# Moving company AI rules: data, approvals, and spend

Write moving company AI rules around one move and one office result. Name the records the function may read, the people who check its draft, and the actions it cannot take. Add a spending limit before the first paid request.

A change summary, pre-move message, and damage-report packet need different source sets. Keep their permissions distinct. Do not let a general office assistant search every household record to prepare a narrow reply.

Use this proposed policy to brief the implementation. Have the responsible reviewers establish legal and contractual duties for the move type and jurisdiction. Keep the source of each requirement with the operating record.

## Classify household and shipment records

Have estimating, dispatch, and claims identify the fields needed for their chosen function. Record who owns each source and who may receive the resulting output.

Use these proposed handling decisions:

| Record | Treatment to approve |
| --- | --- |
| Public service descriptions | Current approved reference |
| Addresses and customer contacts | Limited to the named move and authorized task |
| Inventory and property images | Restricted household information with a defined purpose |
| Building access details and security codes | Separate operational access, excluded from general drafting |
| Estimates, shipment documents, and claim files | Controlled versions with approved readers |
| Payment details and account credentials | Outside prompts, attachments, and retained transcripts |

Keep a missing permission blocked. A customer sending a photograph does not establish every use the company may make of it. Require a specific decision before processing or disclosing the image through another service.

The FTC recommends limiting unnecessary personal information and controlling access. [FTC business security guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/start-security-guide-business).

Apply those principles through selected fields and source references. If a draft needs a move identifier rather than a full address, design the input that way. Have the office determine the minimum useful detail for each result.

## Preserve the authority of shipment documents

For applicable interstate household-goods shipments, 49 CFR 375.401 requires written estimates and their binding or non-binding designation. [Federal estimate requirements, checked 2026.10.26](https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-375/subpart-D/section-375.401).

Keep the accepted estimate and later approved changes in the designated system. An AI comparison can identify a requested service or inventory change. It should not issue a replacement estimate, change a total, or mark a customer request accepted.

The federal bill-of-lading rule requires terms and specified shipment information. It requires retention for at least one year from creation. [49 CFR 375.505, checked 2026.10.26](https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-375/subpart-E/subject-group-ECFR678dd6dec294449/section-375.505).

Where that rule applies, have the responsible officer map the source documents and retention duty. A temporary-draft cleanup rule should not delete a required shipment record. An AI summary should not become the only remaining copy.

Keep state-specific local-move requirements in a separately checked source record. Do not apply the federal interstate rules to every local service by default. Resolve the actual move scope before drafting legal explanations or document instructions.

## Assign approvals by decision

Use an approval map that matches your office:

| Output or action | Proposed responsible reviewer |
| --- | --- |
| Inventory or access change packet | Estimator |
| New estimate or commercial change | Authorized estimating owner |
| Crew, date, or dispatch window | Dispatcher |
| Customer confirmation | Coordinator after the required operational checks |
| Damage report and claim response | Designated claim owner |
| Charge, credit, or refund | Authorized payment owner |

One person may perform several roles. Record the decision they are approving. Approval of an administrative summary should not become approval of an estimate change or a liability statement.

Require source references for each confirmed fact. Keep requested dates distinct from agreed periods and current office updates. If the source is missing, prepare a question for dispatch rather than a reassuring arrival promise.

Use the [delivery-window guide](/articles/moving-website-delivery-window-faq) for public date language. Extend the same distinctions to internal drafts and customer messages.

## Bind approval to the exact move and message

Record move identifier, estimate version, inventory version, recipient, final text, and attachments with the approval. Make the current dispatch reference visible to the checker where timing appears.

Require another review if the inventory, service, access, or dispatch source changes. A draft approved before that change should remain held. Keep sending permission separate from draft preparation.

Test a synthetic case where a coordinator approves a message and dispatch then changes the window. The action should stop until the new text is reviewed. It should never rely on an approval tied to the earlier time.

Keep attachments explicit. Do not let the function select every image in a move folder. Require a list approved for the named recipient, especially where images reveal household interiors, possessions, or access details.

## Keep damage intake separate from claim decisions

A preparation function can organize the customer's statement, move reference, item description, received files, and unresolved questions. Keep allegations labeled as statements. The claim owner determines the next action under the actual process.

Do not let a summary declare fault, coverage, value, or settlement. Do not invent a deadline, required document, or entitlement to make the packet appear complete. Require the governing source and responsible approval for those instructions.

Use synthetic reports with a missing photograph and conflicting item references. The expected output identifies the gap and assigned reviewer. A missing attachment should not become an automatic denial or an invented description of damage.

Keep claim messages separate from routine confirmation templates. A general customer-update approval should not authorize a claim response or a payment decision.

## Exclude card credentials from AI processing

PCI SSC says card verification codes cannot be stored after authorization, even when encrypted. Customer permission does not change that prohibition. [PCI SSC FAQ 1280, checked 2026.10.26](https://www.pcisecuritystandards.org/faqs/1280/).

Keep card entry and payment actions in the designated payment system. If a function needs payment status, supply an approved limited indicator. Exclude card screenshots and authorization details from prompts, logs, and support records.

Have the payment owner review any proposed change to payment routing. An incoming email should not supply both a new destination and its approval. Keep verification within the company's authorized process.

## Enforce spending per moving-office function

Give change packets, confirmation drafts, and claim intake separate allowance entries. Name a budget owner and backup. Cap moves, pages, paid requests, retries, and output length for each run.

Check remaining allowance before another paid request. Reserve a conservative amount for pending work. Stop when the next request would exceed the ceiling and alert the budget owner through the approved internal route.

Keep delayed or unknown charges marked pending. Reconcile them against final usage before treating the amount as available. An alert alone does not enforce a limit; require the implementation to hold new paid work.

Record function, move reference, source versions, output version, model identifier, cost state, and completion state in each receipt. Limit the receipt's household details to its approved checking purpose.

## Close access after the office handoff

Have the coordinator identify which recipients still need move details after their assigned task ends. Keep source retention separate from continued access. A document may remain in the company's record without remaining available through every working link.

Test the process using a synthetic move packet and a temporary staff role. Require the original approved record to remain available to authorized office staff while the temporary access closes. Record who performs that change and how a later reviewer requests access. Do not make cleanup depend on the model remembering a past conversation.

## Prove the boundaries and hand over the runbook

Keep model choices in private configuration. Before a replacement is accepted, rerun wrong-move, changed-estimate, conflicting-window, unauthorized-recipient, hidden-file-instruction, and exhausted-budget cases.

Have a backup coordinator follow the runbook using synthetic moves. They should pause work, locate the last receipt, find the source requiring correction, and route the task manually when needed. Save expected and observed results.

The [moving company hub](/for/moving-companies) connects these rules with office records. Bring your proposed function to [AI systems](/ai-systems). Send Scale With Search its data limits, approval owners, and acceptance checks through [the written scope form](/work).
