Then check whether an unfamiliar reader can explain the service, its conditions, and the next step. Keep those checks together when approving business website copy. A score is one input to editing. Set a practical goal: a customer should find the answer they need without translating your internal language. ## Know which score you are reading Microsoft explains that Flesch Reading Ease uses a 100-point scale, with higher values indicating easier text. Flesch-Kincaid Grade Level expresses difficulty as a U.S. school grade. Both use average sentence length and syllables per word. Do not interpret a higher grade-level number as an improvement. Choose the measure before comparing drafts. For website approval, pair the number with the reader task below rather than prescribing one score for every service and audience. ## Record what the tool measures Save the tool name, test name, language, and exact passage beside the result. Keep the page version so another editor can repeat the check. Compare changes within the same test rather than comparing unrelated score labels. W3C's reading-level guidance discusses assessing text and providing supplemental content when advanced reading ability is needed. Avoid rewriting a business name, credential, or necessary service term merely to improve a number. Explain the term when the reader needs it. Preserve the meaning and any required condition. ## Start with one important service page Copy the main explanation, request instructions, and important conditions into the review document. Keep navigation and repeated footer text separate. State what you included so the next test uses the same scope. Ask three questions before editing: - Who needs this page, and what are they trying to decide? - Which facts must they understand before sending a request? - Which words would staff need to explain on the phone? Underline sentences that ask the reader to hold several conditions at once. Mark phrases staff use internally but customers rarely use. Check whether each heading describes the answer below it. ## Revise for a specific reader task Consider this invented example: “Prospective customers are requested to initiate communication regarding the potential applicability of our service provision.” A possible revision is: “Tell us what work you need. We will check whether it fits our services.” Use that revision only when it describes the business's actual process. The change removes abstract language and names the next action. A shorter sentence still needs to be accurate. ## Pair the score with a comprehension check Give the revised page to someone who did not write it. Ask them to describe what the business offers, name a limit, and locate the request step. Do not explain the page while they read it. Record the answer they give and where they hesitate. Revise the unclear passage and repeat the relevant task. Keep the observed misunderstanding beside the score change. Google asks creators to assess whether readers leave with enough information to achieve their goal. Its guidance also says Google has no preferred word count. Do not add or remove text solely to reach an assumed search length. Use the guidance to inform this editing task, while defining any wider accessibility assessment separately. A copy review alone does not demonstrate conformance with an entire standard.
