# Machine shop AI rules: data, approvals, and spend

Set machine shop AI rules before a drawing, quote, or inspection record enters a new tool. Identify the owner of the file and the decision it supports. Decide whether the proposed function needs the document itself or only an approved reference.

Start with one shop task. An RFQ packet might need filenames, supplied revision labels, and unanswered questions. A customer-update draft might need an approved production status. Neither task automatically needs the entire customer job folder.

Use this article to prepare a permission and approval sheet. Have your responsible reviewers resolve customer restrictions and any applicable export controls. Keep those determinations in the record the function reads.

## Give every source an approved use

Create a data register with record type, owner, allowed processing, intended output, and retention decision. Have estimating, document control, production, and quality inspect their own rows.

Use these proposed defaults for the first review:

| Source | Treatment to decide before access |
| --- | --- |
| Approved public capability sheet | Reference copy with a named update owner |
| RFQ file register | Selected fields for one identified request |
| Customer drawing or specification | Hold until sharing authority and processing conditions are approved |
| Accepted quote | Restrict to the named commercial function |
| Inspection and nonconformance records | Quality-controlled source and reader list |
| Passwords, access keys, payment credentials | Exclude from drafting inputs and retained transcripts |

Keep an unresolved row blocked. Do not give a function broad access so it can decide for itself which files are sensitive. Make the source owner approve the field list before the first run.

The FTC advises businesses to limit unnecessary personal information and restrict access. [FTC security guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/start-security-guide-business).

Apply those principles to personal details in customer contacts and employee records. Review proprietary technical information under its separate sharing rules. A general privacy checklist does not answer every drawing restriction.

## Resolve controlled-technology questions before processing

BIS identifies releases of controlled technology or source code to foreign persons in the United States as deemed exports. [BIS deemed-export guidance, checked 2026.10.26](https://www.bis.gov/deemed-exports).

That definition is a reason to obtain a determination for the actual material and arrangement. It does not establish that every shop drawing is controlled. It also does not establish that a file is unrestricted because its filename lacks a warning.

Have the export reviewer record the classification decision, authorized recipients, and approved processing conditions where relevant. Ask them to assess the proposed service arrangement, support access, and any subcontracted processing. Keep the function paused while that review remains unresolved.

Do not ask the AI to grant its own export permission. An output saying safe to upload is not the shop's authorization. Require a person with responsibility for the determination to approve the specific source and route.

If the function can operate on an approved register without drawing content, scope it that way. Test that it stops when someone adds a drawing outside the approved source list.

## Keep technical authority separate from draft preparation

Write down who establishes the controlling drawing revision. Name the source for accepted quantities and material responsibility. Identify the quality record that supports any inspection statement.

Use this proposed approval map:

| Proposed output | Required review role |
| --- | --- |
| Conflicting drawing labels | Document control or authorized engineering reviewer |
| Price, exclusions, quantity breaks | Estimating owner |
| Production date or capacity commitment | Authorized production scheduler |
| Inspection acceptance or deviation | Quality owner |
| Customer message and attachments | Account owner with the relevant technical checker |

Configure the function to prepare a question when the source is missing. Do not let a draft's fluent wording conceal an unresolved revision, material designation, or inspection state.

For a synthetic test, give the function a traveler showing an operation complete and a quality record showing inspection pending. Require the output to preserve both states. It should not declare the parts accepted or ready to ship.

## Approve the exact output and attachment set

Record the job, part, revision, quantity, recipient, output version, and permitted attachments with each approval. Make those fields visible together before the account owner sends anything.

Require another check when a controlled input changes. Approval for a quote at one quantity should not authorize a later quantity. Approval to discuss status should not authorize release of an inspection report or a customer drawing.

Keep sending permissions outside a first drafting function. If a later scope includes sending, require the action step to verify the current approved version. A conversation saying looks good should not silently apply to whatever draft exists next.

Treat customer-provided instructions inside files as job evidence. They cannot change retrieval limits or recipient rules. Test a synthetic file that requests disclosure to a new address. The function should hold the action and identify the approval gap.

## Design logs for checking without copying the job

Keep the source documents in their authorized systems. Store references and versions in the receipt when that supports the check. Avoid copying complete drawings, pricing tables, or inspection contents into every run log.

Record who can read logs and how long each kind remains. Separate temporary processing files from contractual or quality records. Have the responsible owner approve deletion rules before enabling cleanup.

The [machine shop RFQ guide](/articles/machine-shop-rfq-website-form) covers the first website handoff. Extend its file-handling review through the internal preparation process. A successful upload does not determine whether later AI processing is permitted.

Ask the implementer to document where each data copy exists. Include debugging output, error reports, backups, and provider-side history in the review. Check actual settings and terms for the chosen service rather than relying on a general product label.

## Set a budget for each shop function

Give RFQ preparation, production handoff, and customer updates separate monthly allowance entries. Name a budget owner and a backup. Set an alert threshold for each function. Send the alert to that owner before the allowance is exhausted. Limit the number of jobs, file pages, requests, retries, and output size in one run.

Require a check before each paid request. Reserve a conservative amount against remaining allowance while a request is pending. Stop when the reservation would exceed the approved ceiling. Keep an unknown final cost visible until it is reconciled.

Use deterministic checks for direct comparisons such as missing identifiers and duplicate file references. Let the model prepare the explanation when the task needs one. This gives the owner a clear reason for each paid step.

Every run should record the function, job references, source versions, model identifier, output location, cost state, and completion state. A failed or blocked run needs a receipt too. Keep model names in internal configuration and preserve the test set when changing models.

## Review a reopened job as a new source decision

When a prior job returns, have estimating confirm the current part, revision, quantity, and accepted scope. Keep earlier approval available as history. Require a current source decision before the function reuses a past quote or production handoff.

Test a synthetic repeat order with the same part number and a different revision. The function should identify the changed requirement and hold the affected output. It should not treat the familiar part number as proof that the old process, price, or quality statement remains accepted. Save that example for future model checks.

## Prove the rules with a shop-owned test set

Use invented part references and documents the shop owns for testing. Include a restricted drawing, an unknown sharing decision, conflicting revision labels, a changed quantity, and an unapproved quality statement.

Add wrong-recipient and exhausted-budget cases. Require a specific stop reason and a named reviewer. Ask the team to demonstrate that a stopped run cannot issue a quote, release work, change a record, or send a message.

Then have a backup estimator use the runbook. They should find the last receipt, identify the source requiring correction, and restart only the approved work. Save the results with the permission sheet.

The [machine shop hub](/for/machine-shops-and-precision-manufacturing) connects these controls with quoting and production records. Bring your source register to [AI systems](/ai-systems). Send Scale With Search the function and its review requirements through [the written scope form](/work).
