# NHTSA recall searches: what make, model, and year tell a collision planner

A general recall result belongs in the collision planner's questions, with its source attached. Give it a narrow meaning: a campaign may deserve further review. Keep the applicability decision open until the responsible person has the evidence needed for that specific vehicle.

NHTSA distinguishes the two search scopes. Year, make, and model return general information. Its VIN or license-plate search addresses a specific vehicle's recall repair status. Read the agency's [recall search explanation](https://www.nhtsa.gov/recalls) before interpreting either result.

This guide proposes a public-source worksheet for that first research step. It needs no customer name, VIN, plate, claim number, or repair-order attachment. The [collision shop overview](/for/auto-body-and-collision-shops) covers office work from approved repair files. Here, the useful output is an applicability question with a review owner.

## Decide which question you are answering

Write the question before opening the search. For general research, use: “Does this make, model, and year return a campaign worth examining?” For vehicle-specific work, ask the responsible planner to confirm the appropriate verification route inside the shop's approved process.

These questions need different evidence. A broad research note can record a possible match without resolving the vehicle's status. A production decision needs the qualified person's review. Do not let the presence of a public result close that second question.

NHTSA documents a recall API that accepts make, model, and model year. It also documents retrieval by campaign number. Those are search paths for public campaign information. See the [recall API description](https://www.nhtsa.gov/nhtsa-datasets-and-apis#recalls).

For a research worksheet, prefer the agency's available vehicle labels when possible. If an intake label differs, preserve both labels. Ask the planner whether they refer to the same intended combination before treating a search as relevant.

For example, a synthetic intake note might use a shortened model name while the search selector uses a longer label. Record the difference as unresolved. Do not silently rewrite the note to make the search appear successful.

## Keep three search outcomes separate

Use three plain labels: possible campaign match, no matching general result, and search unavailable. Treat them as descriptions of the research step. None describes whether a vehicle is safe or whether a repair can proceed.

| Research outcome | What to record | Next question |
| --- | --- | --- |
| Possible campaign match | Selected combination, campaign reference, official source, access date | Who will confirm applicability through the approved vehicle-specific process? |
| No matching general result | Exact selection, source, access date, returned state | Was the intended combination searched, and what review remains necessary? |
| Search unavailable | Attempted selection, source, access date, visible failure | Who will use an approved alternative or retry the research? |

Choose the label from what happened. A page that never finished loading belongs in the unavailable row. Do not convert a failed lookup into an empty result because the screen contains no campaigns.

Similarly, keep an old saved result distinct from a fresh lookup. If you consult yesterday's note during an outage, identify it as yesterday's evidence. Ask the review owner whether it is useful for the present question.

## Use a worksheet that exposes missing evidence

The following worksheet is synthetic. The fictional vehicle labels and campaign placeholder describe no real product or recall. Replace placeholders only with confirmed public source text during actual research.

| Worksheet field | Hypothetical entry |
| --- | --- |
| Vehicle combination | Example Make, Example Model, model year 20XX |
| Selection check | Intake wording and source selection still need comparison |
| Search scope | General make, model, and year research |
| Campaign number | Copy the published number here after opening the official result |
| Official source link | Link to the result or controlling campaign material |
| Source access date | 2026.10.28, illustrative worksheet date |
| Finding | Possible campaign match; applicability unresolved |
| Missing evidence | Vehicle-specific status and responsible planner's review |
| Review owner | Assigned repair-planning role |
| Next action | Obtain the appropriate dealer or manufacturer confirmation |
| Review outcome | Pending; no repair decision recorded |

Keep the missing-evidence line even when the result looks familiar. Familiarity is not the evidence the worksheet asks for. The reviewer should see precisely what remains unanswered without reconstructing the original search.

Do not use a campaign placeholder that resembles a genuine identifier. In training material, write “campaign placeholder.” During real research, copy the official number exactly. Preserve its source link so another person can check it.

If the source gives a date, label the date by its stated meaning. Keep your access date separate. A date when you read a result describes your research, regardless of when the underlying campaign began.

## Work through a possible campaign match

Imagine that the synthetic vehicle combination returns a campaign result. The researcher opens the official material and records its reference. The summary appears relevant to a question the planner already has. The worksheet still says “possible campaign match.”

The researcher then writes a focused handoff: “Please confirm whether this campaign applies through the approved vehicle-specific process. Public source and access date are attached.” That request leaves the planner a defined question and a traceable starting point.

Avoid adding a repair operation to that handoff. The research task has produced a reference. The qualified planner must decide which technical sources and checks control the work. Do not infer a procedure from the campaign title or a short summary.

Suppose the planner later rejects the possible match. Preserve that outcome beside the original reference. Record the reason at the level approved for this worksheet, such as “vehicle scope did not match.” Keep any private supporting evidence in the appropriate shop record.

That rejected match is still a useful research outcome. It explains why the question stopped moving forward. Deleting it would leave the next reviewer without the reason for the earlier decision.

## Work through an empty general search

In the second synthetic case, the selected combination returns no matching campaigns. Record the selection and the observed result. Write “no matching general result for this selection on this date.” Leave the broader vehicle-specific question with its owner.

Before repeating the lookup, compare the selected labels with the intended research question. A transcription difference is a reason to clarify the selection. It is not permission to try unrelated combinations until something appears.

If the labels are correct, preserve the empty result as observed. Do not invent an explanation for it. The worksheet can say what the search returned without claiming why it returned that result.

The planner can then decide whether a separate vehicle-specific check remains necessary under the shop's process. The researcher should not write “all clear,” “no safety issues,” or “ready for repair.” Those statements answer questions the general lookup did not resolve.

An empty result also does not resolve a manufacturer bulletin reference. Use the separate [manufacturer communications guide](/articles/manufacturer-communications-recall-repair-planning) when the source is a service communication rather than a campaign result.

## Work through an unavailable search

In the third synthetic case, the official search fails to return a usable response. Record the attempted source and the visible failure. Leave the result field unknown. Assign a retry or an approved alternative to a person who can complete it.

If a prior search note exists, link it as historical evidence with its own date. Do not replace the current failure with that older finding. The planner should be able to distinguish what was available now from what somebody saw earlier.

Make the next action concrete. “Planner to arrange the appropriate verification before the dependent decision” is clearer than “check later.” Set the follow-up according to the real planning need. Do not invent a universal deadline for every shop.

When the source becomes available, add the new access date and finding. Preserve the earlier unavailable state in the research history. This keeps the record readable when someone asks why a question remained open.

## Prepare the dealer or manufacturer handoff

Keep public-source research separate from identity handling. The worksheet can contain a generic vehicle combination and campaign reference. The authorized shop process can handle any vehicle-specific information needed for the actual inquiry.

Ask the responsible planner to frame the handoff around three questions. Does the campaign apply to the vehicle under review? What current official guidance controls the next step? Who will document the response in the shop's approved record?

This article sends no inquiry and collects no identifier. When using the worksheet, follow the business's approved contact process. A public research note does not establish consent, select a recipient, or authorize a customer-facing message.

Record the returned answer with its source, date, and reviewer. If the answer remains incomplete, keep the unresolved question visible. A contact attempt and a completed applicability review should have different labels.

NHTSA also lists exclusions from its vehicle-specific search, including repaired recalls and some recently announced campaigns. Consult the full [VIN and license-plate search limitations](https://www.nhtsa.gov/recalls) for the current scope. A vehicle-specific result still needs interpretation within those stated limits.

## Read back the question at a shift handoff

Before handing the worksheet to another researcher, read its question and current status together. Ask the recipient to identify the missing evidence. If they interpret a possible match as confirmed applicability, clarify the label before the worksheet moves forward.

Use a short synthetic readback: “The general search returned a campaign reference. The planner still owns vehicle-specific confirmation.” This describes the two separate stages. It gives the next person a clear place to resume without suggesting a completed repair decision.

If two people performed the same research, compare their selections and access dates before combining notes. Keep different findings visible until the reviewer explains the difference. Do not choose a preferred result because its wording looks more complete.

Give the next researcher the unresolved question, the official link, and the assigned role. They should not need a customer record to understand the research status. Any request for private evidence belongs with the authorized planner and the approved shop process.

## Keep research useful after the handoff

Retain the public reference, the question asked, the review owner, and the recorded outcome. Keep technical conclusions and customer details in the appropriate controlled record. A later researcher needs the decision trail, without an unnecessary copy of private intake material.

When a source changes, create a dated research update. Preserve the earlier observation when it explains a past decision. Let the planner determine whether the new information affects work already under review.

The [business memory guide](/articles/business-memory-for-ai-agents-guide) explains the broader value of keeping source records and accepted corrections. For this worksheet, the practical unit is small: one question, its evidence, and the person responsible for resolving it.

The [collision shop intelligence overview](/intelligence/auto-body-and-collision-shops) places recall research beside other planning inputs. Those inputs serve different decisions. Keep a campaign applicability question separate from weather-based capacity planning and from the repair plan itself.

If your shop wants help organizing an approved office handoff, bring Scale With Search a synthetic example and the intended reviewer. Keep any paid work in a written scope.
