Collect the original images, approved context, and permissions before selecting a layout. Do not fill missing context from memory or rewrite a caption to make the result sound stronger. Keep patient identifiers outside the design handoff unless the practice has authorized their use. ## Resolve permission before designing the gallery HHS explains that HIPAA generally requires written authorization for uses or disclosures of protected health information for marketing, with limited exceptions. Have the practice's privacy reviewer determine applicability and the permission required for each image. Do not assume every med spa has the same HIPAA status or that a treatment consent covers website marketing. Give the builder only the files cleared for the named public use. Keep the permission record in the practice's controlled system. Do not publish that record with the image. ## Create a record for each image pair Use this proposed checklist before a pair enters the website gallery: | Record field | What the practice should supply | | --- | --- | | Image identity | Original files and internal reference | | Public-use permission | Reviewer-confirmed authority for the intended placement | | Treatment description | Clinician-approved description matching the record | | Timing | Verified interval relevant to the displayed result | | Other relevant context | Approved information needed to avoid a misleading impression | | Image processing | Record of cropping, lighting changes, retouching, or other edits | | Approved caption | Exact wording cleared for publication | If a field cannot be supported, hold the image for review. Do not infer elapsed time or the treatment performed from visual appearance. ## Check the result implied by the presentation FTC explains that specific-result endorsements can imply that others should expect similar results. It says generic statements about atypical or varying results do not necessarily change that interpretation. Its guidance calls for support for typicality or clear disclosure of generally expected performance in the stated circumstances. Have the reviewer assess the impression of the whole gallery. Apply that review to paired images, headings, quotes, and adjacent consultation buttons. Do not treat a small disclaimer as an automatic solution to an unsupported result claim. If the evidence cannot support the image's message, remove it or revise the presentation under professional review. Do not invent an average result to fill the gap. ## Keep context available on a phone Place approved captions and limitations where visitors can read them with the images. Ask the builder to demonstrate the gallery on a narrow screen and with keyboard navigation. Keep before and after labels clear. Do not let a crop, slider, or enlarged view remove the approved context. Obtain the practice's approval of the final display rather than the image files alone. ## Define removal and update ownership Name who receives image concerns and who can remove a publication. Ask the privacy reviewer to define the response to changed permissions and the handling of retained records. Check galleries after service-page changes and website migrations. Record the approved image version and its page locations so staff can find every placement.
