# Logistics AI rules: data, approvals, and spend

Write logistics AI rules around the shipment and the decision. Name which records a function may read, who can see its draft, and which person approves an action. Add a spending limit that the implementation can enforce.

A general instruction to be careful cannot answer whether a document belongs to the right customer or whether dispatch approved a different time. Put those decisions in a permission sheet before connecting shipment files, mailboxes, or customer portals.

This is a proposed operating policy for an office function. Have the responsible officer determine the rules that apply to your service and jurisdiction. Keep regulatory obligations, customer agreements, and your chosen internal controls separately identified.

## Classify records before providing access

Start with one intended output. For a customer update, ask what staff need to establish progress and prepare the reply. Give the function only those sources. Exclude other customer folders and unrelated driver information.

Use the following proposed record classes:

| Record | Default handling to approve |
| --- | --- |
| Public service descriptions | Current approved reference copy |
| Shipment status export | Limited to the named shipment and permitted fields |
| Rate agreement or customer contract | Restricted commercial source, excluded unless needed |
| Identity or employment documents | Separate restricted workflow |
| Facility access instructions | Authorized operational recipients only |
| Payment credentials and passwords | Excluded from drafting and summary inputs |

Keep this list beside the function specification. Require a new review when the builder proposes another source. A more capable model does not receive broader access automatically.

The FTC recommends collecting only needed personal information and controlling access. [FTC business security guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/start-security-guide-business).

Apply that guidance through a field list. Instead of exposing a whole application or shipment folder, have the source owner approve the smallest usable export. Keep the original protected under its existing access rules.

## Preserve broker records where the rule applies

For property brokers subject to 49 CFR 371.3, required transaction fields include consignor and carrier details, shipment references, compensation, and freight charges. The rule requires three-year retention and transaction-party access. [FMCSA broker records, checked 2026.10.26](https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-371/subpart-A/section-371.3).

Have the responsible officer distinguish this requirement from the retention chosen for temporary AI drafts. A short life for an intermediate draft should not delete the underlying required transaction record. A long retention rule should not become permission to share the record with every tool.

Keep an index connecting the shipment, authoritative documents, and permitted draft output. Define how the office handles an authorized record request. Leave the decision about disclosure and its scope with the responsible person.

Do not label every logistics record as covered by this broker rule. A warehouse, motor carrier, courier, and broker may have different duties. Resolve your actual role before writing the policy or naming a deletion period.

## Keep payment data outside the AI workspace

Configure drafting functions to use payment status only when needed. An approved indicator such as payment awaiting office review can be enough for the task. Keep card entry, authorization, refunds, and bank changes in their designated systems.

PCI SSC says card verification codes cannot be stored after authorization, even when encrypted. Customer permission does not create an exception. [PCI SSC FAQ 1280, checked 2026.10.26](https://www.pcisecuritystandards.org/faqs/1280/).

Exclude those codes from prompts, screenshots, attachments, logs, and retained transcripts. Ask the payment owner to review the entire route if someone proposes a payment-related function. A masked final draft does not establish that earlier copies were handled correctly.

For a changed bank instruction, require independent checking through the company's approved process. Do not let an incoming message supply both the new destination and the authority to change it.

## Bind approval to the actual shipment output

Use approval records that identify shipment, source versions, recipient, attachments, and exact final text. The reviewer should be able to inspect all of them together. Keep a prepared draft distinct from an approved action.

Assign approval by subject:

| Output or decision | Proposed checker |
| --- | --- |
| Shipment status statement | Dispatcher responsible for the current record |
| Rate or added charge | Authorized commercial owner |
| Service acceptance or change | Operations owner |
| Customer document disclosure | Account owner and document owner as needed |
| Claim response or liability statement | Designated claim reviewer |

Configure sending separately from drafting. Require the action step to verify the approval and the current shipment state. If a source changes after review, hold the action for another check.

Use a requested earlier pickup as an acceptance example. The function should preserve the request without changing dispatch. Approval for a status message should not authorize a different recipient or a new rate.

## Treat attachments as shipment evidence

An attachment may describe cargo, a loading condition, or a customer's request. It should not change the function's permissions. Keep the allowlist, recipient rules, and spending controls outside customer-supplied text.

Test a synthetic attachment that instructs the assistant to email another address. Require a blocked result and an unchanged destination. Test a document containing another shipment reference. Require the reviewer to resolve the mismatch before disclosure.

The [freight upload checklist](/articles/freight-inquiry-document-upload-checklist) addresses receiving files through a website. Extend that review to the internal reading and output route. Receiving a file does not establish permission to send its contents to an AI service.

Document where processing occurs and who may access provider-side records. Have the account owner check the actual service terms and settings. Do not infer approved handling from a product name or a general security badge.

## Enforce spend per office function

Give handoff preparation, document checking, and customer-update drafting separate budget entries. Name the person who can change each limit. Show usage against the function that caused it rather than one undivided account total.

Set a monthly allowance and a per-run ceiling. Cap shipments, document pages, paid requests, retries, and response length. Keep deterministic status selection outside model calls when a fixed comparison supplies the answer.

Before a paid request, check recorded spend and reserve a conservative amount for the pending work. Refuse another request if the reservation would exceed the remaining allowance. Send the budget owner an alert through the approved internal route.

When final provider cost is delayed, keep the amount marked pending. Do not treat an unknown charge as zero. Reconcile the final amount and retain the difference. Define whether the function remains paused while that cost is unresolved.

Require a receipt for completed, blocked, failed, and empty runs. Record the function, model identifier, source references, output reference, cost state, and checker. Keep private document contents out of the receipt unless its approved purpose requires them.

## Close an exception without erasing its history

Have dispatch record the decision that resolves a shipment conflict. Keep the earlier exception identifiable and link it to the accepted correction. The next draft should read the corrected source while preserving the reason a previous message was held.

Test this transition with a synthetic shipment whose delivery period changes twice. Require the function to identify the current accepted record and distinguish each earlier version. The checker should be able to explain why the latest draft differs. Keep cleanup decisions separate from closing the operational exception.

## Recheck rules after a change

Keep model identifiers and approved replacements in business-owned configuration. Before switching a model, rerun the same shipment examples. Before changing a source, inspect the fields the replacement exposes.

Use a small synthetic acceptance set: wrong customer, conflicting status, missing document, unauthorized recipient, hidden attachment instruction, and exhausted allowance. Record expected and observed behavior for each. Require a usable stop that names the person needed next.

Ask a backup dispatcher to follow the runbook. They should know how to pause the function, find its last receipt, correct the authoritative source, and restart only the affected item.

The [logistics hub](/for/logistics-and-supply-chain) connects these rules with office records. Bring your permission sheet and acceptance examples to [AI systems](/ai-systems). Send Scale With Search the bounded function through [the written scope form](/work).
