Write that process before choosing software. Keep requests for genuine feedback separate from writing a customer's review. On Google, incentives for posting, changing, or removing reviews are prohibited. [Google's review guidance, checked 2026.10.23](https://support.google.com/business/answer/3474122?hl=en). The workflow below is an editorial recommendation. Adapt it to each review platform's current rules and to the information your business is allowed to make public. ## Name the source and the response owner List the profiles and website testimonial pages you currently manage. Record who has authorized access, who drafts replies, and who approves sensitive cases. Keep access credentials out of a shared tracking sheet. For each review, retain its public address, date, platform, status, and assigned person. Link to the original rather than copying private account details into a report. Define the states staff need. A useful starting set is unreviewed, assigned, reply awaiting approval, replied, and follow-up required. Let the owner approve the schedule for checking them. ## Make requests neutral and platform-specific For Google, give customers the approved review link and invite an honest account of their experience. Google provides review links and QR codes. Its Maps policy prohibits selectively soliciting positive reviews. Do not invent customer experiences or have staff publish reviews under customer identities. Keep an internal complaint channel available without making it a barrier to public feedback. Check another platform's own request policy before copying this process to it. A request allowed on one service does not establish permission on another. ## Review the reply as public business copy Have the responsible person read the original review and the proposed reply together. Confirm that the reply addresses the feedback without disclosing information the business should keep private. Where a complaint needs investigation, move that investigation into the approved private support channel. Do not publish a guessed cause or promise a remedy staff have not authorized. For a review you believe breaks a platform rule, record the relevant policy and use that platform's reporting process. Keep a policy report separate from an ordinary disagreement with criticism. ## Test software against your own workflow Use an agreed demonstration account or clearly labeled test records. Ask the provider to demonstrate the features your process requires: | Requirement | Evidence to request | | --- | --- | | Profile coverage | Supported accounts and permission requirements | | Assignment | A review assigned to the correct staff role | | Reply approval | Draft held until the authorized reviewer releases it | | Request controls | A request process that fits the platform's rules | | Reporting | Original review address and a clear status history | | Exit | Demonstration of the records available for export | Inspect any automated action before enabling it. Avoid accepting a promise that software will remove every negative review or produce a fixed rating. Preserve the meaning when shortening a review. Avoid manufacturing a quote to fill an empty section.
