Identify the photograph, its apparent use, and the permission question. Keep the evidence private while the rights owner reviews it. Google explains that removing a page or image from its search results does not remove the material from the website hosting it. It does not determine that a particular use infringes copyright or that a removal request will succeed. ## Identify the photograph and the suspected use Create a private record for each photograph involved. Include the studio's file reference, relevant original or approved publication, and the location where you observed the questioned use. Save the page address, image-file address where available, and observation date. Record whether the photograph appears in a page, search preview, social post, or another destination. Keep those destinations separately identified. Preserve enough context to describe what you saw. Avoid changing the studio's original file or publishing accusations as a substitute for documenting the use. ## Establish who can make the rights decision The U.S. Copyright Office explains that a photograph's initial copyright owner is generally the photographer, with a limited exception for works made for hire. Ask the person responsible for rights to review the actual agreement and permission history. Include any client license, distribution arrangement, or prior authorization relevant to the use. Keep disputed rights or permissions unresolved until that review is complete. Do not treat a missing credit as the entire ownership record. Avoid asking a website provider to make a legal determination from a visual match alone. ## Build a separate row for each destination Use this proposed worksheet to keep a request specific: | Record | What to retain | | --- | --- | | Photograph | Studio reference and supporting source file | | Rights review | Responsible owner and relevant agreement | | Hosting page | Exact address and observed use | | Image file | Exact delivered address, when known | | Search result | Search destination and dated observation | | Action status | Draft, submitted by the authorized person, or resolved | Group related observations without collapsing every address into a homepage link. Keep sensitive contact information and private client files outside a public evidence page. ## Choose the request route for the destination Google recommends contacting the website owner about removing material from the hosting website. Its search help also provides a route for reporting content for legal reasons. Have the rights owner or responsible adviser choose the appropriate route. Use the current form's requirements. Keep declarations and legal statements under that person's review before submission. For a provider-hosted copy, identify that provider separately. A search request and a hosting request should retain their own references and outcomes. ## Track the observed result without broad conclusions After an authorized request, record the actual response. Recheck the specific hosting page and search result separately. Keep a pending request visible until its status is known. If the page changed, save the new observation date. Avoid treating one removed result as proof that every copy has disappeared or that a rights dispute is settled.
