# Make Microsoft Copilot remember your work with its memory settings and a context file.

Microsoft Copilot sits inside your Microsoft 365 workspace. It reads your Word documents, summarizes Teams chats, pulls data from Excel, and drafts email in Outlook.

Close the window, though, and the conversation is gone. You open a new chat and start from zero. You ask about the strategy document you discussed this morning, and Copilot asks which one.

Copilot has access to your files. It does not hold the working context of your conversations and projects. This article shows how to use Copilot's own memory inputs, then how to write a context file that holds what they miss. ## Know what Copilot does in each app

Microsoft's approach is tight integration with the apps you already use:

| App | What Copilot does |
|---|---|
| Word | Drafts content, rewrites paragraphs, summarizes documents |
| Excel | Analyzes data, builds charts, explains formulas |
| PowerPoint | Creates slides, suggests layouts, writes speaker notes |
| Outlook | Drafts email, summarizes threads, suggests replies |
| Teams | Recaps meetings, answers questions about past chats, lists action items |

This works for tasks in the moment. You need a paragraph rewritten in Word, or a complex formula explained in Excel, and Copilot does it.

## See where the working context breaks

The January 2026 observation found four gaps for users who worked across apps and days.

No conversation persistence: you spent 20 minutes in Copilot in the morning on your quarterly strategy. In the afternoon, you open a new chat and ask a follow-up question. Copilot has no record of the morning.

No cross-document context: a product launch has a strategy in Word, a timeline in Excel, a deck in PowerPoint, and a thread in Outlook. Copilot treats each one as separate and does not connect them on its own.

No learning from corrections: you corrected the report format six times and explained your email tone four times. The corrections did not persist.

No project memory: you manage three clients, two internal initiatives, and a product redesign. Each time you mention "the Client A account" or "the Q1 campaign," you start the explanation again.

## Use the memory inputs Microsoft provides

Microsoft now documents three personalization inputs for Microsoft 365 Copilot: saved memories, inferences from chat history, and custom instructions. Use them in this order:

1. Open Copilot settings and check which memory controls your license and administrator allow.
2. Write custom instructions with your role, preferred format, and tone. Keep them short.
3. Tell Copilot one harmless preference to save, such as "Weekly summaries use three bullets."
4. Open a new chat and ask for that preference to confirm that memory crosses sessions.
5. Review the saved memories and delete any entry that is wrong or sensitive.

These inputs help with preferences. They have four limits you must plan around.

Copilot picks what to remember. You explain your brand voice guidelines, and the saved memory may read "user prefers professional tone." That is a summary, not a guideline.

The memory has no structure. Your work spans departments, clients, and projects, and saved memories sit in one list.

Review has limits. You can see and delete saved memories, but chat-history inferences have no complete list to audit.

Organization-wide grounding is not personal context. Work data helps with shared knowledge. Your own workflows, preferences, and project state need a record you control.

## Write the context file

Do not wait for Copilot to learn your work. Write down what it needs to know in one file with organized sections.

A file gives you four things. You decide what it holds, not an algorithm. You update it at once when the org chart, product line, or priorities change. It works across platforms, so the same file serves Copilot, ChatGPT, Claude, Gemini, and Perplexity. It grows with you, from one page to client files, project archives, meeting notes, and SOPs.

### Step 1: create the file

Use Notepad, VS Code, Obsidian, or any text editor. Name the file `AI-CONTEXT.md` or `COPILOT-MEMORY.md`. If you also use Claude Code, a copy named `CLAUDE.md` loads there automatically.

### Step 2: define your identity

State who you are and what you do. Avoid a vague job title.

A weak identity line:

> I am a project manager.

A useful identity line:

> I am the Senior Project Manager for the Enterprise Solutions team. I manage software implementations for large enterprise clients. Projects run 6 to 9 months.

The second version tells Copilot the scale, the client type, and the timeline of your work.

### Step 3: document your voice

State how Copilot writes for you:

### Step 4: list your active projects

### Step 5: add domain context

If your work spans several areas, give each one a section:

Names and email addresses stay in the CRM.

## Internal operations
- Weekly team standup: Mondays at 9:00

- Quarterly planning: mid-quarter (February, May, August, November)

## Tools and systems
- Project management: Monday.com
- Documentation: Confluence
- Communication: Teams internally, Slack with clients

### Step 6: load the file in each session

Copilot does not read an outside context file on its own. It is built to work inside Microsoft apps. Save the file in OneDrive and start each session with an instruction: "Read AI-CONTEXT.md in my OneDrive and use it to answer my questions." The step is manual, and you repeat it every session.

Other assistants load the file with less effort, as observed in January 2026:

| Assistant | How the file loads |
|---|---|
| Claude Code | Reads `CLAUDE.md` automatically at the start of each session |
| ChatGPT Projects | Upload the file to a project; every chat in the project uses it |
| Claude Projects | Upload the file once; it applies across chats in that project |
| Any assistant | Paste the file at the start of an important conversation |

## See the result in practice

You open a session, and the assistant reads your context file. You type: "Draft a status email for the Client A project."

The assistant knows five things from the file:

- Client A is an active client.
- The project kicked off on February 1, and go-live is July 15.
- The primary contact is the CTO.
- Your email style leads with the bottom line and uses bullet lists.
- You never write "circle back" or "touch base."

You explained none of it. It is in the file.

The next day, you ask for talking points for the stakeholder review. The assistant knows your projects, your metrics, and your preferred format. The following week, you ask for a risk assessment for the Q1 audit, and the file supplies the scope, timeline, and internal stakeholders.

## Compare the file with Copilot memory

The file gives you control that product memory does not:

| Question | Copilot memory | Context file |

| Can you move it to another assistant? | No | Yes, the same file |
| How large can it grow? | Product limits apply | 50 or 100 pages, split into linked files |

A long file still has to fit the reading assistant's context window. When it grows past a few pages, split it into several files and link them. The [CLAUDE.md business template](/articles/claude-md-template-business-context) shows one way to divide the sections.

## Start small

You do not need to document everything today. Start with about 300 words:

- who you are;
- what you do;
- your current work;
- how you want the assistant to write.

That is enough to improve every session. Then expand: add client details, document workflows, and create templates for recurring tasks.
