began using a name.

Use separate decision spaces for confirmed source difference and confirmed event. The first can be complete while the second remains open. That distinction lets the practice retain useful evidence without adding a false timeline to its market history.

## Reject the tempting server-date shortcut

A synthetic analyst receives an archive on Tuesday and sees a Monday modification date in the server response. The worksheet proposes Monday as the firm's relocation date. Reject that conclusion.

The analyst has observed metadata associated with a delivered resource. There is no firm-specific event evidence in that observation. Keep the server date under its original technical label and remove the unsupported relocation statement from the summary.

Another rejected shortcut uses a file's apparent month to fill a missing filing date. Leave the filing date unknown instead. A complete-looking date column is less useful than an honest exception that directs the reviewer to the missing evidence.

If a manager needs a decision before that evidence arrives, provide the bounded result: comparison incomplete, no event date confirmed, specified follow-up assigned. The deadline does not make an unsupported date more reliable.

## Finish with a dated research note

Use one note per comparison decision, with links to retained evidence and any corrected version. The following worksheet is a proposed handoff format for private firm-level research.

| Review question | Required entry in the note |
| --- | --- |
| What did we compare? | Selected populations, archive labels, and local eligibility rules |
| Which versions did we inspect? | Download times, exact member names when verified, and retained-file references |
| What changed in the evidence? | Specific presence, absence, name, or office-text difference |
| What did current review confirm? | Correct firm reference, relevant filing or item, and check date |
| What remains unknown? | Missing source, population limitation, or unsupported effective date |
| What did the analyst decide? | Accepted difference, rejected event inference, or unresolved comparison |
| Who acts next? | Reviewer, confirmation question, and administrative review date |

Read the note without the spreadsheet before closing the task. It should let another colleague reproduce the selected comparison and understand why the decision stops where it does. Remove any sentence that outruns the listed evidence.

Retain corrections alongside the original judgment. The [business memory guide](/articles/business-memory-for-ai-agents-guide) offers a way to keep accepted instructions and corrections under the firm's control. A future monthly review should inherit the corrected comparison rule.

Connect this work to the [financial advisor intelligence brief](/intelligence/financial-advisors) and the [financial advisor website plan](/for/financial-advisors). Private archive observations should not become public claims about a named competitor without a separate evidence review.

Scale With Search can scope a bounded comparison process with versioned sources, explicit coverage, exception handling, and reviewer handoff. Bring one completed note and one unresolved case to define the acceptance checks.
