A business imports years of Apple Notes. Later it finds locked notes missing, scans represented in unexpected formats, creation dates flattened in a cleanup pass, and old drafts sitting beside current operating rules with no authority label. The importer completed. The migration did not. A business-memory migration needs an inventory, an untouched source copy, a separate destination, per-note receipts, attachment sampling, duplicate decisions, authority classification, retrieval tests, and a rollback window. ## Inventory notes and attachments before import Count what exists before opening the importer. Record folders, note counts, locked-note counts, attachment types, shared notes, scans, drawings, PDFs, links, and unusually large items. Obsidian's official Apple Notes guide says its Importer runs on macOS, requires access to the `group.com.apple.notes` folder, and supports tables, images, drawings, scans, PDFs, and newer links. The guide also warns that locked notes are skipped until unlocked. Apple Notes content varies by operating-system history and how scans were created. Keep the inventory outside the destination vault. After that date, Obsidian becomes the governed destination and Apple Notes becomes read-only archive or is retired after acceptance. An ongoing bridge has two active systems. It needs a deterministic rule for direction, frequency, identity, duplicates, conflicts, and deletions. Without that contract, the same note can diverge in both places. Choose based on the job: - One-time migration fits a deliberate move to owned Markdown. - Ongoing capture fits quick notes that are later reviewed and promoted. - Selective migration fits a large archive where only active business records need promotion. Do not call copy and paste a sync. Do not assume a repeated import will merge cleanly. Test duplicate behavior on a tiny synthetic folder first. ## Preserve folders, dates, links, scans, and titles Run the import into a new, empty vault or staging folder. Do not point the first run at the live operating vault. Obsidian states that its official Importer converts Apple Notes data to Markdown and documents different scan outputs. Older scans may become images, while newer or edited scans may become cropped images or PDFs. File modification time is not business authority. Preserve source dates in frontmatter or the migration receipt before formatters, sync tools, or manual edits change filesystem timestamps. ## Inspect `apple-notes-migration-receipt.csv` Before the trial, record the installed Importer version. In a vault using the default configuration folder, read the `version` value in `.obsidian/plugins/obsidian-importer/manifest.json`. If you changed the configuration folder, use that folder instead. Store counts and hashes for local verification. A binary hash can prove that a copied attachment stayed unchanged, but it cannot prove the file is readable or mapped to the correct note. ## Separate archive from promoted business memory Imported notes should land in an archive class by default. Age, length, and search relevance do not make a note current. Review candidates for promotion into current memory. Require: - named business job; - source owner; - authority class; - effective date; - correction path; - superseded record if any; - retention rule; - next retrieval test. Leave personal material, brainstorming, stale drafts, and unclear records in excluded or reference-only paths. Compare total note counts by folder. 2. Compare attachment counts by type. 3. List every skipped locked note. 4. Open a sample from each note and attachment class. 5. Compare created and modified dates. 6. Search for five rare phrases in both systems. 7. Inspect duplicate names and repeated imports. 8. Ask an agent for one current procedure. 9. Ask for one archived draft that must not govern. 10. Remove the promoted record and rerun. Pass requires count reconciliation or a documented exception for every difference. The retrieval test must cite the promoted file and reject the archived draft as authority. Keep the source device, backup, inventory, importer version, destination hash list, and exception report through the defined rollback window. Test restore on a small sample. Confirm another authorized operator can open the vault and its attachments without the migration session. After acceptance, decide whether Apple Notes remains capture-only, archive-only, or scheduled for deletion. Record the decision and execute deletion through the organization's retention process. Migration success does not grant deletion authority. ## Reconcile exceptions one item at a time An exception report is part of the migration, not a footnote. Group exceptions by cause: locked note, unsupported element, missing attachment, duplicate title, date mismatch, broken link, unreadable scan, or unknown owner. Give each item a source ID, destination path, evidence, proposed action, owner, and state. The action may be reimport, manual export, keep in Apple Notes, convert with another approved tool, or exclude under policy. Do not solve exceptions with a bulk overwrite. If two notes have the same title, compare source IDs, dates, content hashes, and folders. If an attachment changed format, inspect whether its meaning and readability survived. If a date differs, identify whether the importer preserved source metadata elsewhere before editing it. Sample selection should include ordinary and difficult records. Test the oldest and newest notes, each attachment class, every locked-note outcome, long notes, shared notes, duplicate titles, unusual characters, checklists, tables, and links between notes. Close the report only when every source item is accepted, intentionally excluded, or assigned a documented follow-up. A total count that happens to match can still hide one missing note and one duplicate. Keep the report with the migration manifest and tool version. It becomes the evidence for future cleanup and the starting point if the import must be repeated. Have a second operator follow the receipt to locate one source note, its attachment, its destination, and its authority class. If that path depends on the original migrator's memory, the handoff has not passed. ## Approval and stopping boundary The workflow may inventory notes, import into a separate staging vault, calculate hashes, classify draft authority, run search and retrieval tests, and prepare an exception report. It stops before unlocking private notes without the owner, merging into the live vault, overwriting duplicates, deleting Apple Notes, removing backups, changing sync settings, or promoting business rules without review. The data owner approves access and deletion. The business owner approves promoted memory. The system owner approves cutover.
