# How to plan your business budget for AI price changes

Plan for AI price changes with dated rate records and measured workloads. Decide what happens when an approved allowance is insufficient. Test a replacement route before you need to use it.

Do not build the budget around a prediction that AI will become cheaper or more expensive. Use confirmed terms for today's work. Use clearly labeled scenarios to decide how the business would respond to different terms.

The useful output is a short plan: which functions depend on which accounts, what their current rates cover, and who can approve a change.

## Read pricing announcements as dated evidence

Historical announcements show specific changes under specific conditions. They do not establish a permanent direction for prices.

On June 13, 2023, a vendor announced a 25% reduction in input pricing for one text model and a 75% reduction for an embedding model. These were defined reductions for those services. [Vendor announcement dated June 13, 2023](https://openai.com/index/function-calling-and-other-api-updates/)

On January 25, 2024, the same vendor announced that a new text-model version would have 50% lower input pricing and 25% lower output pricing. The announcement tied the reduction to that version. [Vendor announcement dated January 25, 2024](https://openai.com/index/new-embedding-models-and-api-updates/)

Both examples concern API usage. Neither proves what a particular subscription will cost next year. Use the announcement's date, affected service, effective terms, and scope when recording a change. Keep unconfirmed commentary out of the financial plan.

## Keep a rate record beside each function

Give each recurring function a record of the paying account, selected model, applicable service tier, billing unit, currency, and source URL. Add the date someone checked the terms.

Keep the rate record separate from the task instructions. The person reconciling charges should be able to inspect it without reconstructing how the model was prompted.

The current API pricing schedule checked for this article lists separate input and output rates, with additional pricing for some tools. Record the components your function uses. [Vendor API pricing, checked 2026.10.26](https://developers.openai.com/api/docs/pricing)

Ask the account owner to verify any negotiated terms or account-specific adjustments. Public pricing is a source to check against the applicable agreement. Preserve the previous rate record when replacing it so older receipts remain understandable.

## Measure the workload before changing assumptions

Collect a representative set of recent run receipts. Group them by function and task type. Count accepted outputs, failed attempts, retries, and jobs still awaiting review.

Separate larger jobs from ordinary ones. A long source packet and a short status note should not become one unexplained average. Record which workload mix the forecast assumes.

Keep actual billed amounts distinct from estimates. Where charges remain unresolved, show the uncertainty. Reconcile those records before treating the period as final.

Use the [run receipt guide](/articles/receipt-is-part-of-the-output) to connect a charge to the work it supported. The budget should make that connection visible to the owner who must decide whether the function continues.

## Build scenarios without pretending to predict prices

Create a current-terms scenario using the confirmed rate record and observed workload. Then define hypothetical changes that matter to your decision.

One scenario might assume more requests at the current rates. Another might assume higher rates with the same workload. A third might combine a heavier workload with a changed service tier. Label each assumption clearly.

Do not describe these scenarios as announced vendor changes. Their purpose is to test your response. Keep historical announcements in an evidence section and planning assumptions in a separate section.

Show which component drives each change. If the scenario changes output rates, avoid applying that change to unrelated subscription charges. Include other known service costs under their own assumptions.

Have the function owner choose the scenarios worth reviewing. Keep the calculation and its inputs accessible in a business-owned file.

## Decide what the business can stop or reduce

Sort the recurring work into eliminate, automate, augment, or outsource before deciding to spend more. Remove jobs with no current business purpose. Define the minimum useful result for each retained function.

For a report, consider whether the approved scope requires every section on every run. For a preparation job, consider which steps need interpretation and which can use fixed rules. Test a smaller scope before claiming it meets the same requirement.

Treat lower frequency as a business decision. Ask who needs the result and when. Do not silently skip required work to make the spending line look better.

The study and sort on [the AI systems page](/ai-systems) provides this structure. It gives the owner choices about the work itself before the team changes a model or raises a limit.

## Write a response for each budget boundary

Specify what happens when spending approaches the allowance and when the next paid step cannot fit. Name the person who investigates and the person who can authorize a revised allowance.

Possible decisions include reducing future workload, pausing a nonessential function, using a manual process, or testing a replacement. Choose the response according to the function's business purpose.

Keep urgent work visible in a queue when spending pauses. Record who communicates the delay and where the team finds prepared partial work. The owner should understand the service impact before changing a limit.

Require an expiry for a temporary increase. Revisit it after the stated period. A short exception should not quietly become the new permanent budget.

## Prepare a replacement before a rushed switch

Keep current facts, task rules, corrections, approval conditions, and accepted examples in records the business owns. Confirm that the builder can separate those records from the model connection.

Choose a candidate only for a named function. Test the same work, spending limits, output checks, and data restrictions before approving it. Keep the trial within its own allowance.

The [model replacement guide](/articles/replace-the-model-keep-business-memory) explains this separation. A portable record supports a trial. It does not guarantee the candidate will satisfy your business requirement.

Preserve a manual path if no approved candidate passes. A pricing deadline should not force customer records onto an unreviewed service. Write the continuity decision before the deadline arrives. The guide to [work that should stay manual](/articles/when-an-ai-workflow-should-stay-manual) helps frame that fallback.

## Handle client work through the agreed scope

If your firm runs functions for clients, record who pays the usage account and who may change its limits. Keep each client's workload and data boundaries visible.

Separate your price for a working function from the client's ongoing usage charges. When terms change, explain the affected function, source announcement, effective date, and proposed response. Use the agreement's change process.

Avoid promising that every vendor increase will be absorbed or every decrease will produce a fixed saving. State the calculation and the responsibilities you can support. Keep shared service charges and their allocation rules explicit.

Train the client's owner to read the rate record and receipt. Handoff should include the procedure for changing a limit or reviewing a replacement.

## Review the plan when evidence changes

Assign someone to check pricing notices, account changes, and unexplained invoice differences. Record the source and date of each confirmed change.

Update the rate schedule before using it to authorize new work. Recheck reservations, warning thresholds, and task-cost reports. Test a sample receipt against the new schedule and preserve the earlier calculation.

Keep the decision short: what changed, which functions it affects, what the owner approved, and when the result receives review. Bring one recurring function and its pricing dependency to [the work scope form](/work).
