A preparation function can organize a request without deciding that a customer may enter a property. It can identify missing quote information without revealing how an existing security system works. Choose one office job from the [locksmith hub](/for/locksmiths). Write its allowed inputs, output, reviewer, and stopping point. Keep the first function separate from dispatch, entry decisions, technical execution, and payment collection. The controls below are proposed operating rules. North Carolina law provides specific examples with their own scope and exemptions. Establish the requirements for the business's actual location, licensing status, and work before using customer records. ## Keep security material outside general AI drafting Create a record inventory before importing customer files. For every class, name its purpose, owner, permitted readers, approved destination, and retention rule. They do not assert that every item falls under the same legal category. Add restrictions from the commercial account, applicable law, insurer, and business procedures. The FTC recommends keeping sensitive personal information only for a legitimate business need. [FTC data-handling guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business). ## Preserve the person's authority check North Carolina G.S. 74F-14 requires a licensee opening a locked door to make a reasonable effort to verify that the customer owns the property or is authorized by its legal owner. [North Carolina Locksmith Licensing Act, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/ByChapter/Chapter_74F.html). Use the actual applicable rule and approved business procedure. An AI summary should show what the customer said, which checks are recorded, and what remains unresolved. It should not treat a familiar name, a plausible story, or a document description as a completed verification. Have the responsible locksmith accept the authority decision through the established process. If the address, vehicle, requester, or claimed authority changes, return the matter for review. Keep the original evidence in its approved location and use a restricted reference in the preparation packet. Test the function with fictional requests that lack authority or contain conflicting locations. The expected result is a blocked handoff with a named reviewer. It should not offer an entry method or authorize dispatch. ## Keep licensing statements specific North Carolina G.S. 74F-12 requires locksmith advertisements to include a valid license number issued by the Board. Its text permits the company owner's number to satisfy that requirement. Use the applicable licensing authority's current record when preparing public wording. Do not let a general company template invent a credential, holder, or service scope. Keep license verification distinct from a customer's authority to request an access job. Do not use a summary to decide that an exemption applies. Send licensing and exception questions to the responsible person with the actual statute and facts. ## Keep payment collection in its authorized channel A quote or job summary can use an approved amount and payment status. It does not need card details. Keep card images, full payment credentials, and security codes outside the office AI path. PCI SSC prohibits storing card verification codes after authorization. Name the person who checks the original request, temporary copies, provider submission, logs, and saved outputs. Removing a value from the final draft alone does not verify the other locations. Treat a revised price, refund, charge, or bank change as a separate business action. Keep those capabilities unavailable to the preparation function. A payment-related customer request should become a question for the authorized office owner. ## Approve the exact job and effect Use an approval map that preserves distinct responsibilities. A changed address or added task requires another review. Keep the check in the sending or dispatching mechanism, rather than accepting a model's assertion of approval. Avoid public disclosure of customer locations and security conditions. Keep complaint review in the approved private process. A customer-facing draft should include only facts cleared for that recipient and purpose. ## Check the provider and isolate accounts Document the selected service, account administrators, data-use terms, storage, deletion controls, and additional processors. Review the actual processing route, including any attachment extraction service. Do not inherit assumptions from another account or subscription. Use permitted field extracts instead of broad archive access. Test two fictional commercial accounts with distinctive harmless facts. Confirm that each run can retrieve and write only within its own account boundary. Reject mismatched job references and output destinations. Test a customer note asking the function to reveal a key record or send the archive elsewhere. Treat the request as untrusted source content. The function's rules and enforced permissions should remain unchanged. Repeat the relevant checks after adding a connector, changing a model, widening source folders, or changing staff access. Keep accepted corrections in the business-controlled rule record. ## Cap spend and prove the stop Give intake preparation, commercial quote readiness, and record review separate monthly limits. Name the budget owner, alert recipient, and enforced stop. Define which metered components belong in the function's total. Set maximum input size, jobs per run, output size, and attempts. Reserve the permitted maximum cost before processing. Reconcile actual charges afterward. Coordinate concurrent runs so they cannot each use the same remaining balance. At the limit, stop paid processing and write a blocked result. Count failed calls and rejected drafts. Each receipt should identify function, job reference, source versions, model, attempts, output location, review state, and cost. Label delayed billing amounts pending. Keep authority evidence and security records out of routine cost reports. Rehearse an unknown customer, changed location, forbidden security detail, revised quote, rejected draft, and exhausted budget. Have staff pause the function and continue pending work through the ordinary process. Record the restart decision after the affected checks pass. Use a fictional commercial job to test a changed authorized contact. Prepare the packet under the original contact, then replace the contact before release. The function should preserve the draft but require a new authority check. Confirm that staff can see which decision is pending without exposing identity evidence or key-system records in the general queue.
