Publish the business-level stages your team has approved. Keep the records transfer, account access, and cutover decision in a separately reviewed process. Start with your actual transition checklist. Do not promise a standard completion date because a website template includes one. ## Separate the fit discussion from the migration Have the account lead identify what must be known before your company can prepare a scope. Use practice-level questions about services, existing systems, responsibilities, and desired timing. Explain which steps are exploratory and which require agreements or authorization. Keep the first request free of patient records, payer credentials, and live account exports. Have the responsible reviewer assess your actual agreements and obligations. Do not turn that guidance into a universal promise to delete or transfer every record immediately. The public page can explain how a prospect begins the reviewed process. It should not expose export locations, credentials, or private transfer instructions. ## Replace timing guarantees with approved dependencies Ask the transition owner which conditions affect a proposed schedule. Consider system access, required agreements, supplied business information, and unresolved responsibilities only where they apply to your process. If timing cannot be established before assessment, say that the written plan follows review. Avoid implying uninterrupted collections, instant transfer, or a guaranteed payment result.
