# Discontinued AV equipment: read Q-SYS service terms before recommending replacement

A discontinued label should start a support inquiry. It should not become an unsupported replacement deadline in your customer presentation. Read the exact product entry, the hardware service policy, and the acquisition evidence together. Then prepare questions for the manufacturer and the person responsible for the room.

This guide is for managed service teams supporting room AV alongside their other responsibilities. The [managed service provider overview](/for/it-and-managed-service-providers) supplies the wider operating context. Here, the deliverable is a support evidence record: what the sources establish, what remains unknown, and who will resolve it.

Keep the room's observed condition separate from its manufacturer support status. A meeting that worked yesterday establishes one observation about that meeting. It does not answer whether a particular repair, software release, or warranty claim will receive support.

## Give each support question its own field

Use separate fields for product listing, repair availability, warranty eligibility, software support, and operational condition. Resist replacing them with a single green or red status. A customer should be able to see which question your evidence answers.

The [Q-SYS discontinued-products overview](https://www.qsys.com/products-solutions/q-sys/resources/discontinued-products/), accessed 2026.10.28, says that once a product is obsolete, bug fixes cease and support becomes best effort. It describes that support through examples including service, repair, and clarification of published material. The page does not supply a universal model-by-model obsolescence date.

Preserve the manufacturer's terms. Do not define obsolete as the day the customer stopped buying equipment. Do not assign an end-of-service date by adding a convenient interval to the invoice. Treat a label without an effective date as an unresolved field.

For each conclusion, add its evidence type. Use “manufacturer product entry,” “policy statement,” “purchase record,” “technician observation,” or “written support response.” These labels are proposed record conventions. They help the next reader distinguish public policy from installation-specific confirmation.

## Compare the product entry with the service policy

The [discontinued processors page](https://www.qsys.com/products-solutions/discontinued-products/q-sys-legacy-dsp/), accessed 2026.10.28, lists Core 510i with March 2025. It lists Core 1100 with August 2020 and Limited Service. Core 250i carries February 2018 and End of Service. Those are different entries, not interchangeable descriptions of all discontinued processors.

The [hardware service policy](https://www.qsys.com/support/hardware-service-policy/), sections Discontinued Products, End-of-Service, Software Support, and Labor Rate, was checked on 2026.10.28. It describes discontinued repairs as best effort. Its EOS section states a minimum three-year period or warranty expiry, followed by commercially reasonable efforts. It also ties the end-of-service decision to component availability and software and hardware compatibility. The warranty-repair subsection explicitly uses whichever is longer. Software support may use standard Designer Software or LTS.

Read those passages beside the exact model entry. A general service commitment does not erase a model-specific End of Service label. Nor does a bare discontinuation month establish that a particular repair is available. Preserve the difference and ask Q-SYS which terms apply to the identified unit.

A useful comparison has three columns: the product entry, the relevant policy section, and the unresolved question. Keep the question visible until you receive an answer. Do not silently reconcile different language into a new deadline.

For example, ask whether a model's listed service status has an effective date. Ask which repair options remain for the identified unit and region. Ask whether the general policy has a model-specific exception. Record the response as its own dated source.

## Establish warranty evidence independently

The [QSC Limited Warranty](https://www.qsc.com/policy/warranty-statement), checked 2026.10.28, identifies the invoice date of first purchase as the standard warranty start. It requires proof of purchase for validation. The page carries document identifier WA-001001-01-0C and lists Core Series under the three-year Q-SYS product period.

Use that statement to request the right evidence. Do not declare a customer's entitlement from the model name alone. Ask the responsible service channel to validate the actual unit and circumstances. Preserve the invoice reference, purchase country, dealer evidence, and any prior warranty correspondence in the private customer record.

If the invoice is missing, write “proof of first purchase not located.” An installation date is a different fact. A later service visit is another fact. Neither should overwrite the missing acquisition evidence.

Avoid copying private invoices into a public presentation. Put the document reference in the evidence record and share it through the customer's approved channel. A discussion slide can state that warranty validation remains open without exposing account details.

Give the document search an owner and a next review date. Otherwise, “awaiting invoice” can become a permanent footnote that everyone assumes somebody else is handling.

## Work through a fictional installed-model record

The following example is synthetic. It describes no customer, installed system, or verified support entitlement. Its purpose is to show how a managed service team can prepare a precise inquiry.

Assume a fictional room called Training Room Cedar contains a processor identified as Core 510i. The technician has a label photograph in the private record. The serial field says “captured in restricted attachment,” rather than publishing a realistic serial number.

| Record field | Fictional entry | Next action |
| --- | --- | --- |
| Exact identity | Core 510i; label photograph referenced | Technician confirms the model match |
| Acquisition evidence | Purchase file located; first-purchase invoice not confirmed | Account owner requests the controlling invoice |
| Product-list evidence | Core 510i row, March 2025, read 2026.10.28 | Retain the row and page URL |
| Service-policy version | Live page snapshot dated 2026.10.28; no numbered edition shown | Reopen before the support inquiry |
| Warranty reference | WA-001001-01-0C; entitlement unconfirmed | Service channel validates applicability |
| Current operation | Customer reports intermittent room audio | Technician records the symptom separately |
| Repair availability | Unknown for this unit and symptom | Ask the manufacturer |
| Software support | Version-specific answer not established | Prepare a separate compatibility record |

The public model-list entry supports one part of this example. The room, document-search state, and symptom are invented. Do not let their proximity make the fictional details appear manufacturer verified.

The account owner can now prepare a focused request. Identify the model and provide the actual serial privately. Describe the symptom without diagnosing it. Reference the product entry and policy access date. Request the applicable service status, required warranty evidence, and current inquiry route.

Ask the manufacturer to distinguish a general answer from a unit-specific answer. “This model is discontinued” leaves several fields open. “This unit can be assessed through this service channel” answers a different question. Keep each answer attached to the question it resolves.

## Keep software support on a separate track

The [Designer compatibility overview](https://help.qsys.com/Content/Q-SYS_Compatibility/Q-SYS_Compatibility_Overview.htm), footer Q-SYS 10.5.1, checked 2026.10.28, describes discontinued software support through the standard warranty period. It also cautions that newer features may not suit discontinued products.

That wording differs from the hardware service policy's minimum-period wording. Preserve both references and ask which software-support terms govern the exact model and proposed release. Do not choose the most favorable passage and present it as confirmed entitlement.

Use the companion [Q-SYS compatibility-table review](/articles/qsys-hardware-software-compatibility-table-review) for the version evidence. A service inquiry and a compatibility review can share the asset identity. Their conclusions should remain separate.

For your record, distinguish access to a release from support for a combination. Distinguish a software-support response from repair availability. Ask the AV technician to check the relevant version documents before the customer receives any technical recommendation.

## Prepare the customer discussion around decisions

Start the agenda with the room's purpose and the customer's tolerance for interruption. Ask which scheduled activities depend on it. Record who can accept an operational limitation and who must approve any later technical work.

Next, show the evidence record. Read confirmed statements first. Then present the missing facts and their owners. Use precise wording such as “service availability for this unit remains unconfirmed.” Avoid converting an open inquiry into “unsupported room” or “replacement required.”

Discuss three separate paths: continued operation under an agreed review arrangement, a manufacturer support inquiry, and a technician assessment. These are agenda topics, not predetermined recommendations. The responsible people decide which path is appropriate after reviewing the actual room and evidence.

For continued operation, record what the customer is accepting and when to revisit it. For the support inquiry, record the questions, owner, and expected follow-up. For assessment, define the decision the technician must help answer. Do not turn the discussion into a hardware shopping list.

End with a short decision record. State what was agreed, what was deferred, and what new evidence would reopen the decision. Leave commercial commitments and engineering judgments with their responsible owners.

## Turn a broad support reply into a usable answer

Suppose the fictional account owner receives a reply saying that legacy equipment can be considered for service. Keep that response in the file, but leave unit-specific repair availability unresolved. Ask whether the answer covers the identified processor, the reported symptom, and the region where service is requested.

If the response asks for more evidence, record the missing item and the person collecting it. Do not describe an open case as an accepted repair. If the service channel declines an assessment, retain its stated reason without extending that reason to unrelated units.

For the customer update, use a brief factual sequence: the inquiry sent, the response received, the remaining question, and the next responsible person. Add the date of the next update. That format keeps a quiet period from looking like a completed manufacturer determination.

When a definitive answer arrives, replace the current question's state and preserve its earlier history. Link the answer to the exact evidence supplied. If the model identity or symptom later changes, reopen the inquiry rather than reusing an answer to a different question.

## Maintain the evidence without rewriting its history

Keep the prior source snapshot when a manufacturer page changes. Add a new access date and the changed passage. Do not replace an earlier customer decision's evidence with a newer page that the decision-maker never saw.

Use a separate response log for manufacturer correspondence. Include the question, response date, responding service channel, applicable unit, and remaining conditions. A reply about one unit should not automatically populate every room with the same model.

The [business memory guide](/articles/business-memory-for-ai-agents-guide) explains the broader value of preserving owned decisions and source references. For AV support, begin with a readable file that connects the asset, evidence, inquiry, and customer decision. A sophisticated collector cannot resolve an unidentified unit.

Set review triggers around meaningful changes: a new symptom, a changed product entry, a returned support answer, or a proposed software change. Let the service owner decide the review cadence. Avoid claiming that a monthly reread alone proves continuing support.

The [AV intelligence overview](/intelligence/av-and-led-video-walls) covers wider source-monitoring opportunities. The [MSP intelligence overview](/intelligence/it-and-managed-service-providers) puts this evidence task beside other service research. Neither replaces the model-specific inquiry described here.

Scale With Search can discuss the scope of an owned evidence record and its review handoff. Bring the source set, intended reader, and unresolved questions to that conversation. The manufacturer's support determination and the technician's room assessment remain separate decisions.
