# A med spa device quote: match the K number, applicant, and model

Before a purchasing review, put the seller's claimed K number beside the exact quoted device and the original FDA document. Record each comparison separately. A correct identifier can coexist with an unexplained model suffix, a different seller name, and an undocumented accessory.

The useful deliverable is a comparison your medical director and purchasing lead can inspect. It should show the claim, document location, observed wording, unresolved difference, and person responsible for the next answer. This guide proposes that process. It does not recommend equipment or determine whether a device can serve your practice's intended use.

The [med spas and aesthetics hub](/for/med-spas-and-aesthetics) covers the broader business context. Here, the task is narrower: connect a quote to its claimed regulatory identity before anyone relies on that connection.

## Understand what the identifier points to

FDA describes a 510(k) as a submission demonstrating substantial equivalence to a legally marketed device. A clearance letter records that determination. It is different from a purchase approval or a supplier recommendation. [FDA: Premarket notification 510(k), Introduction, checked 2026.10.28](https://www.fda.gov/medical-devices/premarket-submissions-selecting-and-preparing-correct-submission/premarket-notification-510k).

Start with the identifier the seller supplied. Preserve its original spelling in your quote record. If the seller gives no identifier, record that absence before searching by name. A similar result is a candidate for a question, not a replacement for missing evidence.

Keep the seller, applicant, device trade name, and product code in separate fields. Do not merge them into a single manufacturer box. Their roles in the comparison differ. Ask who issued the quote, whose name appears in the decision, and which exact product the quote offers.

## Read a historical document without borrowing its authority

The [K180778 decision document](https://www.accessdata.fda.gov/cdrh_docs/pdf18/K180778.pdf) offers a historical reading example. Its first page identifies MT. DERM GmbH, Exceed Microneedling Device, product code QAI, and a September 7, 2018 decision. Its third PDF page contains the indications-for-use enclosure. The summary begins on PDF page four and records a September 6, 2018 amendment. These observations were checked on 2026.10.28.

The letter limits its substantial-equivalence determination to the enclosed indications. It also says that determination does not establish compliance with other applicable requirements. [FDA: K180778 decision letter, PDF pages one and two, checked 2026.10.28](https://www.accessdata.fda.gov/cdrh_docs/pdf18/K180778.pdf).

Copy only the fields needed for identity review. Retain the original document link and page references. There is no reason to copy the letter's personal contacts into the purchasing worksheet.

This historical example establishes no relationship with a present seller. It verifies no machine offered today. It supplies no current warranty, service commitment, price, or evidence about a later model variant. Keep that limit beside the example when sharing it internally.

Read the actual enclosure before discussing a proposed use with the medical director. Give that reviewer the complete document. Do not convert a product category or a sales phrase into a summary of indications.

## Freeze the quote before comparing it

Create a review copy of the quote with its issue date, revision, and item numbers. Preserve the original attachment separately. If the seller changes the quote during review, make a new comparison rather than replacing the old text.

Use the following fictional quote excerpt to practice. It describes no real offer or verified supplier relationship:

> Training example: Device listed as Exceed Microneedling Device. Claimed K number: K180778. Regulatory applicant stated as Example Applicant Company. Package label: Exceed Studio Plus. Includes starter accessory pack. Commercial seller: Supplier A.

The excerpt deliberately mixes an exact identifier with differences and missing detail. Its invented applicant is not the applicant in the historical letter. Its package label and accessory wording have no verified connection to that letter.

Attach the quote excerpt to the worksheet. Do not edit the fictional mismatch away before recording it. The purpose is to make differences visible while keeping the original claim available for review.

## Assign a label to each comparison

Use three review labels: MATCH, MISMATCH, and UNRESOLVED. Define them as document-comparison results. None means that the entire purchase has passed review.

MATCH means the specific wording or identifier agrees with the cited source. MISMATCH means the compared entries differ. UNRESOLVED means the available material does not establish the connection. A mismatch can lead to a correction request without establishing misconduct.

Table: Fictional quote comparison against the historical K180778 document

| Quote field | Comparison result | Next evidence request |
| --- | --- | --- |
| Claimed K number K180778 | MATCH to the document identifier | Retain the original FDA link |
| Exceed Microneedling Device | MATCH to the document trade name | Connect the name to the actual quoted item |
| Example Applicant Company | MISMATCH to the letter's applicant | Request a corrected statement or documented explanation |
| Exceed Studio Plus package | UNRESOLVED alias | Request the underlying model and configuration mapping |
| Starter accessory pack | UNRESOLVED contents | Request itemized accessory identifiers and supporting documents |
| Supplier A | UNRESOLVED commercial relationship | Request evidence connecting the seller to the quoted product |

The table compares selected fields already identified in the historical document. It does not describe an actual supplier or a current regulatory status. The seller name has no expected exact match to the applicant field in this exercise.

Keep one label per row. If two facts need different answers, split the row. A matching device name should not hide an unresolved package configuration.

## Ask for an evidence chain behind aliases

An alias request should identify both ends of the proposed relationship. Ask which quote term maps to which manufacturer term. Request the document that supports that mapping, its date, and the person providing it.

For the fictional Studio Plus label, ask whether it names a device, a sales package, or a local nickname. Request the exact item identifier beneath the package. If the reply only repeats the package name, leave the mapping unresolved.

Preserve different spellings in separate columns. Use a third column for the reviewer's accepted interpretation. That structure keeps a later reviewer from mistaking a normalized label for the original source wording.

Do the same for company names. Request support for a claimed name change, distribution relationship, or transfer rather than inferring one. Route the explanation to the person responsible for regulatory review. A familiar logo is insufficient for this worksheet.

The [device purchase evidence overview](/intelligence/med-spas-and-aesthetics) explains how these reviewed connections can join a practice's equipment record. The source document and unresolved question should remain attached to each connection.

## Itemize accessories without assuming the bundle is covered

Give each accessory its own quote line in the review copy. Ask for its exact name, identifier, quantity, and document reference. Preserve any differences between the quote, product label, and supplied instructions.

For the fictional starter accessory pack, the first useful response is an itemized list. A photograph of several boxes does not answer which items the quote commits to supplying. Request written identifiers that purchasing staff can compare at delivery.

Ask the medical director to identify which accessory questions require clinical review. Ask the supplier for the documents that connect each offered item to the claimed configuration. Keep the accessory row unresolved until the responsible reviewer can assess that connection.

Do not write your own compatibility conclusion from a similar name or image. Record the manufacturer's stated relationship and the reviewer's decision separately. This method creates a question list, not a technical judgment about interchangeability.

## Give each reviewer a bounded question

A purchasing meeting needs answerable questions. Replace “Is this all FDA cleared?” with a list tied to quote rows and evidence. Each reviewer should know which decision the worksheet asks them to make.

Table: Suggested review responsibilities for a quoted device

| Reviewer | Question to resolve | Evidence to retain |
| --- | --- | --- |
| Supplier representative | What exact item and configuration does this quote offer? | Itemized reply and revised quote |
| Medical director | What clinical questions arise from the relevant labeling and proposed use? | Dated clinical review reference |
| Regulatory or compliance reviewer | Does the claimed document connect to this configuration? | Source references and written interpretation |
| Purchasing lead | Do delivery, warranty, training, and support terms match the proposed transaction? | Separate commercial documents |
| Authorized decision maker | Which unresolved issues must close before a decision? | Decision record and named conditions |

Treat these as suggested responsibilities. Adapt them to your practice's authorized roles. Do not assign authority through the worksheet when your organization has not granted it.

Send each reviewer the original documents, not only your summary. A summary should help locate evidence. It should never become the sole evidence for the decision.

## Separate commercial promises from regulatory identity

Create a separate section for warranty, maintenance, consumables, training, installation, and support. Ask who owes each commitment and where the written term appears. A matched K number cannot answer those commercial questions.

In the historical example, the decision letter expressly separates its review from contract liability warranties. [FDA: K180778 decision letter, PDF page one, checked 2026.10.28](https://www.accessdata.fda.gov/cdrh_docs/pdf18/K180778.pdf).

If a warranty refers to the fictional package name, request its connection to the item identifier on the quote. If support comes from another organization, record that organization separately. Leave response commitments unknown until the relevant agreement supplies them.

Purchasing staff should keep lease and payment questions in the commercial review. This identity worksheet does not compare financing options or recommend signing. It helps the authorized people see which claims have evidence and which still need an answer.

## Reopen affected rows when the quote changes

Suppose the supplier returns a corrected applicant statement but substitutes a different accessory pack. Close the applicant question only after review. Reopen the accessory row against the new item list. Preserve the earlier version for comparison.

Record what changed, which source supported the revision, and who accepted the explanation. Keep the date you checked the source separate from the date printed on it. A new retrieval does not make a historical decision current.

Use the [business memory guide](/articles/business-memory-for-ai-agents-guide) to plan where these decisions live. An equipment record should let a later purchasing lead find the quote, supporting documents, unresolved items, and review history together.

For the other half of the evidence packet, read [registration, listing, and clearance before a med spa purchase](/articles/med-spa-device-registration-listing-clearance-evidence). That guide distinguishes record types before the exact identity comparison begins.

Scale With Search can scope the document structure and review handoff around your approved responsibilities. Bring one redacted example quote and the questions your reviewers need answered.
