Separate website acceptance, notification creation, mail-provider response, and mailbox receipt. Record the first step without evidence. Do not begin by changing DNS or replacing the form. Give the website provider and email administrator the same test reference and expected recipient. ## Write down the receiving arrangement Ask sales which mailbox or system is supposed to receive the request. Confirm who owns that destination and how staff identify a new inquiry. Keep existing-client support on its approved route. Use this proposed sheet: | Field | What to confirm | | --- | --- | | Starting page | Exact form or service page used | | Test reference | Unique, non-sensitive label for the agreed test | | Intended destination | Approved mailbox or receiving system | | Submission record | Evidence the form accepted the request | | Notification record | Mail-provider response or failure | | Receiving record | Actual message or missing-message finding | Use invented business details and a reply address controlled by your team. Keep credentials, incident logs, and real prospect records out of the test. ## Separate a form response from a mail response MDN explains that form submission sends data in an HTTP request to a server. Ask the provider to identify what the website's confirmation establishes. It may acknowledge an accepted submission without proving that sales received a notification. Require evidence at the following mail step. Have the provider inspect the stored test request, notification attempt, and returned provider result. A missing or rejected notification belongs in that stage's failure record. Do not delete the accepted request merely because its notification failed. ## Give authentication findings to the email administrator Ask the administrator to identify the actual sender, sending service, and recipient system. Check the relevant provider's requirements before proposing a domain change. Google lists SPF or DKIM among its requirements for senders to personal Gmail accounts. A Gmail rule is not a complete explanation for every receiving system. Ask the administrator to inspect the actual failure response and applicable authentication evidence. Keep domain changes under the authorized administrator. Require an inventory of existing senders and a reviewed change plan before modifying shared email records. ## Inspect the receiving side independently Ask the mailbox owner to search for the controlled test by its agreed reference. Check the relevant folders, quarantine, forwarding, and receiving rules under the account's approved process. Record what was observed. Do not infer inbox receipt from a mail-provider acceptance response. Conversely, a message in spam is a delivery observation that needs a different repair from a form that never stored the request. Confirm the message preserves the original question, contact details, and service context. Test the reply path through a separately agreed controlled exchange if the team needs it. ## Retest the stage that changed Repeat the controlled inquiry after the repair. Keep the new submission and delivery evidence separate from the original failure. Verify accepted-request retention when the notification service is unavailable. Ask sales to confirm receipt before closing the defect. Keep any missing evidence unresolved. Do not describe a DNS edit alone as proof that the website contact path is repaired.
