# Plumbing and electrical AI rules: data, approvals, and spend

Set plumbing and electrical AI rules around a single office task. A call-summary function should organize reported facts. An estimate-follow-up function should restate an approved offer. Neither should diagnose a fault, dispatch a technician, or certify completed work.

Name the permitted records, trade reviewer, release owner, and monthly spend limit before connecting software. Treat these recommendations as a specification for internal controls. They do not establish that a tool meets your contracts or the rules governing a particular project.

The [contractor industry hub](/for/plumbing-and-electrical-contractors) covers the wider workflow. The [license verification guide](/articles/contractor-license-verification-website) covers public credentials. Here the focus is the private operating record and the approvals needed before its contents leave the office.

## Keep the two trades identifiable

Create separate rule sets for plumbing and electrical work even when they share an office. Identify the responsible reviewer, approved work scope, source records, and prohibited technical decisions for each function.

For a North Carolina electrical example, the licensing board publishes its rules and links to the governing licensing law. Use the relevant authority for the actual trade and jurisdiction. [North Carolina electrical board laws and rules, checked 2026.10.26](https://www.ncbeec.org/laws-rules/).

That source identifies where to check authority. It does not verify your company or determine whether a specific project requires a particular permit. Have the responsible person resolve those matters before approving related wording.

A model should not infer credentials from a company name or a description copied from another job. Give every approved credential statement an exact source and review owner.

## Restrict the data to the office task

Inventory call notes, service locations, customer contact details, estimates, technician records, parts status, and inspection references. Mark the minimum subset needed for the function. Keep unrelated jobs outside it.

The FTC recommends limiting access to sensitive personal information according to business need. Apply that principle to the model connection. [FTC information guide, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

For a call-summary task, the office may need the reported issue and callback route. It should not automatically supply payroll files, full customer history, or every photograph stored against the account.

Require a permission check using synthetic records. The function should read its assigned job and fail to read an unrelated one. Check the transmitted fields and logs. Do not accept a screen filter as proof that excluded data stays outside the request.

## Exclude access secrets and payment details

As a company policy, keep door codes, alarm credentials, key arrangements, passwords, and payment credentials outside model inputs. Provide an administrative reference when the reviewer needs to know that access instructions exist.

Route sensitive free-text attachments to the office's restricted review process. A customer might include private details that the draft does not need. Remove excluded content before processing rather than relying on the model to forget it afterward.

PCI DSS prohibits retaining card verification codes after authorization, including encrypted storage. [PCI Security Standards Council FAQ 1280, checked 2026.10.26](https://www.pcisecuritystandards.org/faqs/1280/).

Keep card collection in the approved payment process. An estimate or status draft may use an authorized payment-state reference when required. It does not need card numbers, security codes, or payment-system credentials.

Keep those exclusions out of debug files too. An error message should identify the failed field category without repeating the private value.

## Separate a reported problem from a technical conclusion

Preserve the caller's description as a report. Do not turn breaker keeps tripping into a diagnosis. Do not turn a leaking fixture into an approved repair plan. Require the function to identify the source of its wording.

Have qualified staff supply the company's approved handling instructions for reported urgent concerns. The AI draft should follow the established referral process without inventing repair steps or safety reassurance.

Use explicit state labels for the job record. Requested, confirmed, ordered, received, installed, and inspected should remain distinct where the workflow uses them. A missing state remains unresolved for the job owner.

Require the reviewer to check every claim about completion, inspection, compliance, and arrival. An old schedule or technician's informal note should not silently become a new customer promise.

## Require approval at the action boundary

Use a matrix that maps each output to its checker and authorized release role. Adapt the following example to the actual office.

| Output | Required check | Release authority |
| --- | --- | --- |
| Call intake packet | Dispatcher checks identity and scope | Service lead decides next action |
| Estimate follow-up | Estimator checks current terms | Estimating lead |
| Technical explanation | Qualified trade reviewer | Authorized service manager |
| Job-status message | Technician and job owner | Office release owner |
| Appointment change | Dispatcher checks schedule and customer | Authorized dispatcher |

Keep booking, dispatching, purchasing parts, charging, deleting records, and closing inspections outside the initial preparation function. A draft should not trigger those actions simply by existing.

Bind approval to job, source version, final text, recipient, channel, and attachments. A changed price, date, part status, or scope requires another review. Keep an unavailable reviewer's item pending with a named backup process.

## Check the outside processing arrangement

Record the proposed service, account owner, retention settings, data-use terms, outside processors, and deletion process. Approve the actual account configuration before sending private records.

Name the administrator who can change or revoke the connection. Review again when the function gains a new data category or changes purpose. An approval for call summaries should not silently cover processing site photographs.

Keep credentials in the company's approved secret-storage system. Use references in runbooks. Require the maintainer to demonstrate what happens when a connection is revoked and a queued run tries to continue.

Preserve accepted corrections in business-controlled files. A corrected distinction between ordered and received should update the governing rule and its acceptance case, rather than remain in a private chat.

## Enforce model spending per function

Give each function a monthly ceiling, warning threshold, alert recipient, and authorized budget owner. Include model calls, extraction, metered tools, and retries. Keep exact checks deterministic where they can answer the task.

Reserve a bounded amount before paid work begins. Count simultaneous runs against the same balance. Stop new work when the remaining allowance is insufficient, and leave the task visible in the manual queue.

Write a receipt for each attempt. Include function, job reference, input versions, model identifier, actual or pending charge, status, and reviewer. Do not put customer narratives or access instructions in a general cost report.

Reconcile pending charges against actual billing. A timeout does not justify recording zero cost without evidence. A retry must use the remaining function allowance and the same approved data boundary.

## Test the rules with dispatch and field staff

Prepare synthetic calls with missing addresses, conflicting trades, unsupported diagnosis requests, and copied access secrets. Require the function to flag uncertainty and exclude prohibited data before processing.

Test an old estimate, a part without confirmed receipt, and an inspection without a result. The expected output should avoid new promises. Test an exhausted budget and confirm that paid processing stops.

Have the dispatcher direct a run, the technician reject an inaccurate statement, and the estimator correct the source rule. Repeat the failed case before accepting handoff. Keep permission evidence and recovery steps beside the runbook.
