Compare its equipment, processes, and contact information with the current approved record. Choose how the current document and its HTML summary should work together. Record the old addresses and the intended handling for each. Keep the technical change with the website provider. ## Inventory every public capability document Collect links from the site, known sales downloads, and search observations. Record the exact address opened, document title, visible revision, and facts requiring correction. Do not guess the current version from a filename. Google lists PDF as an indexable file type. Someone who opens the file directly should find approved information inside it. Put the current contact route and document identity in the reviewed document. Use this proposed register: | Document state | Decision to obtain | | --- | --- | | Current approved PDF | Public address and document owner | | HTML capability summary | Current facts and intended relationship to the PDF | | Duplicate file | Whether the content is equivalent and which address is preferred | | Obsolete document | Replacement or retirement instruction | | Private material | Approved restricted handling outside public downloads | Have production and quality approve the document's technical content. Keep certificate scope review with the quality owner. ## Decide which version should represent equivalent content If a PDF and HTML page contain equivalent information, ask the provider to review the preferred search address. Google documents canonical HTTP headers for non-HTML files. Canonicalization is a preference signal rather than a guarantee of Google's selection. Do not assign an unrelated homepage as the canonical merely to hide an old file. Ask the provider to compare the content and select the appropriate handling. Keep the written decision with the document register. If both formats serve different useful purposes, explain that relationship on the page. Keep facts synchronized even when the formats remain separate. ## Plan obsolete-file handling by address For each old address, decide whether there is a relevant replacement or a retirement instruction. Have the provider propose the actual response and preserve any business record the shop needs internally. When the aim is to exclude an accessible file from Google results, Google supports noindex through an HTTP response header. Google must be able to crawl the resource to see that instruction. Ask the provider to inspect the deployed response when that approach is selected. Do not treat a local file edit or a robots.txt block as proof of the intended search state. Keep confidential material out of the public document set. Google recommends password protection for private content. Open the linked document after the change. Check its contents rather than the link label alone. Compare current public versions for process names, units, contact instructions, and approved certification wording. Remove unsupported differences before marking the update complete. Check any printed download address with the responsible business owner. Plan how that address continues to serve an appropriate instruction. Do not silently discard a route used in active sales material. ## Keep search observation separate from release evidence The provider can verify deployed files, links, and response headers. A search-result observation should retain its own date and exact result address. Do not promise a specific recrawl or removal deadline. Save the document register with the website maintenance instructions. Assign a review trigger when equipment, capability, quality wording, or contact information changes.
