Give each function a permitted source list, a prohibited source list, an approval point, and a spending boundary. Review those rules before connecting a customer folder. Use the following as a policy worksheet for a small manufacturer or fabricator. The controls are recommendations for an actual implementation review. They do not establish that a drawing is unrestricted, a service is suitable, or a contract requirement has been met. This worksheet focuses on enforcing boundaries when AI begins preparing work from that record. ## Classify the records by permission and purpose Do not use one label such as business data for everything in an order folder. Ask the document owner to distinguish public capability facts, private commercial records, customer technical material, and restricted work. Make the permission specific to the function. A supplier-exception comparison might need an approved purchase order and acknowledgment. It does not thereby need payroll, unrelated customer pricing, or every drawing in the archive. | Record | Proposed rule for a first function | | --- | --- | | Approved public capability description | Read the current published version | | Private drawing or specification | Exclude until contract and processing permissions are resolved | | Quote and margin worksheet | Restrict to the named order and authorized commercial reviewers | | Inspection evidence | Preserve the original; prepare only the approved completeness check | | Supplier banking details | Exclude from model inputs and generated instructions | | Staff records and credentials | Exclude from the office pilot | Keep customer boundaries explicit. A good example from one account is not permission to reuse its commercial terms for another. Use invented samples for demonstration when disclosure permission is absent. The FTC recommends limiting unnecessary personal information collection and restricting access to sensitive data. Apply that principle when designing the function's readable export. ## Treat controlled information as a separate decision Ask whether the job includes information subject to specific contractual or government handling requirements. Have the responsible contract and security reviewers answer from the actual agreement and record classification. Do not ask a general model to authorize its own access. NIST SP 800-171 Revision 3 supplies CUI confidentiality requirements for use in federal agency agreements with nonfederal organizations. [NIST source, checked 2026.10.26](https://csrc.nist.gov/pubs/sp/800/171/r3/final). That scope does not make every customer drawing CUI. It also does not establish that any particular AI service may receive a covered document. Record the applicable requirement and approved system boundary before designing that path. When classification or permission is uncertain, leave the file out. Let the function report that the comparison is blocked because an approved source is unavailable. A protected upload route and an approved downstream AI processor are separate things to verify. ## Preserve technical authority in every output Give each field an owner. Engineering or document control identifies the controlling revision. Estimating approves the offer. Purchasing accepts supplier commitments. Production owns the recorded schedule. Quality owns inspection acceptance and disposition. Require generated work to cite those records. A model may prepare a comparison of revision labels without selecting the governing revision. It may list an absent inspection attachment without certifying a part. Keep the output labels precise enough that the next reader understands its status. Use separate states for prepared, checked, approved, and released. Do not let a green completion badge on the AI task resemble an order-release decision. Put unresolved issues near the top of the packet. If an employee corrects the model, record whether the correction changes a fact, a reusable rule, or only the wording. Have the authorized owner accept changes to source facts. Preserve the earlier record and the reason for the change. ## Bind approval to the exact commercial action Require approval before a quote, order acknowledgment, supplier commitment, or customer update leaves the business. Show the reviewer the account, recipient, attachments, source versions, final text, and proposed action together. A price change invalidates approval of the old quote. A new drawing revision invalidates an approval tied to the previous revision. A changed recipient requires another disclosure check. Implement those checks where the send or record change happens. Do not give a preparation function permission to issue purchase orders or change supplier payment details. Keep those capabilities outside its account. A rule in a prompt should accompany a capability boundary that staff can test. For a release-packet function, show a completeness report to quality. Do not create a production release or shipment approval automatically. Require the authorized process to record the final decision separately. ## Keep payment secrets out of the record Use payment references and approved payment status when a commercial function needs them. Exclude full card details, bank credentials, and verification codes from prompts, attachments, output drafts, and debugging logs. PCI DSS prohibits storing card verification codes after authorization, even when encrypted. Ask the payment provider and responsible reviewer to confirm the actual payment workflow. Do not build a general AI memory of transaction credentials. A customer's message containing sensitive payment data needs the approved handling path before it enters any test collection. Check receipts as well as inputs. A rejected upload can still leave a filename, snippet, or copied value in an error report. Design the receipt to identify the event without repeating the restricted content. ## Enforce a budget for each function Give quote comparison, supplier-exception preparation, and packet completeness separate cost codes. Set a monthly allowance and a per-run ceiling for each. Name the person who receives warnings and the person authorized to change the allowance. Before a request, reserve an estimated maximum cost against the remaining allowance. Include document processing, model calls, and planned retries within that estimate. If the configured ceiling cannot bound a request, block it for review rather than treating the monthly limit as an aspiration. Reconcile the actual charge after each attempt. Failed calls and retries belong to the same function. Stop repeated retries and retain a failure receipt. An oversized drawing packet should create an exception for the office, not an unbounded processing loop. Keep the configured model identifier and price assumptions in a dated configuration record. A replacement model must pass the function's tests and preserve the approved data path. A model change must not silently grant new file access or send rights. ## Test the boundary before relying on it Use a synthetic order containing conflicting revisions, an unrelated customer's quote, a restricted attachment marker, and an altered recipient. Define the expected stop for each case before running the exercise. Ask an unauthorized account to request the other customer's file through the same function. Require denial at the access layer. Test a fully spent budget and a failed cost receipt. The approved behavior should stop new calls and notify the owner without expanding permissions. Have the checker review whether logs reveal private content. Verify that accepted corrections affect the next run. Preserve the source map, configuration, test outcomes, and review decisions in the shop's controlled records. Assign a review trigger for changed contracts, new data categories, different processors, and new output actions. Train a backup owner to use the stop control and prepare work manually.
