Start with approved commercial terms. Do not fill an unfinished price table with a supposed industry average. If pricing depends on a practice review, explain the business information needed for that review. Give the visitor a way to ask about fit without uploading patient or claim records. ## Write the fee definition before the headline Ask the person responsible for contracts to explain the calculation in ordinary language. If the company uses a percentage, define the amount to which it applies. If it uses a fixed fee, define the work and period covered. Use this worksheet without assuming your company uses every fee type: | Item to resolve | Question for the commercial owner | |---|---| | Calculation | What exactly is multiplied, counted, or charged? | | Included work | Which tasks does this fee purchase? | | Excluded work | What requires a separate scope? | | Minimums | Which conditions change the amount owed? | | Setup | Is onboarding included or separately priced? | | Third parties | Which costs are paid outside this agreement? | | Changes | What happens when the agreed scope changes? | Keep an unresolved term in the working brief. Resolve it before publishing a number that depends on it. ## Review the impression created by starting prices The FTC says advertising claims must be truthful, nondeceptive, fair, and supported by evidence. Apply that standard to price headings, cards, and the surrounding qualifications. Ask the responsible reviewer whether a reader can understand the conditions attached to a displayed starting price. If a starting price is genuine, show the scope and conditions that make it available. If the company cannot support that offer, remove the number. Keep savings and return claims out unless their evidence is separately reviewed. ## Show what changes the quote Have the account lead identify the practice-level facts needed to prepare a scope. Consider service tasks, specialty, existing software, transition requirements, and reporting expectations only where your actual process uses them. Explain why each requested fact matters. Keep optional context optional. Avoid collecting a complete patient file to answer an initial pricing question. Use the same names in the pricing explanation and inquiry choices. ## Keep examples separate from offers If you include a worked calculation, label it as an illustration. Have the commercial owner supply approved inputs and check the arithmetic. State which costs the example includes. Do not present an illustration as an available quote or a typical customer result. Omit the example if the required assumptions would obscure the answer. A clear explanation without a number is preferable to an unsupported benchmark. ## Test whether a prospect can explain the fee back Ask someone outside the billing team to identify what is charged, what is included, and what still needs a quote. Record ambiguous terms. Check the phone view for conditions separated from the price. Send a synthetic pricing inquiry through the agreed test route. Confirm the receiving team gets the requested work and can reply. Keep the public page, approved terms, and test result together.
