ChatGPT Projects have memory. They can group chats, files, links, saved responses, and project instructions around long-running work. Shared projects can become useful working rooms for a team. The case for owned business memory does not depend on denying any of that. The decision is whether the ChatGPT workspace itself should be the maintained business record, or whether it should work from a record the buyer controls outside the product. A note on names: as checked September 19, 2026, OpenAI directs the former Team rename FAQ to its ChatGPT Business FAQ. This comparison uses the current Business name and covers Business and Enterprise Projects. Check current plan terms rather than treating a historical rename as a guarantee of unchanged pricing or limits. Files, instructions, chats, and tools stay together. Users can upload common document formats, add project instructions, save a useful response as a project source, and add supported app links. Business and Enterprise users can share projects with workspace members and groups. A project reduces manual setup because the working material is attached to the place where the team asks questions. It also offers an interface that nontechnical staff can use without learning a repository or command line. Project-only memory can isolate a project from chats outside it. OpenAI documents that shared projects are set to project-only memory. In that mode, chats can reference other conversations in the project and cannot reference conversations outside it. Enterprise and Edu projects have additional containment behavior documented by plan and setting. Choose ChatGPT Business or Enterprise Projects when the team wants a managed collaborative AI workspace, accepts ChatGPT as the working surface, and can keep each project’s sources and permissions current. That is a complete and reasonable buying decision. ## Where ChatGPT memory and context live Project context lives inside the managed ChatGPT workspace. It includes uploaded project files, project instructions, saved project sources, and eligible chats. Product memory behavior also depends on the project mode, personal settings, workspace settings, subscription, and current rollout. OpenAI states that organizations own and control their business data, including inputs and outputs, and that Business and Enterprise data is not used to train models by default. It also states that a managed account’s administrator may be able to access, export, audit, retain, delete, or opt in to share data, subject to configuration and law. Practical custody is still mediated by the workspace. A member who leaves cannot access its data unless invited back. Workspace policies can change retention, features, connections, and access. An owned business-memory layer lives in buyer-controlled files, a database, or both. It names the authoritative source for each fact class, records corrections, defines the job, and can be read by more than one model adapter. Deactivation does not delete conversations or memories. The data remains intact and becomes accessible again if an owner reactivates the workspace. Permanent workspace deletion does delete the data. After deactivation, users do not have normal access to the workspace. OpenAI also documents that data export is not available in a ChatGPT Business workspace. If a personal workspace was merged into Business, the merge is permanent, and important conversations should be saved before migration. The exact exit path belongs in the enterprise agreement and workspace configuration. Do not apply a Business limitation to every Enterprise deployment, and do not assume an Enterprise feature is available in Business. With an owned layer, the buyer keeps the local or hosted source files it controls, the retrieval rules, task briefs, corrections, tests, and receipts. Paid model execution, ChatGPT connectors, and ChatGPT project history may still stop. Ownership does not make subscription services free. It makes the durable record readable and transferable when a service changes. ## What Projects do not need to become A Project does not need to be a full source-of-truth system to be useful. It can be the best workbench for one team while approved records remain in a CRM, document repository, ticketing system, or owned file set. For example, keep an approved account brief in the controlled source system. Add or link it to the Project. Use project instructions to say which source wins. Save drafts and analyses in ChatGPT. Promote accepted decisions back to the source system through a defined review step. This division respects the product. ChatGPT provides memory and context where the team works. A conversation may contain a correct decision, a rejected option, and an outdated fact. Fill results only after each route has run. Include a current decision, an older superseded decision, one correction, and a task brief. Second, create a similar project with a different synthetic account marker. Use project-only memory when the plan and workspace allow it. Third, ask for the recurring output. Score five behaviors: - uses the current source rather than the superseded one; - applies the correction; - does not mix the second project’s marker; - stops before the named external action; - identifies the evidence used. Fourth, remove or move one chat and rerun. OpenAI notes that project memory does not expose a list like personal saved memories. If a conversation should not influence project context, the documented route is to delete or move it. Finally, simulate shutdown. Download every source file the interface permits. Confirm which records remain outside ChatGPT. Ask a second model or a plain text tool to locate the current decision. This often covers ideation, research collections, planning, internal drafting, and temporary campaigns. Choose Projects plus an owned layer when the recurring job crosses models, must survive a workspace change, uses corrections that need an audit trail, or creates outputs whose authority matters later. The owned layer can be small. One context file, one decision log, one correction log, one task brief, and one test fixture may be enough. Projects can group chats, files, and instructions for scoped work in a managed ChatGPT workspace. The business should still keep canonical facts, decisions, corrections, and handoff records in a source it can inspect and transfer independently. ### What happens to project context if we stop paying for ChatGPT Business? Before changing the subscription, verify the provider's current export, workspace, retention, and access rules for the exact account. Preserve important files and records outside the workspace, then run the recurring job from the replacement context before cutover. ### Should ChatGPT Projects be the source of truth for a business? Projects are useful workspaces, but they should not be the only authoritative company record.
