# IRS nonprofit income and revenue fields: check the return before choosing a research band

A nonprofit research list can contain three plausible financial numbers and still leave the practice's question unanswered. Before choosing a size band, identify the amount, its reporting period, and the return evidence behind it. Then decide whether that measure fits your research purpose.

Do not collapse income, revenue, and assets into one size column. Keep the original field names available. A preparer should be able to trace the selected number without reconstructing a researcher's interpretation from an unlabeled total.

The [bookkeeping and tax practice overview](/for/bookkeeping-and-tax-practices) describes controlled work inside an engagement. This guide concerns public-record research before that engagement exists. The examples below are synthetic. They make no claim about an actual organization's finances or professional needs.

## Start with the field dictionary

The January 2026 IRS information sheet identifies `ASSET_AMT` as year-end book assets. It identifies `INCOME_AMT` as a computed amount with specified addbacks. The `REVENUE_AMT` field uses the revenue line from Form 990 or 990-EZ. See [pages 5 and 6](https://www.irs.gov/pub/foia/ig/tege/eo-info.pdf#page=5), accessed October 28, 2026.

Use that dictionary to preserve labels. Use the underlying return to inspect the figure. Do not infer a complete calculation from the English word income. A convenient label such as annual turnover would introduce another meaning the worksheet has not established.

In your research notes, separate the raw field from the interpretation. For example, store source field `REVENUE_AMT`, displayed dollars, period shown, and return line checked. Put practice-defined band in another column. That structure allows a reviewer to question the band without losing the source value.

The [EO BMF catalog](https://www.irs.gov/charities-non-profits/exempt-organizations-business-master-file-extract-eo-bmf), accessed October 28, 2026, describes the extract as cumulative and containing the latest IRS information. A current download should therefore retain its own access date alongside the amount's reporting-period evidence.

## Check revenue against the correct form and year

For a Form 990 review, inspect Part I, line 12, in the current-year column. The 2025 form labels that line total revenue. Part I also shows prior-year figures, so column selection matters. [2025 Form 990, page 1](https://www.irs.gov/pub/irs-pdf/f990.pdf#page=1), accessed October 28, 2026.

For a Form 990-EZ review, inspect Part I, line 9. The 2025 form separately calculates gross receipts in item L using additions to line 9. Those two locations illustrate why the revenue total should not automatically receive a gross-receipts label. [2025 Form 990-EZ, page 1](https://www.irs.gov/pub/irs-pdf/f990ez.pdf#page=1), accessed October 28, 2026.

Record the form year from the document you actually read. The current blank form is a reading reference, not evidence of an organization's filed amount. If the candidate's return is older, open that filed version and confirm its printed labels before accepting a line reference.

When a return total matches the extract, record the match with period and page. When it differs, leave a discrepancy for the preparer. Do not replace the extract figure merely because another number looks more useful for the shortlist.

## Treat income as a separate computed field

The information sheet describes addbacks in `INCOME_AMT`, including rental expenses for Form 990 and cost or basis expenses for Form 990-EZ. Its Form 990-PF description references Part I, lines 10b and 12(a), and Part IV, line 1(g). [IRS field definitions, page 6](https://www.irs.gov/pub/foia/ig/tege/eo-info.pdf#page=6), checked October 28, 2026.

For a private-foundation source, the 2025 Form 990-PF distinguishes several revenue and expense columns. It also separates book values and fair market values on the balance sheet. Part IV labels the cost-or-basis column used in the dictionary reference. [2025 Form 990-PF, pages 1 through 3](https://www.irs.gov/pub/irs-pdf/f990pf.pdf), accessed October 28, 2026.

Give a preparer those source references rather than a claim that the field equals profit, taxable income, or cash generated. The dictionary's computed amount has its own purpose. A research worksheet should preserve that purpose without inventing another financial conclusion.

If a selected record cannot be reconciled from the available evidence, mark it unresolved. Do not apply an improvised addback calculation across every return type. The preparer can specify which document and calculation are appropriate for the actual review.

## Trace assets to the year-end balance sheet

For Form 990, check Part X, line 16, column B. The 2025 form distinguishes cash, receivables, investments, property, and other asset lines before the total. [2025 Form 990, page 11](https://www.irs.gov/pub/irs-pdf/f990.pdf#page=11), checked October 28, 2026.

For Form 990-EZ, check Part II, line 25, column B. For Form 990-PF, check Part II, line 16, column b, using book value. The latter form also provides a separate fair-market-value column. [2025 Form 990-EZ, page 2](https://www.irs.gov/pub/irs-pdf/f990ez.pdf#page=2); [2025 Form 990-PF, page 2](https://www.irs.gov/pub/irs-pdf/f990pf.pdf#page=2), accessed October 28, 2026.

A research band based on total assets should retain the words total assets. Do not rename it cash available. If your business question concerns liquidity or a prospective service budget, open a separate question instead of relabeling this total.

That distinction also protects your comparison. One candidate might attract review because of reported assets, while another fits a revenue band. Neither selection tells the owner which organization can purchase services. The practice needs a separate, authorized suitability discussion for that question.

## Work through a synthetic three-amount example

Imagine a fictional candidate called Example Nonprofit B. For this training exercise, its worksheet shows `INCOME_AMT` of 280,000 dollars. It shows `REVENUE_AMT` of 240,000 dollars and `ASSET_AMT` of 610,000 dollars. Its displayed `TAX_PERIOD` is `202412`.

These invented amounts illustrate labels only. They are not a reconstructed return, a filing example, or a claim about the precise composition of the difference. The difference between 280,000 dollars and 240,000 dollars is 40,000 dollars. That arithmetic alone does not identify which return items produced it.

| Research question | Synthetic observation | Next evidence to request |
| --- | --- | --- |
| Which revenue group fits? | Revenue field shows 240,000 dollars | Matching return revenue line and period |
| Why do income and revenue differ? | Income field is 40,000 dollars higher | Relevant source lines and preparer reconciliation |
| Which asset group fits? | Asset field shows 610,000 dollars | Year-end total assets, correct column |
| What cash can it spend today? | Not established | Separate authorized financial inquiry |
| Does it need bookkeeping help? | Not established | Owner-led service-fit research |

Suppose the practice defines an internal revenue research band from 200,000 dollars through 499,999 dollars. The synthetic revenue amount falls inside that band. Label it practice-defined revenue research band. Keep the endpoints visible so another researcher can apply the same selection rule.

Do not call the band a required-return category. Its boundaries belong to your research method. A filing conclusion requires a professional review of the applicable rules and circumstances. This worksheet does not prescribe a return or assess whether an organization filed correctly.

## Keep the period attached to every amount

Use a display such as reported revenue 240,000 dollars; period shown December 2024; return match pending. A concise label can still preserve uncertainty. Avoid current revenue when the worksheet has not established a current operating figure.

The [ruling-date and tax-period guide](/articles/irs-nonprofit-ruling-date-tax-period-first-seen) explains the separate date fields. Reuse its period finding here. The amount review should not independently choose another reporting period because a second document was easier to find.

For a comparison exercise, create two synthetic observations with the same amount but different periods. Ask whether the research question concerns changed reporting coverage, changed amounts, or both. Those questions lead to different reading tasks.

Next, create two observations with different amounts but the same period. Require a source check before calculating an operating-growth story. Record both observations with their access dates, then let the preparer identify the documents that explain the difference.

If a period is missing or unreadable, retain the amount as unverified for band selection. The owner can decide to hold that candidate. A neat list with silently assigned periods is harder to defend than a shorter list with explained evidence.

## Separate missing values from verified zeros

Give the worksheet at least three states: source value present, source value absent, and return value verified. A source zero and a verified zero can share a number while having different review status. Preserve both the number and the status.

Consider a synthetic row with a blank revenue cell. Leave the research band unassigned. Consider another row showing zero, with no return opened yet. Record source zero; verification pending. Neither row should inherit a conclusion about organizational activity.

If the preparer later confirms a zero on the appropriate return line, add the document reference and review date. Keep the original source state. That history explains why the candidate moved from unresolved to a reviewed category.

Use a different unresolved label for an unreadable document or an identity mismatch. Those failures require different follow-up. A single unknown bucket is acceptable for public display, but the internal worksheet should explain what the next reviewer needs.

## Give the preparer an amount-to-source checklist

Use the following checklist for each shortlisted candidate. Complete it with public evidence before deciding whether a private engagement discussion is appropriate. The proposed checklist organizes research; the preparer retains professional judgment.

1. Match the organization identifier on the worksheet and the document.
2. Record the source file, extract posting date, and access date.
3. Preserve the original financial field name and displayed amount.
4. Record the tax period shown beside each selected amount.
5. Open the underlying return and record its form year.
6. Check the printed line label and the selected column.
7. Mark a match, discrepancy, missing value, or unverified zero.
8. Assign only the practice-defined research band supported by the evidence.
9. Record the preparer's next question and review date.

Include a short finding rather than only a checkmark. For Example Nonprofit B, a finding might read: revenue band unassigned; return-line verification pending; income difference unexplained. The owner can understand the remaining work without reading an entire spreadsheet.

The [public-signals overview](/intelligence/bookkeeping-and-tax-practices) describes how reviewed candidates fit a broader research list. The [business memory guide](/articles/business-memory-for-ai-agents-guide) explains keeping sources and accepted corrections available. Apply both by preserving the amount evidence and the reviewer's decision together.

## Scope a research function around the handoff

Before asking for software, ask your preparer to complete one synthetic worksheet manually. Determine which source references make the review useful. Decide who can change a band definition and how later researchers will see that change.

Scale With Search can scope a research function around the approved source set, labeled amounts, period checks, and reviewer handoff. Bring examples of a matching amount, a missing amount, and an unresolved difference. Keep private client records outside the public research example.

Acceptance should require readable evidence and explicit gaps. The responsible practice owner decides whether a candidate deserves more research. The preparer controls filing and professional conclusions. A financial band remains a documented selection rule throughout that process.
