# Why Plain Text Is the Durable Layer for AI Memory.

A delivery manager needs the approved client exception while the original workspace owner is unavailable. The rule appears in project memory, but the manager cannot inspect its source, effective date, or prior version. Work pauses while someone reconstructs the decision.

A maintained plain-text record gives an authorized person that rule outside the model interface. People can read it directly, common tools can search it, and version control can compare it.

Plain text is useful when the business needs a readable, portable explanation of its decisions and work rules. It still needs access controls, backup, source authority, and review.

## Plain text is a custody choice

The case for plain text is not that every business system should become a folder of Markdown files.

Databases remain useful for structured records. CRMs remain useful for customer workflows. Calendars remain useful for time. The plain-text layer holds the [context](/articles/stop-re-explaining-your-business-to-ai) that explains how those systems should be interpreted and used.

Examples include:

- [source order](/articles/ai-agent-memory-architecture-small-business);
- current offer rules;
- client-specific constraints;
- task briefs;
- decisions and their reasons;
- reusable corrections;
- approval boundaries;
- runbooks and receipts.

These records benefit from direct inspection. A buyer should be able to open the file without the original AI vendor.

## Markdown adds structure without hiding the record

Markdown is a plain-text format for structured documents. CommonMark defines headings, lists, links, code spans, and other readable conventions. The source remains legible even without rendering. That makes Markdown a practical default for business memory. A heading can separate active rules from history. A link can point to a source. A fenced block can show an exact command. Frontmatter-like fields can expose owner, date, and status.

The format does not solve governance. It gives governance a visible place to live.

## Choose the record before the format

A task brief, correction record, approval map, runbook, or handoff note usually benefits from prose, headings, links, and version history. Markdown fits that job.

A table with thousands of changing transactions belongs in a database or governed spreadsheet. A customer relationship belongs in the CRM. A signed contract belongs in its controlled document system. A secret belongs in a secret manager. The plain-text file should point to those systems by stable name or identifier when the [workflow](/articles/what-is-an-ai-agent-in-a-small-business) needs them.

This division prevents two opposite mistakes. One is trapping every operating rule inside a vendor workspace. The other is copying every business record into a folder because text is portable.

Use plain text for the explanation layer:

The file explains how to retrieve and interpret the governed record. It does not duplicate the whole database.

## Text makes changes reviewable

When files live in Git, `git diff` can show lines added, removed, or changed. Git also supports word-level diff views. That lets a reviewer inspect a changed price, boundary, or source path without comparing two screenshots. [Git diff documentation](https://git-scm.com/docs/git-diff)

Version control adds history, attribution, and rollback. It does not decide whether a change is correct. The reviewer still needs an approval rule.

A durable pattern is:

1. propose a file change;
2. inspect the diff;
3. approve or reject the change;
4. record the accepted version;
5. let the agent read the accepted file.

This turns corrections into reviewable system changes.

## Text reduces dependence on one interface

An agent vendor may change its memory controls, context limits, export format, or product packaging. Your business record should not need the same lifecycle.

If the files remain on storage you control, a replacement model can read the same approved context. The adapter may change. The files do not need to be rewritten because a chat interface changed.

This is portability at the record layer, not a promise that every tool will behave identically. Different models may interpret the same brief differently. That is why the system also needs acceptance tests.

## Test custody without pretending the format is magic

Run a four-part custody test on one file.

First, open it in a basic editor with the original AI product closed. Second, search for one rule using an ordinary file-search tool. Third, compare two versions and identify the changed line. Fourth, give the accepted version to a fresh model session and ask it to name the rule and its source.

The test passes when a person can inspect the record and the new route can read it. It does not pass merely because the filename ends in `.md`.

Then test the surrounding controls. Confirm that restricted records remain in their governed system. Confirm that a backup exists. Confirm that an owner is named. Confirm that the agent cannot accept its own proposed policy change.

Plain text reduces dependency on one interface. Backup, permissions, review, and testing make it dependable.

## Inspect `corrections.md`

Use a concrete file named `corrections.md`:

Open it in a basic text editor. Search it from the command line. Compare a changed version with `git diff`. Supply it to a different agent session.

Pass means the rule remains readable and the changed line is visible without the original application. Fail means the record depends on hidden product state, an undocumented plugin, or an unavailable account.

## Do not put secrets in the memory files

Readable and portable does not mean public.

Do not store passwords, API keys, private tokens, or raw sensitive records in a general context folder. The text file should name the secret by environment variable or secret-manager reference when the workflow needs it.

For example:

The agent can know what capability is required without receiving the credential during every planning task.

## Approval and stopping boundary

The agent may draft changes to business-memory files. It must stop before accepting changes that affect price, contract terms, legal claims, permissions, external communications, live automation, or secret handling.

A person reviews the exact diff and approves the file change. Only the accepted version becomes a source for later work.

If a task requires data that should not enter plain text, the system should reference the governed source or ask for a safer retrieval method.

## Durable does not mean frozen

Plain text lasts because it is easy to move and inspect. It stays useful because someone maintains it.

Name an owner. Add dates. Mark superseded rules. Keep sources near claims. Test the files with more than one tool. Back them up like any other business record.

The buyer maintains business facts after handoff. The system owner maintains adapters and tests. A named reviewer approves consequential changes. If no role owns a file, mark it stale and stop using it for consequential work until someone verifies it.
