Have the authorized maintainer remove or protect private files at their source. Handle the existing search result as a separate follow-up task. Google recommends password protection for confidential material. It explains that a noindex instruction controls search appearance while people with the link can still visit the content. Keep private customer details in the company's approved incident process, outside a public website brief. ## Record the exposure without spreading the file Save the exact URL, discovery date, and kind of document in restricted business storage. Identify who owns the job record and who controls its hosting. Avoid forwarding the complete document to everyone involved in the website. Potential items to inspect include claim-document indexes, estimates, authorizations, photos, invoices, and exported reports. Those are inventory suggestions, not a claim that any particular company has exposed them. Ask the responsible owner to decide which files need immediate protection and what incident process applies. Do not wait for a search-result update before addressing current public access. ## Match the control to the intended audience Give the maintainer an explicit decision for each URL. Do not accept a crawler rule as proof that a customer document is private. Require a test without an authorized session against the actual file address. ## Review the downloadable file itself A clean-looking page preview does not settle what the download contains. Google warns that files can retain hidden text, prior changes, uncropped images, and metadata. Its guidance rejects visual overlays as reliable redaction. If the owner wants a public sample, prepare it separately from the private job record. Inspect the exported text, images, metadata, filename, and attachments. Confirm that the download button points to that exact reviewed file. Search the company's controlled storage and website for other public copies. Include alternate file URLs and image attachments in the maintainer's inventory. Do not assume fixing the page link changes a directly accessible file. ## Follow up on the existing search result After removing or protecting the live document, have the verified site owner use the appropriate Search removal process. Google's redaction guidance describes removing the hosted file and requesting removal through the verified site's Removals tool. Keep the source-access test, removal request, and later observed search state as separate records. Avoid promising a fixed processing time. An absent result in one check does not test whether a direct file link is protected. For material intentionally public but excluded from Search, ask the maintainer about noindex. Google needs crawl access to discover that instruction. That is a different decision from protecting a confidential file. Then require a separate test denying unauthorized retrieval. Keep screenshots and test records in restricted storage. Check that public service pages still offer a working inquiry route. Remove stale links to private job documents from public navigation and demonstrations. Record every unresolved URL with an owner and next check.
